Leading PICE members in 96 chapters from Cagayan to Sulu belonging to leading government departments, agencies and offices, construction companies; consulting firms; colleges and universities are expected to participate in this ANNUAL EVENT of Civil Engineers. The PICE National Board of Directors through the Conventions and Events Committee will host the event. PICE Cebu Chapter will give full support in the preparations for a th meaningful attendance in the 38 NATIONAL CONVENTION. ATTENDANCE OF GOVERNMENT CIVIL ENGINEERS PICE will seek the endorsement of various Government Departments, Agencies and Offices to allow their Civil Engineers to attend the National Convention on official time or business. DECLARATION OF CIVIL ENGINEERING MONTH (November 2012) th PICE is celebrating its 75 anniversary this year and we received the proclamation of Malacanang declaring the month of November 2012 as Civil Engineering Month. All Chapters are encouraged to plan out activities in their respective localities to celebrate the occasion, focusing attention on the IMPORTANCE OF THE CIVIL ENGINEERING PROFESSION IN NATION BUILDING. (Please see guidelines) SPORTS TOURNAMENT (November 21, 2012) The Convention kicks off with the Golf, Bowling, Billiards and Badminton Tournaments for PICE members. Chapters are encouraged to form their teams and participate in the sports activities on November 21, 2012. Team registration starts on October 19, 2012. ELECTORAL COLLEGE MEETING (November 22, 2012) The Electoral College will meet on November 22, 2012. It is tasked to elect the National Directors of PICE for 2013 and to ratify proposed amendments to the ByLaws. A process for the listing and accreditation of Electoral College delegates have been announced in a separate circular. All life members are reminded of their duties as automatic members of Electoral College. ELECTION OF 2013 NATIONAL BOARD OF DIRECTORS (November 23, 2012) On November 23, 2012, the Electoral College will elect National Directors from candidates representing the Private and Government sectors. The 15 new board members shall then elect the officers who will manage PICE in 2013. All qualified voters may request for a copy of the circular and guidelines for the elections. STUDENT ACTIVITIES & COMPETITIONS (November 22-24, 2012) The PICE National Student Chapter Affairs Committee is requesting all student chapters to link up with their respective mother chapters and join the various activities and competitions for the student members this year: 31st National Civil Engineering Students Quiz (31st NCESQ) 15th National Civil Engineering Students Conference 2012 Search for the Most Outstanding Civil Engineering Students (2012 MOCES) 16th Bridge Building Competition Rube Goldberg Design Competition

HOTEL ACCOMMODATION GUIDELINES

1. 2. FREE hotel accommodation on triple or quadruple sharing on November 22 to 24, 2012 and will be given to the 1st 1,000 early registrants. Only members in good standing who have paid their convention registration fees on the prescribed time frame are eligible to enjoy this privilege. Assignment of hotels will be computer generated. It is highly recommended that members/delegates who wish to share common rooms in 1 hotel should register together to ensure same hotel assignment. Payment of registration fee may be deposited to the PICE accounts or pay directly at the PICE National Headquarters Office. All Delegates who will deposit their registration fees are REQUIRED to fax or email their fully accomplished registration form and copy of deposit slip to email addresses picenatl@pice.org.ph or picenatl@pldtdsl.net or to fax to 02-4372472 or 7093415. If data is incomplete, the PICE National Secretariat will be unable to process the registration and hotel accommodation. Upon receipt of the complete registration information (fully accomplished registration form and deposit slip), the PICE National Secretariat will immediately send its acknowledgement letter/notification and copy of official receipt either through fax or email. This PICE form will contain the authority for the member to check-in at designated hotel on November 22, 2012 on the hotels check-in time. Delegates who are arriving before November 22, 2012 and wish to check-in at same hotel or extend their stay beyond November 24, 2012 should indicate this on the registration form and remit the payment for the extra nights together with the registration fee. PICE will try to negotiate a special rate for them and reserve the dates. Members who are unable to pay their registration fees on or before the deadline of early registration may submit their registration form with written request for reservation and commitment to remit the payment not later than October 31, 2012 and endorsed by the Chapter President. All Chapter Presidents are requested to register on or before October 31, 2012 to avail of the free hotel accommodation for 2 nights on November 22-24, 2012 on a twin sharing basis with another chapter president or chapter member registered in the convention.

CANCELLATION Any Delegate who has paid the necessary Convention Fee but will be unable to attend may submit the name of a substitute or replacement at any time, IN WRITING, AT LEAST 15 DAYS BEFORE THE START OF THE CONVENTION. The fee maybe refunded in full if cancellation is done 30 days before the convention. Thereafter a 10% service charge will be collected.
