1. What is report writing?

Definition of a Report: A report is a more highly structured form of writing than say, an essay, and is designed so that it can read quickly and accurately; though reports are not necessarily read in consecutive order. Structure and convention in written reports stress the process by which the information was gathered as much as the information itself. Reports should be organised for the convenience of the intended reader. Reports are written on a wide range of subjects for a wide variety of reasons. An effective business report is an orderly, objective presentation of factual information with or without analysis, interpretation, and recommendation, which is planned to serve some business purpose, usually that of making a decision .

A business report is a professional document designed to convey information to assist in decision-making.

Scope of Reports: Some reports might present the actual solution to solve a business problem. Other reports might record historical information that will be useful to assist in future decision making.

Purpose Statements in Reports: Purpose statements give a clear understanding of why a report is written. They could be written either as a statement or a question. To determine ways to improve employee morale. (statement) To design a new procedure for the companys annual inventory. (statement) Should new computers be purchased to replaced the older models? (question)

Should the office arrangement be open or modular? (question)

Poor students lack basic facilities at this school
By Mohammad Buharrudeen KEKIRAWA : Students of the Kalugala primary school located in the Kekirawa Educational Zone are said to undergo hardship in receiving education due to lack of basic facilities. This is the only school in the village which is close to where the borders of the Anuradhapura, Polonnaruwa and Matale Districts meet. The school which started functioning on June 19, 1991 with three children on the roll now has 143 yet it only receives stepmotherly treatment. The school principal T B Tennekoon said that when he took over there were classes only from Grades one to four and that he started Grade five classes in 2005. In 2008 he started Grade 8 classes and later Grade 9 classes with the help of the parents, the principal said. He said the students are from poor farming families who cannot afford the cost of sending them to a better school which is 16 kms away. The children end their schooling early and help their parents in farming, he said. The principal said he hopes to have higher classes but laments that the two existing buildings are not sufficient even for the 143 pupils now on the roll many of whom are girls. Eighty five pupils have only one teacher while there are no trained teachers on the staff. Due to congestion some pupils study in the open air which is not possible during rainy weather, he said. Though the school has only a small library and no lab facilities a Grade Five student had scored the highest marks in 2005, he said. The principal appealed to the authorities to improve the condition of the school and requested benefactors to help. When the Director of Education of the Province was asked to comment on the situation, he refused to say anything. The parents say that since no responsible educational authority is prepared to listen to them they would take the matter to the President through the Education Ministry.

To: Education Ministry, KEKIRAWA From: T B Tennekoon, The principal, Kalugala primary school, KEKIRAWA RE: POOR STUDENTS LACK BASIC FACILITIES AT THIS SCHOOL As the head of Kulugala Primary School, I would like to convey to you the dissatisfaction with the poor facilities in the school. Introduction Improving educational performance ranks high on the national agenda, with educators and policymakers focusing on testing, accountability, curriculum reform, teacher quality, school facilities, and related concerns. Conspicuously absent has been an examination of how school conditions affect students and learning, even though extensive literature exists that links school facilities to the quality of education and to students productivity.

Problem and solution The two existing buildings are not sufficient even for the 143 pupil. This is because the few fans that we have are inadequate and do not help circulate the air. Due to congestion some pupils study in the open air and made more worse by the dry spell we have been experiencing in the past few months. The students are unable to concernstrate on their study when the temperature is at its peak. We would like to request another 2 building with 4 level. There are also insufficient tables and chairs in the class. Moreover, some of the chairs are shaky and on the verge of collapse. As a result, the students have resorted to sitting on the floor . Provided us another 50 sets of tables and chairs. Another major complaint, is about the books in the school library over the years. Many of them are torn and tattered beyond repair. It is very annoying to read a book with missing pages and pictures. Many of our students who cannot afford to buy reference books depend on the red-spot lending services provided by the library. It is disheartening to see the

look of disappointment on the students faces when the book they want to borrow is not available. For this suggestion is the school should buy new books. There should be a ratio of four books to every student in school. The school should buy books that the students like to read. Another problem is lack of number of teacher to average of student. We would like to request 5 teacher with a number of year an experience on teaching. Conclusion School facilities have a direct affect on student and learning. Poor school conditions make it more difficult for students to learning an adequate education. Adversely affect students health, and increase the likelihood that students will leave their school and help their parents in farming. Our nations school facilities are a critical part of the educational process. Their condition and upkeep must be addressed in the ongoing discourse about student achievement, teacher effectiveness, and accountability. We hope the school authorities will look into our complaints and consider our suggestions in improving the conditions of the school.
