Performance of managment

The role of HR in the present scenario has undergone a sea change and its focus is on evolving such functional strategies which enable successful implementation of the major corporate strategies. In a way, HR and corporate strategies function in alignment. Today, HR works towards facilitating and improving the performance of the employees by building a conducive work environment and providing maximum opportunities to the employees for participating in organizational planning and decision making process. Today, all the major activities of HR are driven towards development of high performance leaders and fostering employee motivation. So, it can be interpreted that the role of HR has evolved from merely an appraiser to a facilitator and an enabler.

According to Armstrong and Baron (1998), Performance Management is both a strategic and an integrated approach to delivering successful results in organizations by improving the performance and developing the capabilities of teams and individuals. The term performance management gained its popularity in early 1980s when total quality management programs received utmost importance for achievement of superior standards and quality performance. Tools such as job design, leadership development, training and reward system received an equal impetus along with the traditional performance appraisal process in the new comprehensive and a much wider framework. Performance management is an ongoing communication process which is carried between the supervisors and the employees through out the year. The process is very much cyclical and continuous in nature. A performance management system includes the following actions.

Developing clear job descriptions and employee performance plans which includes the key result areas (KRA') and performance indicators. Selection of right set of people by implementing an appropriate selection process. Negotiating requirements and performance standards for measuring the outcome and overall productivity against the predefined benchmarks. Providing continuous coaching and feedback during the period of delivery of performance. Identifying the training and development needs by measuring the outcomes achieved against the set standards and implementing effective development programs for improvement. Holding quarterly performance development discussions and evaluating employee performance on the basis of performance plans. Designing effective compensation and reward systems for recognizing those employees who excel in their jobs by achieving the set standards in accordance with the performance plans or rather exceed the performance benchmarks. Providing promotional/career development support and guidance to the employees. Performing exit interviews for understanding the cause of employee discontentment and thereafter exit from an organization.

Tamil Nadu Newsprint and Papers Limited (TNPL) was formed by the Government of Tamil Nadu in April 1979 as a Public Limited Company under the provisions of the Companies Act,1956. The primary objective of the company is to produce newsprint and printing & writing paper using bagasse, a sugarcane residue, as the primary raw material. The Registered Office of the company is situated at 67, Mount Road, Guindy, Chennai 600 032. OUR BUSINESS

The company is in the business of manufacturing and marketing of Newsprint and Printing & Writing Papers. The products are being marketed throughout the country and also being exported to 20 countries around the world. The factory is situated at Kagithapuram in Karur District of Tamil Nadu. The initial capacity of the plant was 90,000 tpa of Newsprint and Printing & Writing paper which commenced production in the year 1984. The capacity was doubled to 1,80,000 tpa in January 1996 after implementation of the first expansion project. The capacity has been further enhanced to 2,30,000 tpa in April 2003 through upgradation of both the paper machines.

Some of the key features of the Mill are listed below:


The largest bagasse based plant in the World and a mill with largest production capacity in India, at a single location. Appropriate for India, which is one of the largest sugarcane producers in the World. The only paper mill in India assisted by the World Bank Doubled the capacity within a period of 10 years from inception State-of-the-Art paper machines with built in flexibility for manufacturing both newsprint and printing & writing papers in the same machine. Unique arrangement with the sugarmills for sourcing the raw material. in the form of exchange of steam / fuel for bagasse.

OUR COMMITMENTS (A) ON QUALITY: Quality Policy : "TNPL is committed to manufacture and supply eco-friendly papers to customers satisfaction with emphasis on continual improvements in its quality management system" Meeting customer requirement with Eco friendly raw materials (viz bagasse) for paper making, through continuous process improvements is the aim of TNPLs Quality Policy. Quality standardization without compromise on environment is being accomplished with online quality control at various stages of production. Despite opening-up of Indian markets for imports, TNPL has been consistently recording increase in exports year by year, which demonstrates the companys commitment to Quality. Direct interaction with the customer through customer service cell has helped the company in meeting the customer satisfaction with Customer Satisfaction Index (CSI) ranging from 7.01 to 7.50. Customized products are also being manufactured by TNPL to meet the customer delight. TNPL has obtained the ISO 9001 - 2000 certification from RWTUV of Germany for development, manufacture and supply of Newsprint and Printing & Writing Paper.

TNPLs effluents completely comply with the norms set by Tamil Nadu Pollution Control Board. TNPL is adopting state-of-the-art activated sludge treatment system. Further the treated effluent water is being used to irrigate 1500 acres of land abutting the factory. The farmers are cultivating cash crops such as sugarcane, groundnut etc using TNPL effluent water. By this process " A full Cycle is completed " as depicted below:

THE FULL CYCLE

The company has never used wood from natural forests. Wood is being sourced only from Farm forestry. Engaged the services of Tamil Nadu Agricultural University (TNAU), Coimbatore for continuous monitoring of land irrigated with TNPL effluent water. Comprehensive Environmental impact assessment study is undertaken once in 5 years, through National Environmental Engineering Research Institute (NEERI), Nagpur. Water consumption per tonne of paper has been brought down from 124 KL in 19992000 to 105 KL in 2002-03. During the year 2003-04, this has been further reduced to 83 KL. 80% of the water drawn from the river is being supplied back for irrigation as treated effluent water. TNPL has installed Rainwater Harvesting System with a catchment area of 1500 Sq.M in its administrative building at Kagithapuram during 2002-03 and an additional 5000 Sq.M in and around the plant premises during 2003-04.

TNPL has obtained the prestigious ISO 14001 Certification from RMTUV, Germany for "Successfully establishing and applying environmental management system for development, manufacture and supply of paper".

TNPL has commissioned the Bio-methanation plant, which generates around 23000 cum of biogas (methane) per day, to be used as fuel in the lime-kiln in replacement of furnace oil. The biogas replaces around 10-12 KL of furnace oil per day in the lime-kiln. During the year 2003-04, the bio- methanation plant generated 41.45 lakh M3 of methane gas and replaced the use of furnace oil worth Rs.2.48 crores TNPL obtained "3 Leaves Award" under the Green Rating project of the Centre for Science and Environment, New Delhi during October 2004, in recognition of the Environment Management System.

(D) ON HUMAN RESOURCES DEVELOPMENT TNPL realises that the continued success of any organisation depends on a healthy human resources policy. TNPLs Human Resources policy focuses upon enthusing the human resources to be innovative to keep ahead of competition. As an enlightened employer the company has always been concentrating on optimizing the labour productivity and continuous efforts have been taken to improve the same. Some of the initiatives by the company in line with the above objectives are given below:

INTRODUCTION: In the year 1949, government of Tamilnadu established TAMILNADU NEWSPRINT AND PAPER LIMITED as a public limited company under the companies act, 1956. Commencing production 1989 at 90,000 tonnes per annum, the company has made rapid strides and has emerged today has the largest paper mill in India at a single location with a capacity of 2,45,000 tonnes per annum with the on going expansion plan to increase paper production capacity from the present 2.45 lakh tonnes to 4 lakh tonnes per annum, TNPL is expected to become a 2000 crore company by 2011-12.

Review of litreature
The empirical study of literature attracts scholarship particularly in the areas of reception and audience studies and in cognitive psychology when it is concerned with questions of reading.. Further fields where the framework in various revised and expanded versions attracts scholarship is (comparative) cultural studies and pedagogy. One of several dictionary definitions of the field is as follows: "Movement within the study of literature concerned with the study of literature as a social system of [inter]actions. The main question is what happens to literature: it is written, published, distributed, read, censored, imitated, etc. The empirical study of literature originated as a reaction to, and an attempt at, solving the basic problem of hermeneutics; that is, how the validation of literary interpretation can be demonstrated. From reception theory it had already become clear that interpretations are not only tied to the text, but also, and even to a great extent, to the reader both in terms of the individual and of social conventions. This led to the theory of radical (cognitive) constructivism, based on the thesis that the subject largely construes its empirical world itself. The logical consequence of all this, to be seen in the work of Siegfried J. Schmidt, is the separation of interpretation and the strictly scientific study of literature based on radical constructivism. The literary system of actions is observed from the outside not experienced and roughly characterized as depending on two conventions (hypotheses) that are tested continually. These conventions are the aesthetic convention (as opposed to the convention of facts in the daily language of reference) and the polyvalence convention (as opposed to the monovalency in the daily empirical world). Thus, the object of study of the empirical study of literature is not only the text in itself, but the roles of action within the literary system, namely, production, distribution, reception, and the processing of texts., such as the semantic seven point scale (C. Osgood) and the classification technique (card sorting), and forms of content analysis, discourse analysis, association techniques, etc. Some objections often raised to the empirical study of literature are the triviality of many of its research results such as confirmation of what was already known or suspected or its reductionism (artificiality of the framework and set-up, and limitation to reader response instead of the study of the text). It is clear, however, that the empirical study of literature by its specific approach of the object and its focus on methodology is an outstanding way to explore the socio-cultural aspects of the literary system. It makes an irreplaceable contribution to the development of a more rational, scientific, and socially relevant study of literature." HISTORY OF THE COMPANY: TAMIL NADU NEWS PRINT AND PAPERS LIMITED was incorporated on 16th April 1979. It was promoted by the government of Tamil Nadu. The mill was put up at a cost of Rs. 239 crores has an installed capacity to manufacture 50,000 taps of printing and writing paper and has the flexibility to change the product mix according to market situation. Considering unique nature of plant, the world Bank sanctioned a second loan of USD (us dollars) 75 million for the expansion scheme in 1993. The mill was established in a recent period of 36 months commercial operation commenced in October 1985. DUTIES OF SECRETARY The duties of the company secretary may be discussed under the following heads. He has to file a number of returns, document and notice with the register of companies. He should maintain statutory books. He should send notice for the board meeting to all directors immediately after deciding on board meeting date. He should maintain attendance register signed by the entire director for resolution passed at the board meeting. TRANSFER OF SHARES The shares of a TNPL Company are transferable through the depository system. Shares in physical form are processed and the share certificates are generally returned within a period of 15 days from the date of receipt.

TRANSMISSION OF SHARES Share transmission means the passing over the ownership of shares from one person to another automatically by operating of law and not by sale by the original owner transmission taken place on the death or lunacy of the original owner.

STATUUORY MEETING A company having a share capital by shares should conduct the statutory meeting with in the period not less than on month and not more than six months from the incorporation of the company of the company is entitled to commerce its business. The statutory report shall be forwarded to every member of the company at least 21 days before the date of the meeting. The statutory meeting conducted on 22-08-1979.

ANNUAL GENERAL MEETING It is the meeting of the shareholders which is held once in a year. It is held to enable he members to interact with the board of directors and to obtain the information of their investment made in the company.

During the year 2010-2011 the board of directors meets for 7 times. The board comprises of a chairman, two executives directors, three are nominated by the Government of Tamil Nadu. Two

DIVIDEND The board of directors is pleased to recommend a dividend of 50% for the financial year ended 31-3-2011. The dividend will be paid to all the equity shareholders whose names appear in the registrar of members as on 15-9-2011. The dividend of 50% for the year 2010-11 will cost the company RS.40.22 Crore

FORFIETURE OF SHARES If a member fails to pay any call or installment of a call on or before the day appointed for same, the board may, at any time thereafter during such time as the call or installment remains unpaid, serve a notice on such member requiring him to pay the same together with any interest that may have accrued.

SHARE CERTIFICATE A share certificate is a document issued by a company to each shareholder specifying the numbers of shares held by him and the amount paid on each share. It is issued under the seal of the company.

CONTENTS OF SHARE CERTIFICATE Name of the company. Serial number of the certificate. Name and address of the shareholder. The distinctive number of the shares. The face value of, and amount paid on, each share. The date of issue of the certificate.

SHARE WARRANT A share warrant is a document issued by a company starting that its bearer is entitled to the shares specified therein. It is transferable by mere delivery and is substitute for the share certificate. TNPL Company may convert its fully paid up shares in to share warrants. One great advantage of issuing share warrants is that shares can be transferred by mere delivery of the warrant. The registration of the transfer of shares in such a case with the company is not necessary.

PURCHASE DEPARTMENT Purchase is an important of any business activity. Purchase manager is the head who may be also called purchase officer in this concernRaw materials are the items which are purchased in their natural, which need further processing and fabrication. Components are finished products which are sub-assembled to form finished goodsConsumable stores and materials are items which are required in the manufacturing operations but do not enter into the finished goods. They are also known as indirect materials.

FUNCTIONS The purchase department is organized on the basis of functions. Securing the necessary materials, equipments and supplies as per predetermined specifications and standards

MATERIALS DEPARTMENT The main job is to know the requirements from the various others departments and supply their needs in time. For this purpose, they have to purchase materials from outside at cheap rate of good quality. The following is the process through which materials are purchased.

PURCHASE REQUISITION It is the basic document that will arise by the user department with necessary information regarding the materials they need along with the due approval from the competent authority.

PURCHASE ENQUIRY: TENDER QUOTATIONS PURCHASE ORDER

TENDER The company follows the tender method for the purchase of material which are of two types namely press tenders and limited tender.

QUOTATIONS The parties shall submit their quotations mentioning the rates, taxes and duties, delivery time, payment terms and packing, forwarding, etc.,

PURCHASE ORDER This will be placed after getting the approval from the proper authority. It will contain the complete information such as number of items of the materials st^ required, quantity ordered, description, terms of payment, price, etc.

The success of failure of the organization depends not on the materials machines and equipment but efforts on the will and ability of the personnel to give their best efforts for the efficient performance better utilization of personnel element is necessary of human performance better personal is necessary for every organization "TNPL" are very keen in developing high quality personnel at every level and safeguard the same.

DUTIES AND RESPONSIBILITIES OF A MANAGER He has to supervise and control all sections in charge of various services. He is a valuable advisor to the head of other departments on planning and organizing their sectional clerical activities. He should maintain up-to-date office manuals of forms and procedures. He is the chief agent of communication as well as coordination. He delegates jobs and ensures discipline among the team workers. He must maintain good human relations with the office manager.

Thus this department takes the responsibility of communication also.

INTERPRETATION: From the above table, it is inferred that the net profit ratio shows fluctuating trend. Net profit ratio increased in the year 2010-2011 to 12.58%. The operational efficiency of the concern is satisfactory.

INTERPRETATION: The Gross profit ratio is gradually increased around 37 to 41% which is quite satisfactory. Even through the sales has increased in 2010-11, the ratio is decreased by 1.18% and this may be due to increase in manufacturing expenses.
