CONTENTS CHAPTER 11 ABBREVIATIONS SECTION 65 GENERAL ABBREVIATIONS General 1. The abbreviations contained in Annexes A and B are authorised for use in written staff work. Annex A lists abbreviations of general words, terms and establishment/location titles which are commonly used in military writing. Annex B contains abbreviations of ranks and appointment titles in common use in the Army. Abbreviations of some frequently used ranks, appointment and other titles of higher defence organisations, Pakistan Navy and Pakistan Air Force have also been included in Annex B. Policy Covering the Use of Abbreviations 2. In staff work, time is an important factor. Abbreviations are used primarily to save time and often space in written communications. It will be worthwhile to commit to memory the commonly used abbreviations so that these may be written and understood without having to consult abbreviation lists. 3. There is no need to abbreviate all words or phrases, for which authorised abbreviations exist, throughout a document or correspondence. Such pedantic use of abbreviations would result in wastage of time through repeated reference to abbreviation lists. Also, when it is considered that an abbreviation may be misunderstood, the full term should be used rather than the abbreviated form. However, once an abbreviation of a word or phrase is used, it shall continue to be used throughout the document or correspondence. 4. Authorised abbreviations may be used in the preparation of military records, routine official correspondence, briefs, messages and operational staff work including appreciations, orders, reports etc. 5. Abbreviations should not be used in General Staff Training Publications (except in annexure), letters to civilians and other Services Headquarters, formal official letters and demiofficial letters.

6. Universally accepted abbreviations of words, phrases, units of measurements, titles, organisations, provinces and countries may be treated as authorized abbreviations; eg, etc (etcetera); i.e. (that is); PIA (Pakistan International Airlines); NWFP (North West Frontier Province); UK (United Kingdom). 7. When unavoidable, unauthorized abbreviations may be used to save constant repetition provided they are explained the first time they appear in the text or explained in the legend in case of maps, sketches, overlays, charts etc. 8. Special abbreviations, developed for use within an office, organisation, arm or service, may be used in documents and correspondence which are meant for internal use. Such abbreviations will not be used while corresponding outside the field of special activity. Rules Governing Construction of Abbreviations 9. Derivation. In general, abbreviations have been given for singular nouns and verbs in the present tense. Some abbreviations, without being changed, may be used to signify other derivatives of the root word which may be obtained by adding d, ed, ment etc; eg, the abbreviation ack represents acknowledge, acknowledged, acknowledgement. The derivatives, for which authorised abbreviations may be used, are also listed with the root words. Authorised abbreviations should not be used for other derivatives which have not been given in the list. 10. Use of Capitals a. Authorised abbreviations which are shown in capitals are to be so written in all service writing where use of abbreviations is permissible; eg, BLR (Beyond local repair). Authorised abbreviations which are not in capitals are subject to the rules for the usage of capital letters. (See Paragraph 18, Section 12 Chapter 2).

Plurals a. To form a plural, the letter s is added at the end of an abbreviation; eg, officers (off rs). Letter s is not inserted in the place where it would appear in the plural form of the unabbreviated t e r m b u t a t t h e e nd o f t h e a b b r e v i a t i o n ; e g , f i e l d s o f f i r e ( F o f F s ) . To show plural of an authorised abbreviation which is in capitals, the letter s added at the end is in small size; eg, COs. In signal messages where it would not be possible to differentiate between small and capital lettering, such abbreviations should be avoided. c. Some abbreviations indicate either the singular or the plural according to the context in which they are used and do not require the addition of an s when used in the plural; eg, signalmen (sig); headquarters (HQ); casualties (cas) etc.

12. Punctuation. Except where required by the normal rules of grammar or where their use is necessary to differentiate between abbreviations of the same character; eg, when writing decorations, HI(M), S B~, punctuations s h o u l d n o t b e u s e d i n o r i m m e d ia t e l y f o l l o w i n g a n a b b r e v i a t i o n . 13. Combination of Abbreviation. A term consisting of several words may have its own abbreviation; eg, absent without leave (AWOL). Authorized abbreviations may also be combined for frequently used connected terms; eg, field company (fd coy). 14. Compound Words. A composite noun, or word containing a prefix or a suffix, may be abbreviated by abbreviating that part of it for which there is an authorised abbreviation; eg, minefield (minefd); discontinue (discont). 1 5 . B r e a k i n g D o w n A b b r e v i a t i o n s. A b b r e v i a t i o n s s h o u l d n o t b e b r o k e n down in order to use parts separately unless such parts are also authorized for use; eg, DS (direct support) cannot be broken down to use 5 as the abbreviation for support. 16. Verbs/Adiectlves. An abbreviation meant for first form of a verb also holds good for all other forms including adjectives e.g:

a.

Wdr for withdraw, withdrew, withdraws, withdrawing, withdrawal, withdrawn, etc. Inc for increase, increases, increased, increasing, etc.

17. Ampersand. An ampersand & is to be used instead of and where appropriate in titles; eg, DAA & 0MG, R&S etc. 1 8 . A b b r e v i a t i o n s o f D a ys a n d M o n t h s . T h e f i r s t t h r e e l e t t e r s o f t h e n a m e s of days and months will be used as authorised abbreviations for these names; eg, Jan (January), Tue (Tuesday). 19. Points of Compass. The four cardinal points of the compass are written in full. For intermediate points the letters N, 5, E and W are used; eg, SSW, NE, etc. 20. Staff and Appointments. Only the more important staffs and appointments are given in Annex B. Where appropriate, the following letters may be added to authorised abbreviated titles: a. b. A for Assistant; eg, AME (Assistant Maintenance Engineer). D for Deputy; eg, DDMT (Deputy Director Military Training). Dy may be used to avoid confusion where necessary; eg, Dy MS. DA for Deputy Assistant; eg, DADS&T (Deputy Assistant Director of Supply and Transport).

two times, the number of Bars will be indicated; eg, SJ and 2 Bars. b. The list includes only those operational and non-operational awards which are normally given to Armed Forces personnel. Awards are listed in their order of precedence. In case an individual has been awarded a higher and a lower order of Imtiaz, the abbreviations of the higher award only will be written after the name; eg, in case an individual has received SI (M) and TI (M), then only SI (M) will be written against the name.

Annex B To Section 65 SPECIALIZED ABBREVIATIONS Notes a. This list contains, abbreviations of ranks, appointments, honours, awards and military qualifications which are in common use in the Army. Some frequently used ranks, appointments and titles of higher defence organisation, Pakistan Navy and Pakistan Air Force have also been included. Different categories of abbreviations have been segregated and listed separately for ease of reference.
