Kudler Fine Foods is a gourmet specialty grocery store, and has three locations in three upscale San Diego, Ca. Kathy Kudler is a gourmet cook and saw the need to open a shop for consumers to shop for ingredients for her dishes. With years of the corporate America, Kathy Kudler turned her passion into a very lucrative business. As a result, Kudler Fine Foods was founded in 1998. Kudler FineFoods has 127 employees, and Kathy is the company president. The structure of the company is divided by the corporate and retail employees, however they still have to report to Kathy. The Director of Finance and Accounting, Director of Store Operations, Director of Finance, and Human Resources report directly to Kathy. They help to assist Kathy about business decisions that will help with opportunity to grow. The Director of Finance and Accounting, John Smith, is to create goals, policies, procedures, and priorties that is related to the budget, finacial management, payroll, and accounting. John also supervises and participates in preparing the finacial statements and report for the company, this includes future costs and revenue. John also has the task of creating system controls for new finacial systems, and ways to improve existing systems. John supervises 2 accounting clerks and 2 computer support staff members. The accounting clerks classifies, computes, records, and verifies the numerical data as to maintain the accounting records. The computer support has the resonsibility for installing, modifying, and upgrading the computer systems, and train the staff on hhow to use the new equipment. The Human Resources director, Joan Davis, has the task to develop policies while directing and coordinating administrative and human resources activities, this would include hiring, compensation, labor relations, benefits, training new hires, and services to employees. Joan

KUDLER ACCOUNTING SYSTEM PAPER also manages the development of human resources systems and mantains them as well to meet informational needs of management. Joan also needs to be knowlegable of legislation, arbitration decisions, and collective bargaining contracts, so she can assess the need of the industry. Ms. Davis is the represenative for all negotiations of collective bargaining agreements. One part of Joan Daviss role is to forcast employment needs of the company, so she can create a recruitment plan to make sure each store has the proper amount of employees. She provides training of the employess to the policies of the company, so each employee hired can

follow the proper procedures. Joan also analyzes wage and salary reports to be competitive when it comes to wages for the employees. Joan maintains employee record, safety reports, benefits, schedules appointments for interviews, and answers calls. Director of Service Operations, Dave Steal, manages the operations of the three stores, which includes management of the inventory, purchasing, and the logistics. He is responsible for facility maintenance, security, and staying complient with any state and federal regulations (OSHA). His duties include, he acts as the supervisor for the manager for purchasing and inventrory manager. He also consults with the management on any operational matters in regards to store operations, develops the budget, staffing, store designs, products, and the pricing. Mr. Steal also manages all of the outside contracts for store maintenece and the custodial services. Mr. Steal also has the task of developing policies for inventory, procedures for customer satisfaction, and to maintain contracts with vendors. The retail level has three store managers that report to the president. They carry out the day to day operations of the stores in strict accordance of the policies set at the corporate level. The store manager are responsible for keeping track of the inventory, payroll, reconciling the cash from sale receipts, and prepare finacial reports for the accounting department. The store managers also

per procedure. Managers are also responsible in creating employee schedules, and assigning duties. There are several different types of system software used at Kudler for managing their accounting and HR functions. Kudler is using an external company to handle their finacial data. Earnest Young Consulting was contracted to install an retail management system for Kudler. After the install was done for each store Kudler kept Earnest Young Consulting for maintainence on the system. The system can track all aspects of the Kudler Fine Foods expenses, receivables, HR functions, payroll, benefits, and employee information. While the company uses some advanced technology for some of the areas, they still need more coverage. In the retail division, the managers are storing personal employee and company information in the store computer. The store managers then have to send the information to HR for entry in the main database. This cost to administrate this could be less if Kudler would allow the store managers access to the database, which would eliminate lost information and possible stolen data. Computer in each store would eliminate a paper trail in the store, and each store would not have to store paper files. The internet site that Kudler has gives good information about the service and product they have, but is need of updating to increase customer satisfaction further and increase sales. The site could use some better interaction that would allow the customers to order online. Kathy Kudler open her store and has been successful, but with her wanting to expand further, she need to update the system the company uses, and allow better customer interaction. The use of technology in every aspect of the company can achieve this.
