Setting up Clients on the Transporter

The configuration settings can be accessed by opening Transporter via the Start menu / All Programs / Tamarac Transporter or by doubleclicking the Tamarac Transporter desktop icon

1. You will need to set up new configurations for every client that you upload. To do this, start by entering a Configuration Name. This should be something like TAS_<database name> - <client name> 1. The Login Email and Password will be the client email address and the support password obtained from the Portal. This password you will need to update every time you run the Transporter. 2. Set the Confirmation Email, typically this would be your email address but the clients address could also be added if they would like a confirmation email as well. 3. Select the check box for Integrate with PortfolioCenter, and select the radial button for Automatically generate PortfolioCenter XML file and upload the file. 4. Create folders for the storage of the upload files for each configuration. In this example those folders are located in an Upload folder in the My Documents folder. You will need to set this

directory in the Transporter. Browse to the location you created and set that location for the File Directory and Log Directory fields. 5. Set both your Application Server and Database Server fields to pas-sql1.system.tamarac 6. The Database Name will be the Database associated that that particular client. 7. Dataset names vary by client, you will want to log into the client database to view the dataset name you should use here. 8. Typically the Portfolio Set is TAM - Tamarac Upload, but this could vary by client. Check to verify that this is the set name this client uses. 9. Check the four bottom boxes for As of current market date, and Use previous market date. Please note, if your transactions file has backdated transactions on a particular day, then the Transaction from date needs to be set to the last date of the backdated transaction.

Remember: Every day you will need to set a new password in the password box under the clients email address. You can obtain this password from the Tam Terminal

Using the Transporter


Once the Configurations are set up in the Transporter, running the Transporter is as simple as selecting the appropriate configuration, getting the new password from the Portal Admin page and selecting Save and Upload. Transporter will minimize itself and remained in a non-accessible minimized state until the upload is complete.

Advisor Rebalancing
Advisor Rebalancing is a web-based application that stores model portfolios, account settings, restrictions, and tax sensitivity and dramatically abbreviates the trading process. Advisors rely on PortfolioCenter data for a number of reasons, such as performance reporting, billing, tax reporting, etc. One big reason advisors rely on PortfolioCenter data is for trading purposes. While trading can take place at random times for a variety of reasons, some advisors purposely trade at specific intervals in order to bring the portfolio back into balance. This is known as rebalancing.

The rebalancing process involves comparing the current portfolio holdings with ideal allocations that have been agreed upon by the advisor and client. These ideal allocations are defined within a model. As a TAS team member, you may be asked to create and/or assign models within PortfolioCenter. Because advisors use Advisor Rebalancing to rebalance accounts, part of the daily process performed by the TAS team is uploading PortfolioCenter data to the Advisor Rebalancing website. Tamarac has developed Tamarac Transporter for this purpose. Tamarac Transporter is a desktop application that automates the process of uploading daily account, holdings, transaction, and select pricing information from PortfolioCenter into Advisor Rebalancingwithout having to directly log into the program.

Note
Advisor Rebalancing uses Bloomberg as the source for equity and mutual fund pricing. All other prices come from PortfolioCenter.

Uploading and Synchronizing


The Data Upload
After an upload has been performed, click on the Upload Status page to synchronize the accounts and view and address any upload errors. This page verifies whether the upload was successful or whether there were any warnings or errors related to information that could not be read by the system. This page displays uploaded data sets and results from any user of your enterprise (not just for the user logged in) giving visibility into the most current uploaded data. The information shown on this page is specific to the data you have uploaded. 1. Following an upload, the page will display each data set that has been uploaded. 1. Each uploaded data set is listed in the page and contains information about the upload including: File Name. File path of the file including the data set, except in cases of copy & paste. Summary. Shows the number of records processed and how many warnings and/or errors occurred. Messages. This section appears if there are warnings or errors to display. 2. To view messages, click the hyperlink to open the warning or error section

3. After you finish uploading all your data, click the synchronize button at the bottom of the page. This will process all of the new data so that it is ready to view in the system. This step combines an account's settings and holdings with its designated model allocation and yesterday's prices to create the initial account analysis of the actual holding's allocation against the desired holdings allocation.

Upload Errors

Errors include callouts of the Line where the error occurred, Unique Account ID, Ticker, Security Type and a detailed reason (2A). Errors are also grouped by type (2B). Upload Message reports are downloadable in Excel using the Create Report button at the top of the errors report (2C).

Advisor View
Advisor View is a web-based solution for performance reporting that includes a dynamic reporting application, an intuitive interface to build PDF performance reports, and a customizable customer portal and document vault. Many advisors use PortfolioCenter to run reports. Tamarac has taken this a step further by creating a web-based solution where advisors and their clients can view reports. Advisor View enables advisors to view performance across all their accounts in aggregate, by advisor, by household or by any custom grouping. Advisor View makes it easy to build custom dashboards for daily monitoring or to drill-down into specific report details. Advisor View works specifically with Schwab Performance Technologies PortfolioCenter as a reporting overlay. Many of the reports in Advisor View have the same look as PortfolioCenter reports. Advisors have the ability to design custom PDF performance reports that enhance their brand. The reports in Advisor View do not rely on the monthly intervals calculated within PortfolioCenter. Instead, Advisor View calculates performance daily, which enables the application to update reports instantly when custom date ranges and report settings are specified. Advisors can also set up permissions so that clients can access the Advisor View portal. And, by using the application's document vault capabilities, advisors can easily exchange documents with their clients online. You can determine the number and type of reports that are available to display on the Dashboard. You can drag and drop reports from one location to another on the dashboard, minimize or remove reports, or add additional reports, After morning posting, the sync that you do from the portal admin page (https://portal.tamaracinc.com/admin/) uploads data into Advisor View. Since Advisor View calculates performance daily, accurate and complete intramonth pricing and prices on transaction dates are very important.

The Interval Tool


The interval tool is a hidden page on the Advisor View site that can be accessed only by the support login for an enterprise. Using the url https://portal.tamaracinc.com/Intervals.aspx you can access the hidden page which will show you the daily intervals being calculated for any account/group, at the asset class, sector, subsector, and security type. If the interval page redirects you back to the Dashboard, then it is possible you will need to log out, and log back in, making sure that you do not have any upper case letters in the log in email address. You cannot change interval information, or damage the account by navigating to the hidden page.

To view interval information for an account or group, select a date range then click the View button. If no information displays or the page takes more than several minutes to load, then change the Find Data for to any other account, clicking the Change button, then the View button. The newly selected accounts intervals should appear, and you can change the view back to the original account. Once you have the interval information displayed you can start investigating a return question from a client. When troubleshooting return issues in Advisor View, the interval tool is a good first step in troubleshooting. Usually once you can narrow a return down to a specific day, you can then use holdings reports or other tools to resolve the issue. The interval tool is for internal use only and should not be communicated to clients in any way.

Your Basic Daily Steps


Now that you have a general understanding of how PortfolioCenter works and integrates with Advisor Rebalancing and Advisor View, lets go over some specific steps that a member of the TAS team performs each day.

Review/Post/Reconcile Downloaded Files


The downloading of data files in the morning is typically done before the Operations Associates arrive to post the data by another member of the team. Once the downloads are complete, members of the TAS team will review, post, and reconcile the files. Let your manager know if you are missing files for any custodian. Refer to the SOPs for specific information regarding each clients morning processes.

In general, files should be reviewed as follows:

Security
1. Double-click the new security file in order to convert and open the file. 2. Sort by the Type column. 3. Scan the Type for ETFs coming in as Unit Trust or User Defined security types.

Price
1. Double-click the new price file in order to convert and open the file. 2. Sort by the Price column so that amounts are in order of lowest to highest. This will bring any $0.00 prices to the top. 3. If any $0.00 prices are found, look at the Security Description to see if it contains (NV). This stands for No Value. If a security is given this designation, it be ignored. If the Security Description does not contain (NV), further research is required to determine if the security is actually supposed to have value or has become valueless.

Portfolio
1. Double-click the new portfolio file in order to convert and open the file. 2. Sort by the Status column. 3. Post any portfolios with a status of Pending. Ignore any portfolios with a status of Update.

Transaction
1. Double-click the new transaction file in order to convert and open the file. 2. Sort by the following columns and review: Status. Looking for error, warning or cancel. Portfolio. Looking for zz portfolios that are still active. Trade Date. Looking for backdated transactions that may require re-running intervals or syncing data past the prior 3 days. Amount. Looking for $0.00 amounts on buys or any negative amounts which may require further action. Net Amount. Looking for $0.00 or negative amounts which may require further action. Enhanced Activity. Looking for red flag transactions such as credits, debits, journals, other expense, receipts, return of principal, splits, and transfers. Helpful Hint: It is sometimes helpful to have the Notes column next to the Enhanced Activity column. The Notes column contains information regarding the transaction.

Generating the NPS Spreadsheet


You can use the NPS program to create the list of new securities and portfolios or copy them into a spreadsheet manually. The NPS program is located at T:\TAS\TamaracNPSManager.exe These spreadsheets should always be password protected since they contain Non-Public information like account names and numbers. Typically the password is @client10 client being the name of the client receiving the NPS spreadsheet.

Manual Pricing
If needed, manual prices will be entered into PortfolioCenter. Refer to SOPs to see if manual pricing is needed. There are three different ways for which we currently manually enter prices: Straight manual entry. Involves going to price history for specific security and manually entering price. Append price file. Involves appending a price file then copying prices from the day before. Pricing script. Involves appending a price file then running a pricing script that was developed by Tamarac.

Update Smart Sets

Update Smart Sets to ensure that any new portfolios or changes to existing portfolios are included in the two Portal upload Sets: TAM Tamarac Upload and TAM Tamarac Portal. To update smart sets: 1. From the Portfolios tab, select the Sets button on the left hand side. 2. Click the Set Builder button at the bottom of the screen 3. Make sure all of the boxes are checked under Batch Update that you want to update. 4. Click the Update Batch button

Upload to Advisor Rebalancing (Transporter)


Use Tamarac Transporter to upload the client to the Rebalancer website. In preparation for uploading to Advisor Rebalancing you will open 2 Internet Explorer tabs: Tam Terminal (saved as Favorite: Tam Terminal) and Advisor Rebalancing (saved as Favorite: Tam Advisor Login) To upload to Advisor Rebalancing, follow these steps: 1. Open Tamarac Transporter a. Configuration Name: Drop-down and select client b. Obtain daily password (see step 2c under Tam Terminal below) c. Click Save and Upload button. The window will auto minimize. Once upload is complete the window will auto maximize. 2. Tam Terminal a. Site: Tamarac b. Enterprise: Drop-down and select client c. User: Drop-down and choose Support then select the Request Password button. Once requested, the password is valid until midnight. d. Cut/paste the password into Tamarac Transporter (see step i. above) 3. Advisor Rebalancing a. Cut/paste login info from Tam Terminal to Email field b. Cut/paste password info from Tam Terminal to Password field c. Click the Login button d. Upload not complete message will appear. Click the Upload button. e. Once the upload is complete, an Upload Status screen will appear f. In the Upload section, click the Errors and Warnings link to review errors and warnings that were generated during the upload. g. Once the errors and warnings are addressed, click the Synchronize button.

Upload to Advisor View (Portal Sync)

1. Choose: Import Data 2. Enterprise: Drop-down and select client 3. Import data from the: Drop-down to select Last 3 days. This is the standard time frame that we use, but you will need to go back further if needed i.e. if there were backdated transactions that downloaded. Also, each Saturday a sync is run for Last 90 days To catch any potential transactions or price updates that may have been missed unintentionally. If syncing for more than 90 days, coordinate with the rest of the TAS team as longer syncs will delay other clients. 4. Click the Schedule button. This will run the sync. 5. After 3-5 minutes you can hit the Refresh button to ensure the sync is complete.

Daily Email
At the end of every posting process for every client a daily email is sent. This daily email includes the NPS spreadsheet, listing out any new portfolios or securities requiring their attention and any pending reconciliation items that may require follow-up. Since this spreadsheet contains sensitive client data, it will need to be password protected with the standard client password (@companyname10). You can also include the status of any open items for the client as well. This daily communication is an important opportunity to reach out to the client on issues that may require action on their part, and keep a free flow of information between you.
