folders - search folders are virtual folders that contain views of all email items matching specific search criteria. The e-mail messages shown
remain stored in one or more Outlook folders. When you create a Search
Folder,

300MB is the standard mailbox quota. Mailbox size is determined by the


size of the folders inside it. There are no exceptions to this policy nor can
you contact the IT Help Desk to raise it temporarily.

setting up personal folders for archiving

Learn the different Microsoft Outlook methods for storing ee-mail on your
own computer. Understand their benefits so that you can make an educated
decision about which method will work best for you (archive folders or personal
folders). To get started, take a short 30 minute training course on Microsoft
Office Online called File or archive your e-mail on your own computer.
When you receive messages, they're sent to your In-box, which is stored inside
the Mailbox on the Exchange server, along with Calendar, Contact and other
folders. When you store messages locally, you move them to Personal Folders
or Archive Folders,
Folders which are separate data files that are outside the server
mailbox just like Lotus Notes. Since they are stored locally they do not count
towards your quota on the server. Each of the type of folder is called a .PST
file.
what is a PST file?
a PST file is a personal storage file or local data file store similar to an archive
mail database in Lotus Notes.

that are separate in the Mailbox, or you can split the Mailbox folders, depending
on your long-term needs for these filed messages. This takes more work to set
up and maintain but some people like having more control over it. It is not
automatic.

adjustments to them on or turn off, follow the instructions below.

Messages are archived based on the date when they were last modified.
To create a custom view for messages that shows you the Modified field,
follow these steps:

3. Click the arrow next to Frequently Used Fields and select All
Mail Fields

how do I split up an archive


You should not let an archive folder grow larger than 2GB or it can become
corrupted. If you want to store them on a CD then you dont want them to be
larger than 700MB.
1. Create a new PST (see above for creating personal folder) where
you will put the messages you want to split up
2. Arrange the messages by date, click the column Received
3. Click the oldest message to select it
4. Hold the shift key down
5. Point the cursor on the messages shortlisted, rightright-click,
click and
choose Move To Folder

this this section describes the method used to create meeting invitations using
Microsoft Outlook with other Orange Business Services users who are using
either Microsoft Outlook or Lotus Notes.
1.

From within Microsoft Outlook, select Calendar from the left hand
menu, just below mail.

Select the day and the hour of the meeting by clicking in the
calendar window. Then click on File,, New,
New, and Meeting Request.

From the meeting request form, click on the To button and a pop-up
window will appear providing the capability to select attendees and
resources.

From the drop down menu, Show Names from the,

A list of user names will appear. All accounts begin with a zz


followed by surname. For example, for John Smith you would type
zzSmith to begin searching. Highlight the appropriate name and then
click on the Required button or Optional button. Select other names

meeting invitation. Note: If the user is listed in the Agenda Equant
address list that means the user is using Lotus Notes and the
invitation will be correctly formatted to be usable within Lotus Notes
when they receive the invitation coming from Outlook.

Lotus Notes with other Orange Business Services users who are using
Microsoft Outlook.

From within Lotus Notes, select Calendar.

been migrated from Lotus Notes to Microsoft Exchange. In this case
you must first select the Agenda France Telecom address book
before continuing as shown in Step 4.

Select your invitee from the Agenda France Telecom directory. If you
follow this step, your invitation will be sent in the correct format.

Note: Free Busy for both Notes and Non-Notes users has a restriction: If you
already have an existing recurring meeting you cannot add an invitee selected

If the participant is missing from the Agenda Equant address list,


then this user has most likely migrated to Microsoft Exchange and
can be found in the Global Address List or in Groupe France
Telecom list. If the user is not located in the Agenda Equant
address book., he has migrated to Microsoft Exchange so his
address can be found in the Global Address list. Click on OK and
you will be presented with Free/Busy information across all
messaging environments.

no plans to migrate calendar events. Existing calendar invitations will still be
usable in Lotus Notes after the migration, and new invitations will naturally be
created in Outlook. We are continuing to review this situation and will keep you
posted on changes.

Lotus Notes Click n Meet


Click n Meet is a room booking Notes based application. There are no plans
to web-enable it because it will be replaced by an FT application sometime late
in the third quarter. You can continue to use this facility from Lotus Notes.

information on the IT&S Exchange FAQ site.

what will happen to my distribution lists including the automatically created lists
from PIMS? We are not migrating distribution lists. Lotus Notes distribution
lists are addressable provided they have an Internet address (not just a Lotus
Notes address).

There will be a facility in Exchange to request the creation of a new list at a later
date and to replace an existing Lotus Notes list. However, if you are using an
existing list for access control for an application, then you will need to leave it in
Lotus Notes. Automated lists will have similar functionality but the long term
strategy is still being developed. Additional information on automated lists will
be provided shortly.

To find out if your distribution list has an Internet address, please access the
Equant NAB (Notes Address Book). This is located on every mail server. To
access from Lotus Notes, select File, Database, and Open, select your
mailserver and click on the Open button. Select Groups in the left pane and
the name of the list in the right pane. If there is no Internet Address or if there is
an @orange-ftgroup.com address listed, you will need to request a proper
Internet address by opening up a web-self service ticket.
The IT Help Desk can quickly create an Internet address for a distribution list so
you can use it immediately. The Internet address will appear in the Outlook
address book 24 hours later, but you can use the address before it appears.
