The head teacher and staff of your school have interesting objectives four (4) five (5) and six (6) of the new electronic document processing management syllabus and want the students of third form to have an explanation of the objectives. You are required to obtain the necessary information from the internet and other sources prepare it for dissemination via email for the head teacher and staff.

Objective 4: To develop skills and competency to use software features to manipulate documents in accordance with universally accepted standards. Objective 5: To understand and communicate Electronic Document Preparation and Management procedures using recognized terminology. Objective 6: To develop the ability to use acquired knowledge to further enhance personal growth and skills for career development.

Purpose of Study
To portray a list of skills and competencies that individuals may require in order to use software features to manipulate documents in accordance with universally accepted standards (APA). To present an understanding of communicating Electronic document processing management preparation procedures alongside recognized terminology.

To develop the ability to acquired knowledge to further enhancement in personal growth and skills for career development.

Definition of terms
LAN - a Local Area Network(LAN) is a computer network that interconnects area such as a home , school , laboratory or office building. computers in a limited

WAN-a Wide Area Network (WAN) Any network that links across metropolitan, regional, or national boundaries Internet -The Internet is a global system of interconnected computer networks that use the standard Internet protocol suite (often called TCP/IP, although not all protocols use TCP) to serve billions of users worldwide Faxing-Fax (short for facsimile), sometimes called telescoping, is the telephonic transmission of scanned printed material (both text and images), normally to a telephone number connected to a printer or other output device. Manipulate- to manage or influence skillfully Communication- the exchange of information between individuals by different means

Competency this refers to the ability of an individual to do a specific task. Video Conferencing- a facility enabling participants in distant locations to take part in a conference by means of sound and video communication. Competence- The state or quality of being adequately or well qualified. E-mail- a system for sending and receiving messages electronically over a computer network, as between personal computers.

Shrink the height of printed output to fit a maximum number of pages.

Show the lines between rows and columns in the sheet to make editing and reading easier

Choose any image to display as the background of the sheet.

Stretch or shrink printed output to a percentage of the actual size.

Shrink the width of printed output to fit a number of pages

Select the margin size for the entire document, or the current section

Add a new slide to the presentation . Reset the position, size and formatting of the slide placeholders to their default positions.

Remove the current slide from the presentation

Arrange objects on the slide by changing their order, position and rotation.

Slide Number: reflects the position of the slide in the presentation.

Clip Art: allows you to enter a picture, movie, sounds, etc to illustrate a specific concept.

Animate: allows you to choose an animation to apply in the slide. Transition Sound: select a sound to play during the current and previous slide.

Transition Speed: choose how fast to animate the transition between the previous and current slide.

Custom Animation: allows you to animate the individual objects on the slide.

On mouse click: wait until the mouse click to move onto the next slide.

Automatically After: move to the next slide after a certain number of seconds.

Communication Communication using recognized terminology can be presented through WAN- wide area network LAN- local area network Internet Video conferencing Faxing

Wide Area Network (WAN) - this is a telecommunication network that covers abroad area (that is any network that links across metropolitan regionally or national boundaries. Advantages Files can be stored on a central computer (the file server) allowing data to be shared throughout an organization. Files can be backed up more easily when they are all on a central fileserver rather than when they are scattered across a number of independent workstations. Networks also allow security to be established, ensuring that the network users may only have access to certain files and applications. Software and resources can be centrally managed. Network versions of software often allow for their speedy installation on workstations from the file server. Expensive devices such as laser printers or scanners can be shared. Users can access their files from any workstation

Disadvantages Are expensive and generally need a good firewall to restrict outsiders from entering and disrupting the network Setting up a network can be an expensive and complicated experience. The bigger the network the more expensive it is. Security is a real issue when many different people have the ability to use information from other computers. Protection against hackers and viruses adds more complexity and expense Information may not meet local needs or interests. Vulnerable to hackers or other outside threats

Local area network (LAN) - this is a computer network that interconnects computers in a limited area such as a home school laboratory or office building.

Advantages The reliability of network is high because the failure of one computer in the network does not affect the functioning for other computers. Addition of new computer to network is easy. High rate of data transmission is possible. Peripheral devices, magnetic disk and printer can be shared by other computers.

Disadvantages If the communication line fails, the entire network system breaks down. Quite expensive to setup and maintain. A virus can spread to all the computers on the network. More prone to access because of multiple points to access.

Video conferencing this is a mean of communication in which users in different locations can communicate and view each other through a screen.

Advantages The meetings can be arranged at short notices It prevents employees , from having to travel which saves cost for the organization Members are able to have their conference at their convenience, resulting in productivity. Faster decision, decisions are not only made faster but agreement from everyone involved at different locations. Virtual white boards , allow people from different locations to adding their own thoughts or ideas into one collaborative space,. This enables everyone to form a plan of action or collaborate on a design or slogan instantly.

Disadvantages Issues with technology if the hardware, software and internet connectivity is not adequate, this will result in poor conferences. Also poor web conferencing technology or inadequate training using the technology will hinder the success. The cost of the video conferencing equipment are very expensive, so if damage the organization would have to spend a lot of money to repair.

Fax (facsimile)- is called telescoping, is the telephonic transmission of scanned printed material (both text and images) normally to telephone numbers connected to a printer or other output device. Advantages Fast Cost effective

Disadvantages Needs a telephone line Needs power/electricity Needs a separate space for the machine Requires paper for receiving and sending faxes Aging of papers could lead to difficulties in managing records Machine needs to be on always to receive faxes. If machines are off, we may lose the faxes. Large probability of losing faxes which could potentially be important.

Careers in Electronic Document Preparation Management

Clerical Assistant: clerical assistant is a person who provides an administrative assistance to


an office key responsibilities including filing and sending mail.

Administrative Assistant: An administrative assistant is the bosss primary assistant, she


types and composes part of her supervisors correspondence, take many of his calls and keep his appointments up to date.

System Analysis: A system analyst is responsible for researching, planning, coordinating and
recommending software and system choices to meet an organizations business requirements.

Computer Operator: A computer operator is the person responsible for monitoring and
controlling computer systems especially mainframe computer systems in a company or organization.

Receptionist: A receptionist is an employee taking an office support position. The work is


usually performed in a waiting area such as a lobby or front desk of an organization or business.

Typist: a person who is skilled in using a typewriter or computer keyboard, especially one who
is employed for this purpose.

Limitations
Although this project was successful the researcher had encountered a lot of problems such as: i. The gathering of the information for the project was quite easy, but the typing and editing of the information was very time consuming.

ii. The researcher also had a small problem understanding the concept of what the project was about. iii. The researcher had damaged the flash drive that the document was stored on, thus the project had to be restarted.

Summary
In conclusion of the School Based Assessment (SBA), it showed the skills and knowledge needed for the usage of various computer software features along with its importance in Electronic Document Preparation Management (EDPM). In this modern age, technology is increasing and growing at a rapid rate and more jobs and careers are now requiring that you should have knowledge about computers and their various functions. Additionally this project also presents an understanding in communicating (EDPM) using recognized terminology and universally accepted standards (APA). So this school based assessment (SBA) assists in the disseminating of knowledge to the lower classes of the school.

Recommendation
The researcher would recommend: i. ii. That proper and clear guidelines should be given The researcher would also recommend that a longer submission date shouldve been given.
