2. Enterprise Structure
2.1 A legal entity (company code) is the smallest organizational unit for which a complete set of books is
maintained for external financial reporting.

How many legal entities (company codes) with employees exist in your organization?

Is your organization implementing or have they implemented the SAP Financials?

If yes, what is the company codes set up by FI for your organization?

If your organization is not implementing SAP Financials, list all the legal entities (company codes),
their addresses, countries and languages in which they operate.

2.2 Define your current company structures. Provide an organization chart.

2.3 The personnel area is an HR specific unit that represents a specific area of the enterprise and is
organized according to aspects of personnel administration, time management and payroll. Each
personnel area is divided into one/many personnel subareas. When defining personnel areas and
subareas, consider their effects on personnel administration, benefits, time management and
payroll.
Within each company code, divide your workforce into logical groupings (personnel areas). At least
one personnel area will be required for each company code. A personnel area can only be attached
to one specific company code whereas a company code can have many personnel areas.



2.4 Personnel Areas as defined above are further refined using Personnel Subareas. Personnel
Subareas contain a number of attributes, which are used extensively in Time Management and
Payroll processing. To assign these attributes, you must have set up at least one personnel
subarea for each of your personnel areas.
Attributes set at the personnel subarea level include:
Holiday Calendars
Groupings for Absence/Attendance
Groupings for Shift Schedules
Groupings for Time Quotas/Banks

3. Personnel Structure
3.1 Employee Groups are HR specific units that allow you to divide employees into groups based on the
relationship to the company. Each employee group will be further refined by means of the
employee subgroups.
In the Best Practices for mySAP HR, the following Employee Groups have been defined:
1 Employee
2 Retiree/pensioner
3 Early Retiree
8 Other
9 External


3.2 Employee Groups as defined above are further refined using Employee Subgroups. Employee
Subgroups are HR specific units that contain a number of attributes which are used extensively in
Time Management and Payroll processing. You must define at least one employee subgroup for
each employee group.
Attributes set at the employee subgroup include: Hourly/Salaried
Processing type for Payroll
Refinement for Pay groupings (Payscale groupings)
Groupings for Time Quotas/Banks
Groupings for Shift Schedules

3.3 The contract field within infotype 0001 is used to further define the employee based on the working
contract. This information is commonly used to group employees for statutory reporting as well as
Benefit Plan Eligibility.


3.4 The payroll area defines the frequency for which employees are paid as well as group employees
for which payrolls run at the same time. In the Best Practices for mySAP HR, payroll areas have
been defined as weekly, bi-weekly, monthly and semi-monthly.
