3.1 GENERAL FACTS FIELD
General Facts (GFAX) field is an optional multiple item fields containing supplementary information items.
Travel agencies and airlines use this field to send and receive messages.
THINGS TO REMEMBER:
For the travel agents use this optional field to send messages to airlines regarding your
clients contact details, APIS, SFPD etc.
For the airlines they use this field to send message to agents about booking or special
request cancellation or confirmation, ticketing deadline, name change authorization and more.
GFAX has two (2) categories: OSI and SSR (e.g. CHLD and INFT)
The function identifier for GFAX is 3
Each GFAX entry may have a maximum of 64 characters including spaces, 44 characters for
OSI item. The characters and / should be avoided

3.1.1 OTHER SUPPLEMENTARY INFORMATION (OSI)
Other Supplementary Information (OSI) is for notification only and may be processed by the receiver as
desired. An OSI item does not require a reply from the airline.
THINGS TO REMEMBER:
Cancellation of OSI does not generate to the airline
BBR Participants (Level of Participation): OSI is not applicable. Agent must call the
airline for non-action information
Spacing: it is mandatory to have spaces before and after the airline code
Use of abbreviation is allowed (e.g. ENDO instead of ENDORSE) to meet the maximum length

This entry is used mainly to remove the General Facts items from the face of the PNR, a message is not
sent to the airline.

3.2 SPECIAL SERVICE REQUEST (SSR)
A Special Service Request, which is to be provided to the passenger and which requires immediate
action or confirmation from the receiving airline(s).
THINGS TO REMEMBER:
Applicable to itineraries with confirmed (HK) status
Service codes are standardized for use with most carriers. However, each carrier may have its
own unique service code specifying a service that may be peculiar to that carrier only.
The system creates a GFAX line for each carrier, indicating that the message has been
transmitted to each carrier
Other Special Service Request (OTHS), Advance Passenger Information System (APIS) and
Secure Flight Details (SFPD) are all part of SSR

3.2.2 OTHER SPECIAL SERVICE REQUEST (OTHS)
There may be instances when you cant find any SSR codes applicable for your passengers request (e.g.
airport assistance). This is when you will need to use the OTHS entry.
THINGS TO REMEMBER:
DO NOT use name number selection, as this may not be properly reflected in the airline PNR.
Use the complete name of passenger instead.
Agents may specify the segment number in the entry. If not specified, the service is assumed
requested for all segments.

3.2.3 DELETE SSR ITEM
Other Special Service Request (OTHS), APIS and SFPD with NN and HK status codes can be cancelled
using the proper entry to make sure that the cancellation message is sent to the airline.
THINGS TO REMEMBER:
When an SSR item is cancelled using .XX entry, it will automatically disappear from the face
of the PNR when an end transaction (ET) is performed.

3.3 ADVANCE PASSENGER INFORMATION SYSTEM (APIS)
The Advance Passenger Information System (A.P.I.S.) is a system established for commercial airline
operators. It enhances border security by providing officers with pre-arrival and departure manifest data on
passengers and crewmembers bound to the US and Canada
THINGS TO REMEMBER:
APIS is mandatory for passengers traveling to/ from US
Use the standard IATA format when adding the passengers travel documents such as:
Passport (DOCS), Visa (DOCO) and Address (DOCA)
Modification is not allowed. Any changes in the itinerary, such as booking class, flight or
date, require an agent to update the APIS information. (Delete the old information and add
new APIS.)
No name association can be made to an infants name. Infant should always be
associated to an adult companion.
The passenger name in the official document must match the passenger's name in the PNR.

Use this format to enter the passengers visa number, place of issuance and place of birth.
THINGS TO REMEMBER:
For passenger not requiring visa to the U.S., only the place of birth should be added in
the mask or in the manual entry. E.g. 3DOCO/ SG-1.1
The visa number consists of 8 characters typed in RED color. It is located towards the bottom
right hand of the visa sticker.
The Control Number IS NOT the visa number

3.4 SECURE FLIGHT PASSENGER DETAILS (SFPD)
A Transportation Security Administration program that require airline companies (through travel agencies)
to collect a passengers name exactly as it appears on their passport along with their gender, date
of birth and redress number** if applicable. The goal is to minimize confusion when matching
passengers against the terrorist watch list.
** Redress number - A unique 13-digit identifier issued by the Department of Homeland Security to
individuals who have been misidentified as being on the terrorist watch list. It is intended to prevent future
misidentifications in future travel by the individual.
THINGS TO REMEMBER:
SFPD ruling is a mandate for airlines to provide passenger data to Transportation Security
Administration (TSA)
The information must be added in the PNR before ticket issuance

3.5 REMARKS FIELD
Remarks field is used to store miscellaneous information in a PNR for local office reference. All information
under this field is not transmitted to airlines. It is a free text, which can accommodate up to 69 characters
3.5.1 WHOLESALE TICKETING REMARKS
Wholesale Ticketing allows RETAIL AGENCY (PNR owner) to share their bookings to WHOLESALE
AGENCY (issuing agency) for ticket issuance.
THINGS TO REMEMBER:
PNR owner and ticketing agency should be both Abacus users
Ensure that the correct Pseudo City Code (PCC) of the ticketing agency is added in the PNR
Add 3OSI message in the PNR every time 5WT is performed
Use *P5 to display the Remarks field
Cannot delete the endorsement but can only be changed to Switch OFF status.
3.5.1.1 SWITCH ON THE ENDORSEMENT
Switching on the endorsement is important so that the ticketing agency can access the PNR of the retail
agency.

Switch off the endorsement if the ticket is already issued. Agent can also switch off the endorsement if
he/ she would like to re-endorse the PNR to another ticketing agency.

Cannot view the Remarks & General Facts fields, PNR History and will not be able to print the
detailed itinerary in behalf of the PNR owner

3.6.2 TROUBLESHOOT DOCUMENT PRINTER
If unable to print any document during the first try, agent may re-start the PC and printer then perform the
following steps to release the documents:

3.7 ABACUS VIRTUALLY THERE
The Email information entered in the PNR will be used to facilitate the Abacus Virtually There. It is a
function in Abacus whereby passengers will be sent PNR information in a graphical, easy to read and real-
time travel itinerary on the Internet (www.virtuallythere.com/ abacus).
THINGS TO REMEMBER:
Underscore (_) in Abacus is represented by two (2) equal signs (hold SHIFT key then press
HYPHEN key twice)
Passengers can view his entire Air, Car and Hotel bookings while in Virtually There
Passenger can also view the Remarks field, Electronic Ticket Receipt and access maps
DO NOT use ER when sending an e-mail to passenger.

After getting your e-mail, Ms. Joy informed you that the correct name of her boss is: if you book

ATHENA (assuming we already have authorization from the airlines to change the first name).
CX requires SFPD information in the PNR. Input the complete date of birth of each passenger
using the correct manual entry. Do not forget to specify the segments of CX.
Anything that concerns the trip must be coursed through with Ms. Joy. Input the mobile number
(provide your own) in the PNR addressed to all airlines concern.
