Question 1 Read the scenario and then respond to the task that follows.
Scenario
Roshani is very concerned. Jordan, the newest member of her team, came to her office
yesterday with a serious complaint. He received an email from a colleague that included
sexually inappropriate material. Jordan surprises Roshani when he tells her that it is
commonplace for the team to share inappropriate email jokes and to view inappropriate
material on the Internet in the workplace.
Jordan wants Roshani to make this behaviour stop without telling his colleagues that he has
lodged a formal complaint.
Roshani is keen to try the group problem-solving techniques that she has been exploring in
her frontline management course. She organises a team meeting with the objective of having
the team develop its own solution to this problem.
Task
Prepare a short report that describes how Roshani and her team could go about resolving the
problem of inappropriate use of the Internet and email by team members. Your report should
address the following:

gathering and organising relevant information

helping team members to make decisions

examining options and assessing risks

making timely decisions and communicating them

preparing a plan to implement their decision

gathering feedback regarding the implementation and impact of the teams decision.

1. Gathering and Organisation relevant informationRoshani should start by gathering information from various resources about the
issues of emailing inappropriate jokes.
Types of information Roshani should gather are:

Primary Information such as the record of her conversation with Jordan and
the email that was sent. Roshani can also speak with colleagues about the
issue and if they had any experience or advice on it.

Secondary Information such as personnel records and evaluation forms.

2. Helping team members to make decisionsRoshani can conduct a team consultation where she can have a discussion with the
team members about how they feel about the issue of inappropriate emails. This
should be done without reference to the conversation with Jordan.
3. Examining options and assessing risksRoshani should then allow the team to become aware of the consequences of
sending inappropriate emails, how it can affect an individual psychologically. Roshani
should allow the team to discuss about the issue and decide on a strategies to
minimise inappropriate emails that may cause harm
4. Making timely decisions and communicating themRoshani should then make a meeting where the team members will report back on
their strategies that were discussed and the effectiveness of the strategies.
5. Preparing a plan to implement their decisionAt the next team meeting the team should decide on the most effective strategy and
implement a design for their decision.
6. Gathering feedback regarding the implementation and impact of the teams decisionRoshani should make sure that the team is given constructive feedback and
members submit self-evaluations so that she is able to know the impact of the
decision and whether the plan is effective in addressing the issue.
