SOL CLUB OFFICER REQUIREMENT GUIDELINES


Thank you for your interest in running for club/organization officer. Club/organization officers must be responsible, hard-working, and of good character. Working with the club/organization advisor and the Activities Office, a club/organization officer demonstrates leadership by organizing and participating in a variety of activities both on and off campus (dances, assemblies, community service projects, fundraisers, conferences, etc.). Students interested in serving as an officer for a club/organization must be willing to commit their time and efforts in this endeavor. Students who have jobs or other conflicts, and those wishing to take on a leadership role merely for a college application, are not encouraged to apply. It is extremely important to note that there are times when your participation during off school hours is required and your dependability and work ethic are essential. Many students are interested in serving as a club/organization officer. Make sure you are willing to show up, work to the best of your ability, and be dependable before taking on this responsibility. For those students that want to work to make a significant difference in their high school, it is a rewarding and challenging experience. With that said, if you meet the criteria described, we encourage you to take an active role in your school by running for a club/organization officer. It is a fun and rewarding experience with lessons that will benefit you for a lifetime. Please see the club advisor or the Activities Office if you have any questions. GRADE REQUIREMENT: Each club/organization officer must earn and maintain a minimum 2.0 GPA with no failing grades in order to serve and remain in office. Your semester grades will be evaluated and ineligible students will be removed from office. CITIZENSHIP REQUIREMENT: Each club/organization officer must have and maintain a discipline record free of any major disciplinary infractions (truancy citations, RPC-Ts, suspensions, etc.) in order to serve and remain in office.

SOL CLUB OFFICER DUTIES
PRESIDENT Prepares club meeting agenda with other officers & advisors. Presides at all club meetings. Uses parliamentary procedure to conduct business meetings. Understands responsibilities of other club officers. Plans ways to get every member to participate in meetings and delegates responsibility. Appoints committees as needed. Works with club advisor/s to establish a system for notifying members of club meetings and activities. (i.e. phone trees, written notices, e-mail, etc.) Calls the Vice-President to preside at the meeting if unable to attend. Represents EAST TECH High School at the Titan Congress meetings (first Thursday of every month). If her/she cannot attend, the president will appoint someone to attend the meeting in his/her place. VICE PRESIDENT Presides at meetings if the president is absent. Reads clubs minutes at each meeting. Oversees all the committees, assisting as needed. SECRETARY Keeps an accurate written record of the business meetings. Records club attendance at each meeting. Writes thank you letters to speakers, sponsors, etc. Writes all club correspondence as directed by the president, executive committee, and/or club advisor. Together with the historian, assists the advisor with maintaining and updating any club/organization social media sites. TREASURER Keeps an accurate account of all money received and spent by the club. Gives a financial report at each club meeting. Reconciles the monthly bank statement with club records and notifies advisor immediately of any discrepancy. Prepares a club budget with the executive committee and the club advisor and presents to the club membership for approval. HISTORIAN Takes photographs at club meetings and all activities/events. Puts together a club scrapbook. Decorates and maintains club bulletin board. Together with the secretary, assists the advisor with maintaining and updating any club/organization social media sites.

SOL CLUB OFFICER DECLARATION OF CANDIDACY
I, ______________________________________ (print name), wish to declare my candidacy for club/organization officer. By signing this declaration of candidacy, I confirm that I have read the entire document and I will: Pledge myself to service for the period of one year beginning at the end of the election year and running through the end of the next school year. Devote sufficient time and commitment to my club/organization responsibilities to insure that the goals of the club/organization will be accomplished. Club/organization officers are required to be at ALL club/organization functions and meetings, and participation and assistance in club/organization events is mandatory or I may be removed from my position. Remember that there are times when my participation during off school hours is required, and my continuance in an officer position will depend on my dependability and work ethic. Consider my position as an officer as a trust and not use it for personal gain, remembering that the basic function of club/organization officers is to serve the best interest of the club/organizations members. Solicit ideas and opinions from all students of the school and work to incorporate their views in the deliberations and decisions of the club/organization. Be constantly aware of my position of student leader, and thereby always act in a manner that demonstrates self and school pride. Maintain a "C" grade point average with no "F's." I realize that I will be removed from office upon failure to do this. Refrain from the use, association or possession of alcohol, tobacco, drugs, narcotics, or hallucinating agents. Any violation of this rule will result in immediate removal from office for the remainder of the year. Obey all school rules, policies, and all laws of the community. Should my actions at school or in the community ever result in suspensions from school or conviction of a crime, I shall expect to be removed from office for the remainder of the year. This shall apply to any violation, on and off school premises at any time, during the entire year in which I am holding office.
