3A. Review the job descriptions for key office personnel at the school (e.g.

, school
secretary, financial secretary, attendance officer, etc.). Following your review,
meet with these persons individually or as a group to discuss their major duties,
technology skills and applications, concerns, and recommendations regarding the
work required and its relation to the job description. Include your findings in your
portfolio. (ELCC 3.1; 3.2)
Fountain Rock Elementary is a small school. We have one school secretary. Larger
schools have two. This means that our school secretary is responsible for the job of two
people at a larger school.
I conducted an interview with the school secretary at Fountain Rock on August 6, 2015.
From that conversation I garnered an understanding of the duties and responsibilities of
the school secretary that were previously absent or misunderstood. The major duties of
the school secretary at Fountain Rock include being the school registrar. This includes
enrolling students, maintaining student records, student transfers and anything that has to
do with student records. She is also in charge of bookkeeping and purchasing. She acts
as the accountant for the school funds. Any allotment from the Board of Education and
any expenditure at the school level go through her records. She is the first point of
contact for all visitors and answers the phones. She also creates the numerous schedules
for the school including; two hour delay schedule; early dismissal schedule; and encore
schedule.
The school secretary at Fountain Rock is required to be proficient in both Windows and
iOS operating systems; word processing, spreadsheet applications, publishing software,
bookkeeping software, Synergy application for student records and attendance, Tyler for
purchasing and other miscellaneous programs. She also maintains printers, copiers, and
scanners for the office.
The school secretary at Fountain Rock vocalized a few concerns, but noted she had too

many to mention them all. Her main concern is that in the wake of school shootings that
have happened in elementary schools, she has become the security of the building. She
feels that she has insufficient resources for that responsibility.
She also says that this position requires much more management of people and resources
than is listed in any job description. It also carries much more responsibility of dealing
with parents and behavioral issues than any job description she has ever seen.
She recommends a greater recognition of the direct responsibilities with students.
Because our only administrator is the principal, and he is out of the building occasionally,
she inadvertently becomes the point of contact in the office for behavioral issues.
Because of the absence of the principal, she also wishes there was a greater recognition of
her as an independent decision maker in certain situations dealing with parents, teachers,
and students.
