FROM: CC: RE: DATE:

With the start of the new year we are now ready to work on a goal set by the leadership over the summer. That goal is the creation of opportunities for students to experience a part of a culture other than their own so their transition to the university might have some familiarity. The purpose of the club is to add some soft academic skills in speaking and leadership in a relaxed manner with a native speaker, but also help students grow in understanding of something that is new to them. CLUB ADVISING Goals for the Club Activities programs can be stated as follows: 1) Provide opportunities that will last the first semester from October 7 to December 26. Clubs can run two semesters; your group should decide that in their early meetings. a. We anticipate the second semester clubs to begin one week after our return from the semester break in February. 2) Meet weekly with your group to support their growth in the activities that the group has defined. Some advice: a. It would be good to have the students give you some input on the activities they would like b. It would be prudent for you to go into the club with some activities for the first few meetings so the group gets off to a strong start 3) Set up a structure of governance so activities run smoothly a. Some will use a strict model (students would be accustomed to this) that has president, vice president etc b. Some will use a less formal approach; just consider that things may need to keep happening (i.e. during the week) while you are not in club meetings. All overseas teachers are to complete a Club Description form prior to September 16th. This will define the day you plan to meet, an abbreviated outline of the activities you plan to start with, and the purpose of the club. The Club Description form needs to be returned to Tony before you leave for the Mid-Autumn Festival break. Initial steps we would like you to undertake: 1) Pick a day where you can lead your club and complete your individual tutoring. We do not anticipate having clubs on Friday due to the Short Week schedule format. Your day will look like this on the day your club meets: a. Arrive at school at 13:00 (1:00 p.m.) on the bus from the Elementary campus (more information to come) b. Teach your afternoon classes c. Club time 16:55 - 17:40 (4:55 - 5:40 p.m.) d. Dinner 17:40 - 18:15 (5:40 - 6:15 p.m.)

2) 3)

e. Tutoring 18:20 - 19:30 (6:20 - 7:30 p.m.) f. Bus departs for Elementary campus/apartments at 19:35 (7:35 p.m.). Create a Club Description Form for Tonys review and preparation Define any materials you might need to successfully run your club and complete a requisition form.

Student Signup for Clubs Students are encouraged to sign up for a club but are not to take more than two. They may not sign up for two on the same night. Students can resign from a club after getting a signed note from the Club Advisor and their Homeroom teacher. Students are to attend all club meetings. Excuses to miss a meeting must be signed by the Club Advisor and the Homeroom teacher. Teachers can define a club student limit; our hope is that you can take between 20 to 25 students in your club. Sign-ups for clubs will take place September 17 and 24.

TUTORING: Tutoring of your students is to begin the week of 23 September. When there is no Club/Activity it is anticipated that you will use that time (16:55 to 17:40) to tutor your students as well as the regular tutoring time. You will find some exception weeks listed below, but those will be the only exceptions until further notice. Tutoring time is 18:20 to 19:30. The bus for the Elementary campus will leave at 19:35. The following guide should be used when tutoring (basically two tutoring sessions that evening): Each day you meet with your club is also a day you will be conducting tutoring. All students are to be given a notice of their appointment early in the day. You may want to make a copy of the list for the supervisor of the day to help communication. Request that the students you are going to work with come to you as a group at the start of the period. Some can work quietly in the back of the room while you are working one:one with specific students, small group tutoring is also acceptable. All students are to leave together at the end of the period and not before, no students are to be in the hall during the study sessions The evening supervisor is to be notified if students do not show up when requested (a schedule for Sharon, Tony, Grace or Brian will be posted). No tutoring is to be done in the preparation offices; a schedule of rooms for you to work in will be posted.

Dates for Tutoring but NO Clubs week of September 23-29 (transition between holidays) week of November 11-15 (Midterm Week) week of January 6-10 (Finals preparation) week of January 13-17 (Finals Week)
