Job Description Office Manager

Specific Responsibilities include the following :

Financial management & Accounting 1. Coordinate bookkeeping with Finance/Accounting office personnel on a weekly basis. 2. Monthly financial reports (to be developed on current budget situation. !. "articipate in trip # pro$ect develop%ent& especially giving input into budgets and pay%ent schedules. '. "rocessing and "ay%ent of all trip and pro$ect related e(penses. ). *versee and evaluate that all pro$ect and product e(penses are appropriate and correct. +. Advise when appropriate effective cost savings %easures for all pro$ects and products. Legal 1. "repare and evaluate legal contracts for our pro$ects& business ventures& and local partnership agree%ents& e.g. transport co%panies& hotels& rafting clubs. 2. Coordinate with legal institutions& ,otary& accountant& govern%ent institutions etc our legal needs. !. Make sure -. co%plies to all %ini%u% legal standards regarding& accounting practices& e%ploy%ent& ta(es& travel and work insurance& co%pany operation& etc. Logistics 1. Maintain vehicle logs # docu%ents& %aintenance schedules. 2. "rocure%ent of office supplies or other e/uip%ent needed for day to day running of touris% and pro$ect activities. !. 0evelop policies and procedures for the use of -. and rental vehicles by full ti%e and par ti%e staff.

Re iew! Reporting & "ommunication 1. Continuous review of the effectiveness of all Ad%inistrative 1yste%s in place in the organi2ation. 2. 3eview ongoing co%%unication needs of the organi2ation. 4nsure that e(penses are reasonable and within acceptable li%its. !. Maintain and/or set up ade/uate online and offline filing and correspondence syste%s for the organi2ation. '. 3eport via e%ail& telephone& or a %eeting on a weekly basis to 0irector on ad%inistration related %atters ). Create& keep and update files on -oogle 0ocs / -. 1erver on all discussed& proposed& or i%ple%ented "roducts / 5rips / Activities +. 4ach report is discussed with your supervisor. 5wo work appraisals are planned each year with your supervisor on the basis of which your personal contribution is evaluated.
