Overview and Benefits
The purpose of this document is to familiarize you with the major features of Regroup.com.
Regroup.com is a superior group communication tool for organizations. We offer a modern alternative
to old fashioned mailing lists and listservs, as well as additional features such as online forums, group
pages, Facebook integration, and more.
Benefits:
Easy to use: Mailing Lists are a critical component of communications within a school. Unfortunately,
many schools have implemented archaic and hard-to-use solutions, and users have a hard or
impossible time creating lists, viewing archives, managing preferences, and more. This is a problem
because it means that many groups will either go somewhere outside of the school (yahoo groups) or
not create/use a list at all.
Integrates the natural groupings of your organization: We not only improve the experience, we also
work with universities to create natural groupings. For example, only large clubs may have email lists
-- but small clubs are often the ones that can benefit the most from increased involvement and sense
of community that can come from these lists. When we work with a school, we ensure that they can
easily get many groups up quickly and easily; from dorms, to courses, to clubs, and more.
Software as a Service: From an IT person's point of view, the other mailing list manager / listserv
solutions are a lot of work and cost. They have to install them, get a server to host them, and pay the
associated software and maintenance fees. We require no IT effort as we're "software as a service"
(we host everything and there is no installation).
By implementing Regroup, you will:

E-mail List + Forum Features

Starting a Topic
Users can create a topic either from their e-mail or via the website. To start a topic via email, the person
simply writes an email to the address from their group (e.g. OSU-2012@regroup.com)

Alternatively, the user can click on the “start a topic” tab on the web interface. Through the web, the
user can also choose to email the group or not. (By not emailing the group, the post still shows up in
the group, and users can reply to it just as they would a new post in a forum).
Viewing a Topic
After a topic is created it can viewed either in e-mail or via the website.
Here is an example e-mail that a group member would receive after a topic is posted:

Emails include information on the bottom that allows users to easily link back to the group, the topic on
the site, or even unsubscribe from that group with one click.

Replying to a Topic
You can reply to a topic by hitting “reply” to the email you receive, or via the web interface.

Nested Replies
Replies to topics are nested within that same subject (much like gmail). Other mailing list management
solutions do not do this. (They instead put each reply on its own page). Our nested feature creates a
repository of useful information at a glance.

Topics can include pictures, embedded video, formatted text, and more
User Dashboard
After logging in, the user is at their homepage. This acts as a set of “feeds” from their groups. On the
left is a list of all groups that user is a member of; on the right is a list of the messages from all their
groups. If they are a new user, a welcome box lets them know what they can do to start using the site.
Below the welcome box are recent the topics in the group selected on the left. By clicking on the group
name on the left, the user can filter to see topics only from that group.
School Dashboard
The users are always very interested in seeing what is happening in other areas of their school, and our
School Dashboard lets users investigate other groups and people in their network. New topics and
groups from their school are shown here. Users can easily join any new groups within their network
that they're interested in. If topics are created from private groups, users will not be able to see them.
Network Management
Network administrators have the ability to change how the school functions, approve created groups,
and adjust group settings. Network administrators have links in the header to their school's settings
page, and to groups that are pending.

On the network settings page a network admin can decide if groups require approval, edit the network
description, and edit the network's photograph. There are also links to pending and current groups.
Pending Groups
If the network administrator chooses to require group creation approval, all new groups will be marked
as pending until approved. Administrators have a quick dashboard to see what groups are requested by
students.
Groups
All groups on the system have their own e-mail address which can act as a mailing list. (The
administrator can choose whether or not to allow group members to be able to email other members).
Groups also have their own customizable web page within the system, as well as other features.

Group Creation and Management


The group creation page gives the option to group administrators to pick the parent school, name, group
type, group time, privacy level, description, and photo.
Groups can be public (anyone can join and see messages), or private (new members must be added,
invited, or request to be added).
Additionally, groups can be announcement-only (only admins can email out to the group), moderated,
or work like a regular e-mail list where anyone can reply.

Each group is given its own web page, where a photo and description are included, files can be posted,
and all topics are shown. An example group page is below.

Easy Import of Group Members


Group members can either be immediately added to the group, or invited. To add members of the
group, simply cut and paste the email addresses (comma separated), and they will be added.
Facebook Connect
The user has the option to link their account to Facebook. If they do this, they can broadcast to
Facebook any new topics or replies they create through the site, or any new groups they create.
They can link to Facebook via the button on the top of our site, or via their user preferences.
Facebook Feeds
If the user chooses, the topic they post or group they create can be put into their Facebook feeds, so
their friends will also see it.

Everything Else
There are many other features for users that are not described in detail in this document. The user
preferences pages, group member pages, and other ancillary features are not described here in order to
keep the length of the document down. Please ask us should you have any further questions.

Group setup
We can work with Universities or Organizations to get their groups up on the system quickly and
easily.
o This can include groups for clubs, courses, dorms, or more.
o Optionally, we can introduce individual constituents or departments to the service so
they can learn about our service and choose to give additional groups the benefit of the
service. Departments may include: housing, academic computing, student government,
alumni services, faculty/staff affairs, and admissions.

Migration services
At the Organization's discretion, Regroup will migrate existing lists to its platform, enabling:
o Easily-viewable message history for groups
o Searchable discussion, acting as an informational resource to End Users
o Existing lists will have full features of the Regroup platform
o Note: migration of at least one well-used list is recommended as a comparison and
feedback point from users

No Technical effort needed


Because we are a Software-as-a-Service company, we require no installation, hosting, or IT
implementation. We have included additional technical detail as background on our system.

Software

The software platform is built on Ruby which is known for its efficient code, scalability, speed, and
relative security. The following diagram outlines how data flows through the system.
