*Please note, Adult participants are responsible for securing their own roommates and will be
charged as listed on the rooming list.


DEPOSIT/ PAYMENT

In order to secure a seat on the trip, the following payment schedule has been established:

An initial deposit of $100.00 per person is due on or before July 3, 2014.
A second payment of $200.00 per person is due on or before August 22, 2014.
A third payment of $200.00 per person is due on or before September 19, 2014.
A fourth payment of $200.00 per person is due on or before October 17, 2014.
A fifth payment of $200.00 per person is due on or before November 14, 2014.
A sixth payment of $200.00 per person is due on or before January 15, 2015.
Final payment or the balance of the trip will be determined by the number of trip participants as well as the
amount earned from fundraising efforts. Notification of the amount due will be provided by The Eastern High
School Band approximately two weeks prior to the due date. Final payment is due no later than February 13,
2015.
All checks, cashiers checks or money orders should be made payable to Thomas Tours and mailed directly with
an enclosed reservation/payment form to Thomas Tours, 2405 12th Avenue South, Nashville, TN 37204-2415.
Credit Card payments can be made by calling our accountant, Warren at 615-292-0470 or 800-292-0470.
Please note, a 3% processing fee will be applied to all credit card payments.
No invoices will be sent. Therefore, it is each individual's responsibility to keep his or her payments current.
Space for the trip is limited, therefore, reservations will be accepted on a first come, first serve basis according
to the date your initial deposit is received.
All returned checks are subject to a $25.00 service fee.


CANCELLATION POLICY

In the event of cancellation, the following policy will adhere:

Cancellations received on or before August 21, 2014 will result in a cancellation fee of $100.00 per person. IN
THE EVENT THE TRIP DOESNT MATERIALIZE DUE TO THE LACK OF PARTICIPATION OR THE CONCERT SPACE AT CARNEGIE HALL
IS NO LONGER AVAILABLE YOUR MONEY IS FULLY REFUNDABLE.
Cancellations received between August 22, 2014 and September 18, 2014 will result in a cancellation fee of
$200.00 per person.
Cancellations received between September 19, 2014 and October 16, 2014 will result in a cancellation fee of
$350.00 per person.
Cancellations received between October 17, 2014 and November 13, 2014 will result in a cancellation fee of
$500.00 per person.
Cancellations received between November 14, 2014 and January 14, 2015 will result in a cancellation fee of
$650.00 per person.
Cancellations received between January 15, 2015 and February 12, 2015 will result in a cancellation fee of
$850.00 per person.
Cancellations received between February 13, 2015 and the date of departure will result in NO REFUND.
All cancellations must be sent directly in writing to Thomas Tours, 2405 12th Avenue South, Nashville, TN
37204-2415. You can also email your cancellation to Warren@thomastoursinc.com. In the cancellation email,
please include the name of the school, grade and destination along with the name of the student and mailing
address.
Students who have been cancelled from the trip due to disciplinary reasons, academic probation, quit band or
have changed schools will still be bound by the cancellation policy.
All refunds will be processed in a timely manner.
