OGX Product Communication

Dear eXchangers, please read this document carefully to understand communication strategy for OGX in the term 13/14. It refers to the new EP flow, answers for our customers feedback and enables our federation to work on Product Development which is the National Focus Area. We aim to become EXPERTS in what we do. Our market wants us to provide more specific information about our programs but thats not all. Leaders of AIESEC France (MC and the Steering Team 12/13) when choosing NFA decided that we want to have this knowledge. To be able to become experts we need to focus and spend some time working on specific Sub Products and Issues that we find the most relevant for our market, for our organization and for us personally.

GIP Sub Products: Management IT Language Teaching These are National Focuses. We will support you in becoming EXPERTS in those Issues and Sub Products by providing knowledge about the global trends, supply and demand, national partnerships etc. Your role is to choose your LC focus within them. You dont need to promote everything. You know your market the best and you are responsible for this decision which opportunities you want to offer to students in your city. Before I start explaining how to deal with each type of a potential customer, I would like to highlight RULE NO 1 to implement national OGX strategy: Dont give EPs access to myaiesec.net. Because if you manage their raises/matches/realizations in the system on your own IT PUSHES YOU to plan the recruitment precisely, to co-deliver experiences with LCs abroad and to match them all and match them faster! Even though it is the main reason there is more: - We dont have enough knowledge about our available opportunities to select EPs properly and promise them that they will find an internship or project suitable for them (oGIP realization rate on local level in AIESEC France 12/13: 11%) - TN Managers are often replying late or not replying at all - EPs loose motivation quickly - Myaiesec.net as a platform is not user-friendly How to start not giving EPs access to myaiesec.net? 1. End the process normally with EPs already recruited (spreadsheet with the names is released with this document) 2. Remove link to EP Online from all your channels and dont ask EPs to apply there anymore 3. Start communicating that applications must be sent to Global ORS 4. Manage applications through Global ORS 5. Learn how to manage your EPs raises/matches/realizations on myaiesec.net

COMMUNICATION
There are two main possibilities of recruitment: 1. EP recruits for the Customized Product or Issue/Sub Product 2. EP applies and got selected through the Opportunity Portal and then comes to your LC office for matching procedure and preparation (OPS) Additional options: A. An AIESEC member decides to finally taste our product he/she should search for the opportunities in myaiesec.net and contact TN Managers directly B. Returnee wants to live the experience again depends on your LCs focus you can either propose him/her current customized products or look for the opportunity for him/her or send to track Opportunity Portal

RECRUITMENT FOR THE CUSTOMIZED PRODUCT/S According to the EP flow you start the recruitment by choosing your focus (within National Issues GCDP or Sub Products GIP). Then you search for the interesting TNs in myaiesec.net and try to get to know details about it from the Hosting Entity (it would be good if its our national partner but its NOT necessary as long as the project is really interesting), you should also customize it together. You set the numerical goal and plan the promotion. Recruitment is on. To make it more practical lets say that this is the recruitment for Global Citizen, Environment Issue, Project X. During the promotion you use the Golden Circle to explain Why-How-What. Why we do Exchange in AIESEC, How we do Exchange (by Global Citizen program, remember to mention Issue segmentation) and What (Unique Selling Points of Project X). 1. You might have people interested in the Project X thats great, you go with them through the selection process that was earlier agreed with the Hosting Entity (for example 1 interview instead of two) 2. You might have people interested in the Environment Issue but not in the Project X ask them to apply through Global ORS and then look for the internship for them in the system according to their expectations 3. You might have people interested in Global Citizen program but not in the Environment Issue - ask them to apply through Global ORS and then look for the internship for them in the system according to their expectations BUT dont promise that you will find it, be honest, you are not expert in everything.

The priority should be exactly in this order. If your LC has a lot of applicants for customized projects that you prepared with your partners and you dont have HR capacity to manage other applicants, dont ask EPs to apply through Global ORS, instead of that ask them to track opportunities on the Opportunity Portal. HR capacity is not the only reason. If you keep working within your LC focus (Issue/Sub Product) you become an EXPERT, build strong LC2LC relations, get to know your market (both internship and student market) and you will be able to provide more and better experiences. Cases: #1 A student from the other city where AIESEC is not present applied and is interested in Global Citizen within your LC Issues Dont be afraid of managing this application virtually. It s possible! If you dont have the capacity to do it (you are too busy with the recruitment for a customized project) then send this applicant to the Opportunity Portal. Dont overuse it only because the person is from another city. Maybe its your future leader! #2 A student applied for Global Citizen within your LC Issues and wants to go next summer If this person didnt apply on Global ORS yet dont ask him/her to do it. Suggest EWA activities in your LC until March where we start recruiting for the Summer 2014 #3 A student came to you and complains because he applied by Opportunity Portal and he didnt got any response from the Hosting Entity Explain how the Opportunity Portal works, find out if this person is interested in one of your LC focuses if yes, suggest your assistance. Contact the Hosting Entity and ask them for rapid response #4 You dont have any customized projects at the moment You can still manage the applications from students who are interested in your LC issues/sub products or/and plan the next recruitment!
