Typographic conventions

Overview
1. General information
The ZF Extranet is a platform for customers and suppliers of ZF
Friedrichshafen AG, for making available services, information, and data on
a protected Internet platform.
In this way, you can access current data at any time and thus optimize your
collaboration with ZF Friedrichshafen AG.
Note: The ZF Extranet help documentation describes only general topics
about the Extranet. Once you are a registered user, further information is
available.
Important: The Help document is applicable only for external Extranet users
(suppliers and customers of ZF Friedrichshafen AG).

2.1

Help

Help provides a description of the user access in the general services


available in the Extranet. As a registered user in the Extranet, you have
access to special documentation related to various applications.

2.2

ZF Extranet Portal

The ZF Extranet portal is part of the ZF Friedrichshafen AG website.


Extranet access is available on the ZF Friedrichshafen AG homepage at
http://portal.zf.com/extranet or at www.zf.com.
The ZF Extranet serves as a central platform to provide customers and
suppliers data, information, and services.
The following selections are available on the log in page:

Initial/new registration

Access to the Extranet and to the registration form

The registration form is used for the registration of an external Extranet user
on the ZF Extranet
The following selections are available:

Security

The ZF Extranet infrastructure was created using the latest technology to


ensure maximum security against hackers. In order to provide maximum
protection for protected data and information, this infrastructure is
developed and updated continuously.

3 Participation
3.1

Participation criteria

The person responsible for the application or Point of Sales decides the
appropriate degree of authorization for users. The technical specialists own
the data on the technical page and can therefore decide whether to approve
a user application.
If you need expanded authorization, please contact the person responsible
for the application (after log in at the Extranet, look under "contacts").

3.2

Benefits

ZF Extranet users have the following advantages:

4 Security
The services offered on the ZF Extranet are operated at a high level of
security
In order to ensure security and protect against hackers, we use advanced
security technology which is being continuously updated.
The data communication between users and the Extranet is run using (SSL
and https) encryption to ensure data purity. The server is certified by ZF
Friedrichshafen AG to ensure that the server in use is the one of your
partner.
For authentication, every user must login with the user name and password
on the ZF Extranet.
You can be absolutely sure that no ZF employee will ever ask you for your
password,

either

by

e mail,

by

telephone,

or

in

person.

User data, such as the user or the password, shall never be disclosed to third
parties.
The objective is to ensure full data protection.

Prerequisites

ZF Extranet access is always via the Internet.
The Standard Windows Internet Explorer is used for access. This does not
require any special browser settings, and requires no additional software or
hardware.
ZF Extranet access is available following authentication. For this purpose,
enter:

Username and

Password.

7 Technical connection
A basic Internet connection is sufficient for connecting to the ZF Extranet.
This connection requires a 56 kBit modem, minimum.
Once you have secured the Internet access by means of a firewall, enable the
following ports:

Port 80 for http

Port 443 for SSL

In addition, you can also do the initial registration on the homepage of the
ZF Extranet.

8.2

User registration

You can find the registration form on the login page of the ZF Extranet at
"Apply for access."
You will have to input user, company, and application data. The application
for access will then be reviewed by ZF Friedrichshafen AG.
This will require input of the following data:
User data: Title3 first name3, last name3, e mail address3, phone number3,
cell phone number3, fax number, language3, department3, position reason for
application,
Company data: company name3, D U N S, Street, street number, zip code,
location, country3, number of employees
Authorization request: application
Your password and username will be forwarded to your e mail address.

8.3

Revision of user information

The data that were entered during the initial registration can be

changed at any time by your competent responsible person/point of


sales.

Data have to be kept current.

Change of authorization

Following a new registration, you, as an external Extranet user, have the
possibility of obtaining further applications. Simply go to the registration
form, mark the "Adaptation of existing users" field, enter user ID and last
name, and then activate the "Show data" button and click twice on the
"Continue" button. Now the "Authorization request" figure will be displayed.
Here you can apply for a further application.

8.5

Disabling of users

Once a user has been disabled, that user can no longer access the portal.
Which means in practice, that an error message will appear after the user
and the password has been entered and no contact with the portal is
possible.
But the data and the user will remain in the Extranet.
If a user has been disabled, this can be due to various reasons:

entering the incorrect password three times

improper use of ZF Extranet

questions as to the user's integrity

conflicts in the collaboration with the partner organization

If valid reasons exist, a technical department has the right to block (disable)
user access.

8.6

Re enabling users

If a user has been re enabled, Extranet access has been restored, and all
rights/authorization remain as before.
Re enabling users is done by the person responsible for the application/point
of sales.
The authorization to re enable a user must be done by e mail.

8.7

Resetting the password

The user can be assigned a new password. This may be necessary in the
following cases:

Forgot password

If a user has entered the wrong password three times

The new password must be changed into a personal password when logging
in next.
The reset is done by the person responsible for the application/point of sales.

8.8

Deleting a user

If a user is deleted, he/she can no longer login at the ZF Extranet. The user
will then be deleted from the system after a certain period. A user can no
longer be activated after four weeks.

The deletion of the user must be done by the person responsible for the
application or point of sales. Some of the reasons for deleting a user could
be:

If a user sends an e mail requesting to be deleted

After completion of a project

Misuse by user

If the user moves to a new company

Following extended inactivity by the user

8.9

User authorization

During registration, users can mark/select one or several applications, but


this does not necessarily result in being authorized to these applications
immediately. Following registration, the responsible

person for the

application/point of sales first has to review the registration and can then
either approve or reject it. ZF Friedrichshafen AG reserves its right to
determine what type of authorization the user will be assigned in the actual
application.
A user will receive an e mail regarding what specific access has been
assigned only after the application for registration has been approved.
