MAY MEETING 2014 SEMARANG
INFORMATION FOR DELEGATES

Thank you for registering as a delegate in the May Meeting 2014 in Semarang from May 29th
to June 1st.
All delegates are advised to arrive on May 29th between 05.00 and 00.00 p.m. in order to
ensure they are able to catch the airport or train station shuttle transfer.
At the airport or train station, our OCs will receive you at the arrival hall. They will be wearing
CIMSAs Jacket and carrying a Welcome Sign.

AIRPORT OR TRAIN STATION TRANSFER
We will provide you with a airport or train station transfer on Thursday, May 29th to the
Registration Desk in Universitas Islam Sultan Agung to the the re-registration and attend the
first agenda of MM 2014 Semarang.
The journey to the venue from Semarang Airport or Train Station is approximately 45 minutes.
REGISTRATION
The registration process will be open on Thursday, May 29th from 09.00 a.m. until 11.69 a.m.
However, the hotel rooms will not be ready until the evening. All delegates will be moved to the
venue after the Welcoming party agenda. To register, all delegates need a CIMSAs ID Card
Member. Any condition that make you not be able to show your Identity Card Member, please
bring your 4x6 photo to get your delegation identity card.

ATTIRE
Delegates are strongly encouraged to wear their batik during the Welcoming Party and wear
Hawaian theme for the Farewell Party.
The required attire throughout the Grand Lecture and Student Panel is formal suit. T-Shirts,
shorts, sandals and/or slippers will be not permitted during the Grand Lecture and Student
Panel.
However, feel more than free to wear comfortable walking shoes during trainings, parallel
sessions, plenary sessions, and other agendas. Please bring your sweater, jacket, or umbrella
since it will be cold in the venue at night.




OTHERS
OCs are responsible for the delegates needs only from 6th until 1st of June. Anyone who arrives
in Semarang before May 29th or extend after June 1st will not be the OCs responsibility.
However, OCs can give the best references for where to stay or eat around Semarang.

BEING ACTIVE AND EFFECTIVE DELEGATES
What does it mean to be active and effective at the National Leadership Summit? It can mean
setting your goals in attending this meeting, achieving these goals, and doing action for your
local after the meeting.
BEFORE THE MEETING
Getting ready for it:
1) Identify what community development project being done by your local and other
locals, too. Identify the important points like:
- How the projects progress now,
- How your local builds the relationship to the community,
- What problems happening in the community,
- What your local planning is,
- What obstacles your local faced,
- What external relationship your local build,
- and other points you think is important.
2) Learn about community development and medical issues which are happening now
3) Ask your friends, local officials, national officials, lecturer, or others about community
development and medical issues
4) Connect with other delegates from other locals
5) Prepare yourself that you will be leader in CIMSA, either local or national, and in your
community later when you are a doctor already

DURING THE MEETING
Delegates should be join to all of the MM sessions. Your attendance will be checked by the OCs
on each session. In order to get the certificate of these meeting, we asked you to attend at least
90% of MM sessions counted from your re-registration. You should be an active delegate during
18 session in MM 2014.
Some tips to consider:
1. Build relationships with other delegates
2. Understand diversity among delegates. Respect that there are different beliefs about
religion, culture, and background
3. Be sensitive. Be mindful that each person come from a different context and has a
different outlook on community development and medical issues
4. Keep your self-confidence up. You will be a leader in the future. Smile!
5. Approach delegates the way you want to be approached with courtesy and respect. A
leader must have great attitude.
6. Listen and observe whenever you can. Be open to diverse input
7. Dont be afraid to introduce yourself to other delegates, and ask questions.
8. Take the time and put in effort to network amongst the delegates. This is a great
opportunity to get to know other individuals and to get to know more about CIMSA.

AFTER THE MEETING
Your national meeting experience shouldnt end when the meeting ends. What you do
afterwards is just as important as what was learned during the meeting. The meeting is only a
4-day long but can serve as a starting point for preparing yourself to be a leader. The next step
is to put the information and knowledge gained to use in your own local and community.

And ask yourself:
1) What did you learn? How will you apply it in the local?
2) Stay in touch with the delegates through any media. Continue your discussion in the meeting
to make a better community development project in your local.
4) Consider how you can integrate what you learned at the meeting into your daily life as
medical students and you life later as a medical doctor.
5) Take it to your local. There are many ways to share what you have learned with others in
your local. You can make a presentation, blog, formal report, social media, poster, or anything
about what you got in the meeting.

SECURITY
For your own safety, we ask that you do NOT switch rooms with any of your friends or stay in
other rooms, except the OC recommends it. Remember, you need some rest to start your days
fully awake and alert.

PROHIBITION
Smoking, drinking and gambling are all strictly prohibited at all times. Please do not engage in
such activities while you're attending the national meeting.
Remember: as future leaders of this generation, proper decorum must be exhibited at all times.

WEATHER
The weather in Bandungan, Semarang is cold and the venue is in high altitude place. In fact,
temperatures range from 27C during the day and 20C at night.
Plan to pack sweater, jacket, shocks, warm gloves, and other stuff to keep your body warm.

CONTACT
You can contact the OC via your liaison officer. You can ask your head of delegation for your
liaison officer contact.

DEPARTURE
On June 1st, the free airport or train station transfer will leave for the airport or train station at
the following hours: every two hour, start from 10.30 a.m. untill 15.00 a.m.
Please take note that boarding of the bus is on a first-come-first serve basis and no reservation
is required. The OC will not be held responsible if you are unable to board the free airport bus
service, but OC will give you the best references.
