PURPOSE

This Procedure details the instructions for preparation of documents to be submitted by SUBCONTRACTOR as specified by the Subcontract. Each document submitted to CB&I shall be in accordance with this Procedure. 2 GUIDELINES

5 5.1

INSTRUCTIONS FOR PREPARATION OF DOCUMENTS SUBCONTRACTOR PRIMARY CONTACT INFORMATION

As soon as the Subcontract is placed, the SUBCONTRACTOR is to notify the CB&I Document Management Representative, identified in section 5.4, who the main point of contact for documentation submittals will be for the Subcontract placed. All SUBCONTRACTOR document submittals shall be sent to 166001_Cartagena_SDM@cbi.com. 5.2 5.2.1 SUBCONTRACTOR DOCUMENT LIST SUBCONTRACTOR DOCUMENT LIST

The SUBCONTRACTOR shall implement document management procedures for the supply of data in accordance with this procedure. The SUBCONTRACTOR shall prepare and submit the Subcontractor Document List (SCDL) to the e-mail address specified in section 5.1 of this Procedure. The List shall be prepared using the SDL & SDCS pro-forma. The list content and dates for submission of each deliverable document shall be in accordance with the approved SCDL.

IMPLEMENTING THE SCDL The SCDL is the 1st document to be submitted for Review. The SUBCONTRACTOR shall allocate a unique document number for each document. The SUBCONTRACTOR shall submit the SCDL with the SDCS as one pdf to the address provided in this procedure for review and comment. The SCDL template is not to be modified without written consent. The SDL shall be updated as required by the Subcontractor. Changes such as Scheduled Submittal Date, Document Number or Title etc. are to be highlighted in yellow. Changes to scheduled dates are to be communicated and agreed upon with CB&I Procurement/Subcontractor Representative. TRANSMITTALS

The SCDL shall be completed as follows:

Deliverables defined in the SCDL shall be submitted with a document transmittal. All documents for submittal are to be listed on the transmittal. The Subcontract Number is to be the 1st piece of information to be displayed in the e-mail subject line. The SUBCONTRACTOR Company Name should follow. In the case that a SUBCONTRACTOR has more than one Subcontract with the Company, SUBCONTRACTORs are not to combine documents for multiple Subcontracts in the same transmittal of documents. Submissions are to be kept separate. Each transmittal shall include the following: Subcontract Number SUBCONTRACTOR Name Address and Contact Information including e-mail address Transmittal Date Document Transmittal Number List of all documents being submitted including the following document details: Document Title Document Number (logical and unique) Document Revision All language shall be in English (may be in Spanish with English translation also)

ADDRESSES FOR SUBMITTAL OF DOCUMENTS TO DOCUMENT MANAGEMENT

A central mailbox has been established for receipt of all SUBCONTRACTOR document submittals. Documents are not to be directly submitted to Reficar nor the Project Procurement Department, Buyer, or Requisitioning Engineer. Document submittals made outside of this defined work process will not be considered official and may not be reviewed. All documents are to be submitted electronically. Hard copies or faxed documents will not be accepted except where requested. Attention: All documents must be in English. Care must also be taken by SUBCONTRACTOR to only submit documentation that is clearly legible and that can be reproduced without reducing the quality of the overall document. All

documents including scanned files must be free of copy streaks, black shading or any other marks that diminish the overall document quality. Use of dark color paper (especially red) is to be avoided and not to be used for creating a reproducible file.

This document number shall be located on each page of the document. All documentation must be in English (may be in Spanish with English translation) ELECTRONIC DOCUMENT DELIVERY PDF FILES SUBCONTRACTOR is instructed to issue files in PDF rendered files, in Adobe Acrobat 5.0 or greater; these files must be searchable, not scanned images where. Scanned files must be searchable and or scanned with OCR.

SUBCONTRACTOR shall ensure that each electronic file and document includes:

File names of the electronic files shall remain the same with each issue. File names should not contain revision numbers or dates in them. Each electronic file shall contain only one (1) document with the project provided SCDL. Other than for Final Documentation, documents are not to be scanned into a single file. In the case of drawings with multiple sheets, each sheet is considered a separate document

and subject to review individually. Drawings sheets are not to be combined into 1 single file.

Multiple electronic documents may be placed into a ZIP file to compress the size of the email transmission. All documents are to be submitted in English and should not contain special geographic specific fonts. NOTE: CB&I reserves the right to request native files of documents / drawings throughout the project.
