Buyers unsure of which material to select for purchasing Search functionality for materials is significantly more difficult Incorrect materials procured Potential for duplicate materials to exist in the system
Recommendation:
Standardized material short description conventions need to be developed and loaded into SAP Refer to legacy naming conventions to improve short description quality
Currently, there are 4000+ active ZSTK materials which have duplicate short descriptions in the system, the top 5 duplicated descriptions are shown below:
Material Long Description 14 Currently the Material Long Description is being used to store the most up to date purchasing information in the material master including: Detailed description MPN MNFR
This field must be included in the process of checking for duplicate materials as the short description and the MPN number do not have the necessary data quality
However, the Long Description is not stored in an SAP table, making the duplicate material check extremely difficult
If data quality is improved in the short description and MPN fields, duplicate material checks can be carried out much more simply without the use of the Long Description
Material Classification 15
Classification of material aids in searching for materials, but there are 9 characteristics in generation class but only 3 of them are used
Impacts:
Material reporting based on material classification will not be complete Search functionality for material will be restricted to the three classification values
Recommendation:
Review the current classification structure for opportunities to provide more characteristic data for materials
Search functionality for materials is significantly more difficult Potential for confusion when communicating what material is needed on the PO
Recommendation:
Determine root cause for duplicates and cleanse data Create validation to warn user of potential duplicate when creating new material
Currently, there are 6000+ active ZSTK materials which have duplicate Manufacturer/Part Number in the system, the top 5 duplicated descriptions are shown below:

No system control over how much warehouse can receive Errors in warehouse receipt process are more likely Quantity received can differ from expected quantity, negatively impacting planning process
Recommendation:
Agree to an acceptable over delivery tolerance and implement it in material master
Nearly all Materials have been created to allow unlimited over delivery. There are also no reminders or under/over delivery tolerance maintained.
Material Purchasing Groups 18
Issues with Purchasing Group Design and Use:
Currently, there are 117 Purchasing Groups configured, however only 104 have been used in purchasing
4 Purchasing Groups have a description of Buyer (see right)
Multiple users have created purchase orders using one purchasing group. This does not match the purchasing group design (one purchasing group per user)
Recommendations:
The unused purchasing groups should be deleted
Purchasing Group descriptions should be updated with more detail to ensure that incorrect purchasing group data is not used on POs

These three MRP types should be evaluated for necessity and deleted if obsolete
