ANNEXURE I
PROJECT BRIEF
The project should be finalised in consultation with your project guide/supervisor
based on the broad area assigned to you. You are required to complete the following
activities with regard to the project.
PREPARING THE PROJECT SYNOPSIS

The project synopsis should be of approximately 300 words and should be of the
following format.

Background

You are required to write a brief paragraph of approximately 100 words about
the back ground or the context in which the project is to be done. This may be
either an introduction about the objective of the department concerned,
outcome of the process to be improved, etc. There should not be any mention
about the project under this heading.

Abstract

You should write a brief overview about the objectives of the project. The
abstract should be approximately 50 words.

Scope

The extent of the benefits the projects is expected to produce is required to be
briefed in approximately 50 words. This will be in terms of whether the project
will benefit the entire organisation or the department or a particular section of
the department or a particular group of customers. This section should explain
only the extent of benefits and not the benefits.

Methodology

The methodology that is followed for the completion of the project should be
explained in approximately 50 words. The methodology may include data
collection through questionnaire, interviews, detailed analysis of data,
experimentation, etc.

Final deliverables

The expected final deliverables of the project should be explained in
approximately 50 words.

The front page of the project synopsis should contain the project title and the name
and details of the Reporting Officer and Officer Trainee.

PREPARING THE FINAL PROJECT REPORT

The final project report should be in the following format.

Front page

The front page should contain the project title and the details of the officer
trainee who is submitting the project. The front page is mandatory in the
project report. You may ask the question What is key element of my work? in
order to freeze the project title.

Fore note

The fore note is an optional requirement in the project report. You may use
the fore note page to express your acknowledgement to the people who have
extended their help for the completion of the project report.

Table of contents

The table of contents should not exceed more than one page.

Introduction

A brief background about the organisation and its area of business and then
narrowing down the background or context in which the project has been
done. The entire brief should be approximately150 words.

Executive summary

The executive summary of the project should brief about the entire project in
approximately 250 words. This should include the issues addressed by the
project, the scope of the project, the final outcomes envisaged by the project,
the limitations of the project if any, etc. The following questions are required to
be answered in the executive summary.
What is the context of the problem? This is, in other words, the
background.

What exactly is the problem you are trying to solve? This is the
problem statement.
Why is the problem important to solve?
Why is the problem difficult to solve? This is the statement of
challenges.
How have you solved the problem? Here you state the essence of
your approach.
What are the conditions under which your solution is applicable?
This is a statement of assumptions.
What are the main results? You have to present the main summary
of the results here.
How is the rest of the report organized? Here you include a
paragraph on the flow of ideas in the rest of the report.
Literature Review

An up to date summary of the relevant and related research in the area of
work.

Methodology

This would detail on the methodology used for collecting the data, the type of
research undertaken, etc. There should be a clear justification for choosing a
particular methodology.

Data analysis

This would detail on the actual data collected and the analysis that has been
done. This should also explain in detail what are the different inferences that
are arising out of each analysis.

Recommendations

The final recommendations have to be clearly detailed in this section. This
should also include the potential benefits and limitations arising out of each of
the recommendations.

Implementation

This section should detail a time and cost sheet depicting the time and cost
required for implementation of the project.

Conclusion

THE PIONEER GUIDE IV
The conclusion should contain the brief achievement of the project and future
improvements if any to the current project work.

Appendices and Bibliography

The appendices should contain all the materials like questionnaires, data
sheets etc that has been used during the project work. The bibliography
should consist of the list of all the secondary data sources used like articles,
organisation manuals, books, etc. should be quoted in the standard format. i.e
name of the book, author name, page numbers referred.
PROJECT EVALUATION CRITERIA
The project report would be evaluated based on the following criteria.

Application of knowledge
Approach and Methodology
Quality of recommendations
Presentation of the report
