1. Introduction & Background

The New Trans Gulf is a Recruitment Agency located in Colombo 06, Sri Lanka. The Managing Director of this company has requested us to develop a system where they could enter their professionally needful data.

1.1.Problem Statement
The above company has been functioning for more than 10 years in the recruitment field, but until now they have been using the simple Microsoft Excel sheets and manual ledgers to keep their records about the recruited employees and, registered employees and other important data. Because of the above workflow there have been several mishaps in the company such as. Losing Important Data Theft of Data Difficulty In Tracing Data

So this has been a great opportunity for the opponents of this company. So the management has decided to introduce an Information System to the company where all the data will be stored and protected. This will enable the company to overcome the above problems and gain some additional improvements to the company.

1.2.Previous Work
As I mentioned above section the company has never used an information system before. So we searched around for some systems those are related to the above mentioned Agency Management System but we couldnt find any as these kinds of systems are used very rarely in Sri Lanka.

1.3.Objectives
Objective of this proposed system is to store the important data of the company more securely and make it easy to trace. Input the data in to an information system. Secure the data. Search for data easily. Reduce storage space. Create a dynamic webpage.

1.4.Scope
The scope of the above proposed system is to provide a better, effective and more efficient service to the customers, registered employees and the sub agents and use the web page as a beacon for the registered employees and the customers.

1.5.Background
As mentioned in the above chapters there are several kinds of agency management systems but in this case these kinds of systems are very rare, so because of that there are many milestones we have to reach in order to complete the proposed system. Here as I have mentioned above we are basically planning to do the system as they requested above. In additionally we suggested to them to include their account also to this system as they are maintaining that also I manual format. The web page will be also created and it will be hosted within the company or it will be out sourced.

2. Project Description
2.1.Functional Specifications
2.1.1. Functions Performed According to the analysis we did, we identified several important functions the system should perform. Add, Edit & Delete Data The user can add, edit and delete any kind of information in the system. Search The user can search for any kind of data in the system and the system will provide a grid view of the search to the user. Print Data User can print any kind of data in the system. Report Generation The use can generate the predefined reports in the system according to their requirement. User Restrictions Only the administrator can use this function as this will be a major key point to the security of the system as this will enable the administrator to add or delete users and restrict the users from several functionalities. Upload The data can be uploaded to the website automatically.

2.1.2. Limitations & Restrictions When developing this system we will come across different limitations and restrictions, the basic reason for this will be the lack of experience in the industries, however we look forward reduce such limitations and restrictions to our maximum. The following are some of the expected limitation restrictions most likely to be occurred during developing the project. Lack of resources

Even though we have enough members in the project team we are lacking of fulfilled resources, it means the required resources are not fulfilled. The team consists of programmers and designers, the position such as database developer, analyzer and designer is missing so the other members have to allocate to different jobs which they are not relevant to, that one limitation we have. However by creating a good strategy we are planning overcome that limitation. Lack of Knowledge

As we know we are not even in a quarter ways of the professionals, we are still learning so we might face some trouble in between the project. But some self study, research and with the support of the supervisors we are trying to overcome the restrictions. Time

We have a limited time to complete the project, and since we have lack of experience we have more chances of choosing a big scope end up in a mess. So at a stag of the project the tome will become a limitation for us. The planned scope might not be achieved because of the lack of time. Increasing scope

This also because of the lack of experience, at the beginning of the project we start with a scope but actually the real scope will be higher when you move more and research more, For sure the scope will increase in the middle of the project. But actually we cannot let the scope increase so we will limit the scope with some extend, which wont allow the total successful project.

2.2.3. Implementation Language & Technology VB.Net is selected as the programming language for the proposed system as it is an object based language it will be much helpful for us. It also carries some other characteristics like user friendliness for implementing required functions. In addition, it has an ability of collaborate with other languages within the same project. Furthermore in any circumstances if the customer wants to move for a web based system

that also possible with VB.Net. So we choose VB.Net as the most suitable language for the proposed system. We are also planning to use My SQL as the backend database because its free and easy to use for these kinds of systems. For the website we are planning to use HTML and other advanced web languages.

2.3.Implementation Plan
2.3.1. Deliverable Items Final Product Executable File Final Documentation The final documentation of the project will contain the top to bottom development details such as feasibility report, SRS, system design, system plan chart etc System Test Log The system test log will contain the detailed report of testing of the system, which will include all kind of testing including the user tastings. User Manual The user manual of the system will contain the way the product to be used and, small troubleshooting. This document will also define user restrictions, rules and regulations of use. Training Guide The training guide will define how the new user or administrator has to be trained, and what are the key points he must know. 2.3.2. Project Team Structure & Responsibilities

Project Team will contain a leader and four members (Five Individuals). The leader will play the main role in this and the members will do their parts as we progress on the project. The responsibilities of each member will be divided according their qualifications and experience in IT field. 2.3.3. Milestone Descriptions The milestone description defines certain points which will let to identify the progress of the system. Each and every milestone will be a completed process and at the completion the progress can be measured by comparing the duration allocated and the current position. The following are some of the points or milestones which we define for our project. Detailed System Analysis The analysis made on identifying the user requirements. This includes the fact finding techniques and final SRS. Detailed System Designing The designing of the entire system satisfying the user requirements, which includes DFD, UML and ERD. Module Design The system will be divided into a module and will be designed individually; this design specifies the interface or multimedia design. Module Coding The process of coding the back end of the module, at the completion of each module a working module must delivered. Module Testing The process of testing the module developed for errors, if the product has any error it will be sent back to previous stages.

Integration After developing all the individual modules interconnecting and developing the final product will be done in this project, at the end we must have a product in working condition.

Complete Testing The final product will be sent to the final testing in this stage, all kind of testing method such as black box, white box, user acceptance etc will be performed. If the product is with error it will be sent again to previous stages, ate the successful end of this stage we must have the final product in our hand with total error free.
