Summary: The Assistant Program Officer, Scholarship Services position coordinates the logistical aspects of the scholarship programs selection and awarding process for the College Success Foundation. These scholarship programs include, but are not limited to, the Foundations Washington State Opportunity Scholarship, Leadership 1000 Scholarship, Washington State Governors Scholarship for Foster Youth, and Achievers Scholarship program. This position collaborates with the Director of Scholarship Services, and works closely with the IT and Marketing team. Responsibilities: Responsible for awarding and revising scholarship funds via the FAST database, which includes the Out of State College process and summer awarding. Utilize a high level of computer technical skills to fulfill program needs, in particular expert usage of Microsoft Excel for applicant data management, including pivot table reports, vlookup and other related functions. Quarterly review of scholarship disbursements and updates student status. Review and update the on-line scholarship applications. Review and update the web pages related to each scholarship. Implement the student notification process, which includes collaborating with the Foundation Marketing team regarding the development of scholarship promotional materials. Manage the in-take of required documents and review for eligibility, which includes corresponding with applicants to ensure program eligibility, application completion and notification of receipt. Respond to student, parent, college and high school inquiries regarding both the application process, as well as, questions related to awarding. Coordinate selection process. Manage logistical arrangements for meetings and special events related to selection efforts, (may include travel, facilities, lodging, etc.). Work with College financial aid offices to maximize student aid. Provide support in notifying scholarship applicants of the status of their application. Produce high-quality reports and analyses of selection data as needed. Review and update program orientation materials for students, including scholarship expectations. Document departmental policies and procedures. Perform other relevant duties as assigned. Qualifications: Proficient in the use of Microsoft Office programs, especially Excel, including pivot table reports, vlookup and other related functions. Excellent people skills and demonstrate a commitment to extraordinary customer service and be a team player. Ability to multi-task and perform with a high level of attention to detail and accuracy. Experience in managing complex, time-sensitive processes. Ability to work and communicate well with diverse populations and age groups. Excellent organizational skills and attention to detail. Requirements: A bachelors degree. A minimum of three years related work experience in similar type position. Financial aid process experience preferred. Proficiency with Microsoft Office, especially Word, Excel, pivot tables and vlookup. Strong Project Management Skills.
