Personal and Professional Development

Individual Assignment

1.0 Introduction
The quality of your thinking determines what you do, what you feel and what you want, you are
what you think. If your thoughts are not realistic, it will lead to disappointments.
Personal and Professional Development is been one of the most important concept for the long
term development in the career. It can be said that it is the basic way to set up the aim in life. It is
the duty of any individual to find out what are the skills they are lacking of and work on it for the
long term development of their life. It is believed that the education is the main or the initial step
in anyones life if they want to gain knowledge and skill. Professional life is the place where the
individual can put those knowledge and skill in to play. Professional life on the other hand also
helps an individual to enhance their existing knowledge and skill. Before an individual leave the
academic sector, he has to develop a personal and a professional development plan.
A personal development plan is really helpful for any students or to any professionals those who
want to achieve better results in their respective fields. It keeps alerting an individual the skills
that he is lacking of and guides him in the right path towards the success.
This report basically touches on the personal development plan that shows the current skills and
knowledge which includes all my strengths and weaknesses. Development is not short term, its a
lifelong of shaping and improving skills of an individual, nurturing, and interest which will
ensure my maximum effectiveness. The personal development plan which I have prepared is a
opportunity for myself to know myself better. And also its identifiable where I want to be in my
life in the short term as well as in the long term. And it guides me on which areas I need to
improve in.
It is important to apply the SMARTER objective for an individual to create a proper PDP and go
up the ladder and end up where he wants to be in his life.

Task 1 Understand how Self-Management Learning can enhance life long

Development
1.0 Self-Management Learning and How to Develop those Skills
1.1.1 Self-Management
Self-management is a key which will help an individual throughout their life. It definitely
involves managing time and setting goals. By having effective self-management the individual
can avoid stress and make him involve in more activities and make him productive. A key skill in
self-management is so called the self-regulation. Self-regulation refers to individuals controlling,
monitoring and directing characteristics of their learning for themselves.
Accordingly, I as an individual need to identify and understand what are the self-management
skills that I need to have in order to be successful in my personal and professional development
career. The below mentioned skills are the skills that Im focusing on and have mentioned ways
on how I can develop it.

1.1 Time Management Skill

Time management is one of the most important skills that an individual needs to have. Time
management skills allow people to organize their work and personal life efficiently. It will be
helpful in whatever the career that an individual choose to lead his/her life in. Everyone differs
from one another; therefore they have their own daily routine with different time clocks. A
person who manages time well will finish tasks ahead of deadlines, without last-minute
scrambling or sacrificing work quality. The major disadvantage of having poor time management
is the effects it has on stress levels. It leads to the dissatisfaction of not having worked hard and
wasted time. A person who poorly manages time cannot manage things in an efficient manner
and also the poor time management leads to imperfection.
How to Develop the Time Management Skill
Prioritize-We will have a lot of things to be done, so divide the tasked into different
groups like how important and urgent is the task which is to be completed, therefore do
BM/46/16

Page | 7

Personal and Professional Development

Individual Assignment

the task which has the higher priority and compete it first and move to the next task
instead wasting time.
Be specific- Its important to make the task specific as much as possible, we tend to
follow through then, especially if we write it down. For example, instead of saying that
you will complete 3 tasks this week, say I will complete 3 tasks on Thursday by 5 P.M.
Small bite-size pieces- we will feel overwhelmed so easily, therefore breaking down the
main tasks into sub-tasks will make it easier to complete the task effectively and
efficiently on time.
Uses all available time- make use of all the available time instead wasting them will help
to complete a task soon. For example, if u are to complete an assignment, and supposed
to submit it in 3 days, but you have classes to attend every day and it takes you two hours
to travel up and down, plan it out, make use of that time, use the latest technology, that is
the smart phones and browse on the internet for information which you will need to
answer a question or two in the assignment and get an idea. And complete the task as
soon as you reach home as you already have the information which is needed for that
question.
Structure the environment- having a good place to do work without many distractions
also will be a key reason where we can complete our tasks without wasting time.
Establish a routine- We are creatures of habits. If we study at a certain time or day then
it will be easier to get into concentration mode. And also, it is better to study briefly and
regularly.

1.1.2 Presentation Skill

This is the skill which refers to the ability of communicating in an effective way despite the fact
presenting it to a small or a large audience. It a process where you explain and show the content
which you are talking about to your audience. In order to be an effective presenter or a
communicator, one has to keep practicing the presentation which is to be presented in order to
make it effective and efficient. But sadly, most of us lack in many areas such as in
pronunciations, having stage fear and lack of knowledge of the content which is to be presented.
By not doing a good presentation, the audience will not understand what the presenter is trying to
say and therefore the presentation will be a waste and also a time waster for the audience as they
expect something better and a message from the presenter.

BM/46/16

How to Develop the Presentation Skills

The following eight tips will help me to be an effective presenter;
1. Talking naturally to the audience- its always good to avoid reading from a script when
doing a presentation. And at the same time its good to keep a short note in hand to make
sure if in case we forget what to talk, therefore can have a quick glance into it and talk to
the audience naturally again.
2. Stand and move around a bit, therefore the audience will get attracted and be interested.
3. Change the tone, pitch and volume of the voice- by doing this, it will again get the
attraction of the audience and it will give the audience an interest to listen instead talking
in a monotone voice which will make the audience feel bored and loose interest in the
presentation.
4. Have eye contact with the audience-Keep looking at the audience, every single person
who attends it, it will make the audience feel good and get their attention towards the
presenter.
5. Using visual aids when appropriate- Using graphs and charts, diagrams, pictures and
video will make the presentation interesting. We should talk all the relevant things which
is relating to the visual aids and not showing a picture and talk some other things which
will distract the audience.
6. Keep rehearsing your talk and check the timing as a long presentation will make the
audience loose interest.
7. Prepare and structure the presentation before presenting- before starting the
presentation, tell the audience what are you going to talk about and end with a good note
that is summarizing all the points talked in the presentation throughout.
8. Be focused throughout the entire presentation- Do not get distracted and avoid giving
un-necessary details.

1.1.3 Leadership Skill

In the managements point of view, leadership role is played by a person called a leader where the
considering leader should direct and influence all organizational members towards the goals and
objectives of the organization. Therefore, every manager in a business should be a good leader.

BM/46/16

Page | 9

Personal and Professional Development

Individual Assignment

In order to become a good leader, the considering person needs to have power, he should have
followers and he should have more powers than the followers.
The leadership roles and skills can be seen around us not only in the work environment. It can be
applied to any situations where you have to take the leadership professional wise, socially and at
home when it comes to family settings. Leaders become leaders because they have the credibility
to become a leader and people want to follow them.
Nelson Mandela says, It is better to lead from behind and to put others in front, especially when
you celebrate victory when nice things occur. You take the front line when there is danger. Then
people will appreciate your leadership.
How to develop the leadership Skills
There are 5 ways to develop the leadership skills and be a good leader by doing the right thing.
1. Vision- Focusing on the big picture and being ambitious
First and foremost understand on how to gain success to the organization by having the
contributions from the team. Set realistic and measurable individual and team goals, and
communicate your expectations in the context of the big picture.
2. Have Confidence
Having confidence is always the right thing to do. Recognizing the strengths and the
overcoming the weaknesses will help being a good leader. Plan for the unexpected and
nothing will surprise you. And its always important to control the stress level at any
given situation. Accept any negative comments people make and keep marching to\wards
the success.
3. People skills
Its important to take the others opinions into account and understand them which will
encourage them and make them feel good. A strong leader necessarily doesnt mean that
he needs to be right every time, therefore being flexible with others by taking their
opinions into account and making a decision will make us a good leader.
4. Motivation skills
Encourage others when they do a work properly and give them to make decisions where
necessary. Once the given task to them is completed successfully, celebrate it with them,
it is a way of motivating them to do better work in the future. Being a leader will not
always say that people will start following, its the duty of the leader to make sure that he

BM/46/16

Page | 10

Personal and Professional Development

shows some ways to the people to say that he is behind them, helping them when
necessary and guiding them through the right path.
5. Take Responsibility
If anything goes wrong and the staffs were unable to complete a given task and of the top
management complains, take the blame on you and not put them to the employees, this
will be a way of motivating them as well as they will feel better and they will respect the
leader more and do the right thing the next time without any mistakes. And also make
sure to solve problems when necessary.

1.1.4 Anger Management Skill

All of us get angry; therefore we know what anger is and how destructive it could be. By not
being able to control anger, it can lead to bigger problems as the anger will control you and you
will not control the anger any more. It can lead to personal relationship problems, problems at
work and in the overall quality of the life.
How to develop the Anger Management Skill
It is not really easy to overcome the anger. But still we can reduce it for a certain extent. By
recognizing the anger signs such as when the heart beats faster and breathing faster is a sign to
show that you will burst out with anger, therefore by taking precautions such as keeping calm
and controlling the anger before the anger control you will make sure that no problems will
occur. Counting from one to ten will also slow down your anger as it will give you some time to
take the next step, breathing slowly when being angry will make you cool down and when you
are really angry, talking to a friend about it and taking the next step will actually stop be violent
and make the situation calm and not lead to any family, personal or work place problems.

Having good communication skills are skills facilitate people to communicate effectively with
each other. Effective communication involves the choice of the best communications channel,
the technical know-how to use the channel, the presentation of information to the target
audience, and the skill to understand responses received from others. Developing good
communication will help many aspects in life, from the professional life till the social gathering.
Having the capability to communicate informations clearly and accurately and as intended, is a
key life skill and something that should not be overlooked. Having good communication skills
improves the quality of life.
How to develop the Communication Skill
Communication skill is really an important factor which is to be considered when it comes to the

an active listener as listening will let us understand a other person and respond to that person in a
better way and its a way for showing respect to the other person by listening what he says as he
will feel that we give importance to him. One of the ways that I can be a good communicator is
by being a good listener. And on the other hand, the other factors I need to consider are; try to
speak fluently as possible and make sure people can hear me when I speak, use proper grammar
when I speak, get feedback from my receiver to ensure that I wasproperly understood during the
conversation, have confident when talking, it doesn't matter what other people think and use
appropriate volume the conversation Im going to have.

1.2 The skills that are required for lifelong learning which will affect the PPD
The best way in order to empower our lives and making ourselves better-off is by organizing our
own lives and also the societies around areby self-improvement and learning. The skills which
are mentioned above such as communication skills, presentation, time management, anger
management and leadership skills affects a lot if Im to develop myself professionally and
personally. By working on the above mentioned skills will give me the benefits to my student life
as well as my professional life in future where I will be able to compete with the other
individuals effectively. These skills will affect lifelong and will not stop in any instances. Let me
highlight on 2 key skills that I pay more importance to.

1.2.1 Time Management Skill

Time management is one of the skills which are to be given high priority as it plays a major role
in everyones life. Its very crucial in order to have proper time management. Currently Im a
student enrolled to do the HND in business management; it is never easy to manage the time
when it comes to assignment submissions as I have my personal works to be completed as well.
As I help my dad in his business. Therefore, I really have a hard time completing the assignment
at least a day before the submission. And I rush doing it within a day or two and end up getting
merits or just passes and not distinctions. Therefore, if I maintain a better schedule, that is by
having proper time management I will be able to get distinctions for my assignments by
completing it perfectly and also help my dad in his business smoothly in his business which will
help me reduce the stress level as well. For example, if I keep away two hours a day for the
assignments and spend 6 hours working with my dad, I will be able to have a proper balanced
time management. By developing this now itself, it will help me in my future activities as well,
when I start to do my degree and also when I get enrolled in a professional job.

1.2.2 Leadership Skill

On the other hand, throughout my HND life as a student, I always loved to take the leadership in
class when different events come up, but unfortunately lacking of my forwardness made some
other individuals to take up the leadership. The reason behind for my lack of forwardness is that I
dont have self-confidence, I feel people might not like me and due to that my leadership will

BM/46/16

Page | 13

make the event which is to be organized a flop, but everyone in the class likes me a lot, I was
able to identify that when I had to take the leadership as a marketing manager when we had to
work as an organization and do a CSR project. Everybody loved working under me as I was not
an autocratic leader and was flexible with everyone. Taking the leadership was a success at the
end of the day, but it would have been a great success if I have had more confidence and being
more vision- focusing on the big picture and being ambitious and also if I had taken more
responsibility. Now I have identified my weaknesses, these are the areas which I need to develop
in and be more successful not only in the rest of my HND life, but also when I get enrolled in a
job and take the leadership with confident when necessary.

1.3 Advantages to the organization and to self-benefits based on the selfmanagement skills which are been developed
The Royal Bakers was the first firm in the bakery industry in Beruwela in the year 1895. They
serve their customers with all sorts of bakery products such as breads, buns, short eats and cakes.
This bakery is known for the quality products that they produce since the beginning. I have been
working for this organization, and by applying my developed skills above, time management and
leadership skills, both the organization and I can get benefits as mentioned below;

apply for a Job
In order apply for the Job opportunity selected, there are few qualifications and as well as skills
that they require for, and I have some of them, but unfortunately dont have a few like working
experience. Everything will be explained using a SWOT analysis. But on the other hand, I
wanted to apply for this job was because I have got the main qualifications.
Strengths
I have completed my Higher National Diploma in Business Management in a reputed
institution. And in addition, will be entering the University of Greenwich in the near
future to do the degree.
I have got through my Ordinary level exams with a minimum of 6 credits and it includes
Math and English.
And I have got the proficiency internet applications.
And got an excellent command in 3 different languages such as English, Sinhala and
Tamil.
Not more than 28 years of age.
Weaknesses
I dont have any previous working experience.
Dont have the proficiency in Microsoft Office.
Opportunities
There are employers those who are willing to provide Job experiences for school leavers
and HND holders. I can do a job to get some working experience to get enrolled in the
job that am really looking in for.
I can do a computer course in Micro Soft office and have diploma in it in 6 months.

Many degree holders are seeking for jobs, therefore, as im holding only a HND though
the job still asks for a HND, there is possibility for a degree holder to fill in that position,
and as a result I will lose the opportunity.
Many companies wont be willing to give working experience as there a are a lot of
others who are searching for it as well.
All what I have to do is, start doing the diploma in the computer course and gain the knowledge
of Microsoft Office and then seek for a place where I can get working experience from so that I
can make it fast and apply for the vacant position before someone else does.

3.0 Methods to Implement to create a proper PDP using SMARTER

Objectives
SAMRTER stands for Specific, Measurable, Achievable, Realistic, Time bond, Evaluated and
Rewarding. Personal development planning is the lifelong process of nurturing, shaping,
updating and improving an individuals skills, knowledge and interests to ensure their maximum
effectiveness and adaptability. It is about enabling individuals to improve and develop in line
with the industry in which they engage or aspire to engage. My sole aim is to be a marketing
manager in the near future, for that I need to improve in my communication skill; therefore I
need to have a proper PDP.
Specific: simply this explains what exactly I want to do. I will need to be specific if Im to
develop a proper PDP plan in order to achieve my goal that is to be a marketing manager in a
leading company. I need to be clear on what exactly I need to achieve. I will need to breakdown
my tasks to be completed in to smaller tasks.
Measurable: this simply means,is it measurable and is it quantifiable. Measurement is the
standard used for comparison. It measures if the objective has been met. I need to have plan time
to time to see if Im achieving what Im supposed to achieve. If I dont do that, my actual
achieving results will be differentiated from the results which were really expected.
Achievable:this simply means, if it can be achieved in the time frame set along with the
resources available. Resources also refer to the people who are there to support me in order to
achieve my goal. And I need to set the objectives based on the PDP if its achievable only.
Realistic:In order to be realistic, a goal must represent an objective toward which Im willing
and able to work. A goal can be both high and realistic; Im the only one who can decide just
how high my goal should be. But I need to make sure that every goal represents substantial
progress. Simply, I need to make sure that its attainable.
Time bond: A goal should be grounded within a time frame. Once I divide my main tasks into
smaller tasks, I have to make sure that I set a time in order to achieve one task and work
accordingly.

BM/46/16

Page | 19

Individual Assignment

Personal and Professional Development

Evaluate: I need to make sure that I evaluate my own work and see how well I have performed,
if I feel that I have not worked well, and then start working on it.
Rewarding:I need to make sure that I keep reviewing on what I have done in the past till the
present and see how well I have performed. If am to improve, I need to make sure that I
overcome on my weaknesses and start working on being more productive and build a good PDP.
The smarter objective will be helpful for me to create and receive a positive outcome for my PDP
and benefit me in the long run.

3.2 Learning Styles

There are four types of learning styles such as Activists, Reflectors, theorists and pragmatists.
Activists-I will try anything once
They are the people those who learn by doing things. These people have an open-mind in
learning and they try new things. They are actually not interested in planning what they are about
to do. They like meeting new people, exploring new places, creatively developing new concepts
and coming up with new ideas. They learn best from new experience and challenges from which
to learn, opportunities for just have a go and situations in which new ideas can be developed
without constraints of policy and structure.
Reflector- look before you leap
Reflectors learn from observing and thinking about what happened. They are good listeners.
Their strength is in being able to review (or reflect on) a situation and use it as a learning
opportunity. They like to observe thingskeeping a distance and evaluate from different points of
views. They have time to think before acting and to assimilate before commenting and can carry
out careful detailed research.
Theorist- if it is logical, its good
Theorist always likes to know the theory behind the actions. They need concepts, models and
facts in order to engage in the learning process. They are not comfortable with subjective
judgments, lateral thinking or trivia they simply prefer certainty. They actually live in the world
of ideas. They have well organized minds.
Pragmatist- if it works, its good but there is always a better way
The love to try out new ideas and also they try techniques and theories to see if they really work
practically. They positively search out new ideas and take the first opportunity to experiment
with applications. Once an idea attracts them, they will quickly start working on it. They are
essentially practical, down to earth people who like making practical decisions and solving
problems. They respond to problems and opportunities as challenges'.

3.2.1 My Learning Style

Accordingly, I believe that am a reflector. The reason as to which that I call myself a reflector is
because I always look before I leap. Meaning, I always think for the second time before I make a
decision. I used to ponder experiences and observe them in many different points of views. I
used to collect data from others at times before I come to a conclusion and sometimes delay to
give the final decision as I need to analyses the data people give me. I do this just be in the safer
side and take precautions to face future problems. I used to listen and observe people in
meetings, and based on their announcements I make my decisions and work pre-cautiously to the
future. I believe being a reflector is always good as we are future oriented.

4.0 Conclusion
In the conclusion, for me to say, this report totally talks all the benefits that I can gain by having
a good PDP in the short and as well as in the long run. It not only helps in my personal life, but
also helps a lot for my professional life that I will be leading soon. PDP is a path way for me to
walk towards the success.
At the beginning of this report, I talked about the skills, I mentioned five different skills that I
need to develop in. by developing those five skills am sure I will be able to be in a good social
condition in the future which can be applied to my personal and the professional life. I selected
two skills such as Leadership skill and the time management skill because I wanted to be a good
leader in future. I missed many opportunities of getting the leadership in the past due o lack of
forwardness, now that I have a plan, I will follow it up and definitely will be forward in future
events and take up the leadership at any instance and be a good leader. On the other hand, the
time management is one of the most important skill that I need to develop on, taking the HND
assignment submission as an example, I submit them on time, but the quality of the assignment is
low as I dont do it well because I start it at the last moment every time as am busy with many
other work, now that I have a plan, will be working according to the plan which will help me do
my assignments on time with better quality. This will have an impact on me as well as the
company that I will be working in the near future. It definitely will have a positive impact. The
productivity of both the company and me will be increased and the quality of the output of mine
will be at a higher rate if I follow a proper PDP.
I also have done a SWOT analysis for myself, this was done because I had to select an job
advertisement and apply for that job, but as am still lacking of certain skills that the company is
looking for from the potential job seeker, I identified the weaknesses that I have, the strengths,
the opportunities and the threats I will have in contact with the relevant job vacancy. Giving up
on it was never an option for me as I want that job, therefore I have prepared a PDP on how I can
be successfully applying to that specific job by improving myself. The weakness that I have
when comparing to that job is that am lacking of some computer literacy and working
experience. All what I have to do is, start doing the diploma in the computer course and gain the

knowledge of Microsoft Office and then seek for a place where I can get working experience
from so that I can make it fast and apply for the vacant position before someone else does.
Moreover, I have touched on some points where I can develop myself with a PDP by using
SMARTER objectives. I have briefly explained what are these MSARTER objectives are and
based on those objectives, how I can improve myself in order to head towards my success
bravely and successfully. I even have created a log book to state that how my progression was till
the last day of the lectures we had in the campus. It touches on the response that was made by
my lectures based on the skills that I had, for an example, he commented on my speaking, he
pointed out the weakness like, that I use too much of words like um, em, ya in-between my
speech. So by avoiding them, I think I can be a better speaker according to him. And finally, I
have talked about the different learning styles that are in practice such as activist, theorist,
pragmatist and reflector. After considering all the 4 styles, I identified that I belong to the
reflector group as I believe that I am always future oriented, I always think twice before I make a
decision and it has really helped me avoid many problems in my personal life till today. And I
believe being a reflector is always a better option as the future is predicted instantly and also
based on the past experiences.
