The 4th National Council Meeting last March 17, 2013 approved the Membership Base Development and Restructuring on the District Level found in Item No. 3, par. a and b of the approved minutes wherein upon the recommendation of the undersigned finds that database is of primordial importance in terms of communications on district activities, collections of dues , strengthening and expansion of districts and many other things that need the relevant information of members to be within reach by the National Secretariat. In consonance thereto, I am requiring submission of the database of all your members whether or not they have updated their membership dues per annum or per semester on or before June 10, 2013 so they may be issued Certificates of Membership and IDs that we are currently preparing to be released on June 15, 2013 to your district chairpersons. (See attached Excel File that you can use to input relevant information.) However, the database shall not be used as basis in the counting of delegates for any meeting either at the National Council or at the National Congress; only records in the wave accounting maybe used for such. If encoding is not feasible, the National Secretariat is willing to lend a hand in encoding provided you send us the hard copies of the membership forms at your hand which sending may also be done in electronic or courier. ( See attached Membership Form.) You are once again reminded to request for Acknowledgment Receipts (A/Rs) for you to issue to all members payments and/or donations but there is a need to return to the National Secretariats (pink) copies of the Acknowledgment Receipts (A/Rs) issued on your end. (Attached are names of officers who received them .) To those who received the A/Rs and are unable to return the pink copies will no longer be issued another one; unless there is a valid ground for such and which subsequent request must be in writing explaining such delay. Finally, Official Receipts can only be issued from the National Headquarters and any need that may arise in all your transactions, please notify the undersigned to facilitate it.
