1) Identify the communication problems in this case.

i.

Call VS Desk Note

Marge did not make a call to Hal to report the problem immediately; instead she
put a note on Hals desk. Apparently If she gave a ring to Hal, Hal could had tied up the
loose ends with some suggestions. Since this could control the damage in a better way.
The better way to communicate and to inform on urgent or important things are by using
telephone call or at least by text messages or any mean that could reach a person
immediately.

ii.

Cafeteria Meeting VS Office Meeting

Meeting at office or work area is the best way of discussing and solving rising
agenda. Marge and Hal should conduct a formal meeting along with Bill to solve the
issue. Cafeteria meeting is inappropriate and will always cause deviation of topic needed
to be discussed and leads to gossips, chit chat and etc.

2) Suggest the routines or procedures should be altered to prevent a similar situation from
happening.
i.

Train more than one person for problem solving skills

In this particular case, Bill was the only person that Hal and Marge behold on to
solve the issue arose. This would lead to problems when the person needed cant
present on the needed time, hence causing loose ends in many aspects. Sub ordinate
should know on problem solving skills and be trained for further usage.

ii.

Improvise communication skills

Urgent matters, important actions and emergency matters should be informed
immediately and by the mean of reaching the person right on time on the matters. This
would give the person in charge to take corrective action and make a control strategy
towards the damage done, if needed. Phone calls are the best to go for, instead of
classical desk notes.

iii.

Always have contingency or back up plan

Many businesses have no contingency plans for maintaining communication if

affected by a disaster. This contingency or back up plan is the savior during disaster of
any disturbance that occurs especially matters related to production. By having
contingency plan, Marge would have know what to do, even Hal would know the same
thing when the first or master plan turned out the other way around.
