Willow Park School Council and Milton Williams Parents Association


Executive Nominations

The mandate of our School Council Executive is to work together to make Willow Park a better place for
our children and all students. In order to achieve this, the Council requires volunteers to fill a number of
important roles. The purpose of these roles is to consult with our school administration and staff to
ensure school performance, programs, and priorities meets the communitys expectations. We also use
School Council, and our Parent Association to coordinate special projects and fundraising initiatives that
enhance the learning environment for all of our children.
In order to continue to achieve our goals, we need your help.
At our upcoming Council meeting on Tuesday May 19, we will start the evening at 6:30 pm with
our Year-End Social. Drinks with a cheese plate will be provided and we invite you to bring an
appetizer or dessert to share, if you wish.
We will start our meeting at 7:00 pm at which time we will be nominating and electing the Council
Executive for next year.
If you are interested in joining School Council or have any questions, please contact Danielle at
willowparkschoolcouncil@gmail.com to allow your name to stand for a position. Most positions require a
very small time commitment outside of work day hours, and Council is a great way to support the school
you have chosen for your children to attend.

Milton Williams Parents Association

Willow Park School Council and Milton Williams Parents Association Roles and Responsibilities:
Chairperson
Ensure Council is adequately staffed to meet CBE guidelines
Act as representative of Willow Park to CBE and Administration
Chair all council meetings with appropriate agendas
Act as President of Milton Williams Parents Association and one of three signing authorities
Meet on a regular basis with school administration
Ensure governance and respect for the views of all students are maintained
Stay informed of school matters and communicate those to council for feedback
Act as a mediator / tie-break / consensus builder on issues that have not gained clear consensus
Vice Chairperson
Fill in for Chairperson where Chairperson is unavailable
Chair sub-committees and accept extra duties as required
Secretary
Take meeting minutes and distribute to all in attendance or those interested
Ensure sub-committees capture information and minutes for distribution as appropriate
Issue and receive correspondence on behalf of MW Parents Association and WPS Council
Ensure documents regarding the Parents Association are in order to maintain non-profit status
Treasurer
Report on the financial status and accounts of MW Parents Association at the regular meetings
Act as primary bank contact and one of three signing authorities
Prepare appropriate corporate returns for MW Parents Association
Ensure proper controls and audit process are in place to handle our communitys money
Engage with fundraising coordinators to ensure collection of funds and NSF process are managed
Immediately communicate any discrepancies in council funds
Meet with administration regarding reporting of fund usage (as appropriate)
Volunteer Coordinator
Ensure all volunteers have identification and security clearances
Maintain volunteer database
When required and under direction of WPS staff gather volunteers for special events
Ensure volunteers feel valued and respected as part of the smooth functioning of the school
Fundraising Coordinator
Organize and facilitate school-wide fundraising efforts approved by WPS Council
Coordinate volunteers for fundraisers with the Volunteer Coordinator
Casino Coordinator
Coordinate all Casino applications for MW Parents Association
Work with a team of people to distribute the workload of planning a Casino event
Coordinate how the funds are spent to ensure compliance with Alberta Gaming regulations
Key Communicator
Capture and communicate information regarding CBE, Area and community meetings that will be of
interest to the school community
Attend CBE Council of School Council (COSC) and CBE Area meetings (6 8 times per year)
Report information monthly to School Council
