Form Templates
A Form Template can be automatically identified and evaluated by TeleForm. Unlike Document and Package
Templates, Form Templates include Reference Marks that enable automatic identification. Form Templates also
include data entry fields which can be fine-tuned to collect exactly the type of information required.
There are different styles of Form Templates, but they can all be automatically processed. This automated
handling distinguishes them from Document and Package Templates, which usually require some manual
intervention. If Form Templates are built well, almost no human intervention may be required.
TeleForm can only identify image files as Form Templates. If you need to handle non-image files, you must add
Document and/or Package Templates to your system.
14
Document Templates
Unlike a Form Template, a Document Template will rarely be printed, distributed, and returned to TeleForm. A
Document Template can be thought of as a model that tells TeleForm how to handle files that are matched to it,
even if those files differ from one another significantly. Documents must often be manually classified (matched to a
template) and indexed (data collected from or about the document). Even though they may not be handled with the
automatic ease of a Form Template, Document Templates offer two key advantages:
Non-Image Files
Flexible Structure
Non-Image Files
Unlike a Form, a Document can be almost any file type, not just an image file. The ability to process non-image
files was introduced in TeleForm v10. There is no need to print and scan files any longer (although TeleForm will
always accept scanning input). You can simply add the source files themselves to a batch.
Flexible Structure
Document Templates do not offer automated evaluation, but their ability to accept files of different structures
(layout, length, style) addresses many crucial information-gathering needs. You can create one Document Template
for processing a wide range of file types, reducing the time spent on the design phase.

Package Templates
A Package Template can be thought of as a means for organizing a group of files. The Package Template does not
have a separate existence; you must add forms, documents, or other files to it to give it substance.
The real power of a Package Template lies in its ability to streamline indexing and exporting. Each Package
Template can include its own Index Fields and Auto Export settings. Any file that is added to a Package Template
will automatically be exported per the Packages Auto Export settings. Similarly, if the Package shares Index Fields
with its constituent items, the values for the package-level fields will automatically be written to the matching fields
in Documents and Forms within the Package.

Processing Files
This introductory section will discuss Batch Processing. While TeleForm can process individual files, Batch
Processing is the most efficient way to handle large numbers of Forms, Documents, Packages, and Attachments.
A batch passes through the different processing stages together, moving from creation to identification, evaluation,
verification (if needed), and export. Along the way it will stop for any Checkpoint Quality Control (QC) modes that
were enabled for it, and permitted operators can pull the batch aside into Anytime QC even if no Checkpoint modes
were selected.

Evaluation
Evaluation is the attempt by TeleForm Reader to pull
information from data entry fields on an image. This
function is available only for image files that are
identified as forms.
18
Auto Exports
All Information Templates (see page 13) typically include at least one Auto Export, although they can include as
many as 16. Auto Exports defines how the data collected from matching files (and the files themselves) will be
stored.
Auto Exports streamline the process of getting the information youve pulled from forms, documents, and packages
into a location and format you can use to run your organization. There's no need for manual intervention. When a
batch has been fully processed and is committed, data from all the Forms, Documents, and Packages in that batch
will automatically be exported per the specifications in their separate Auto Exports.
When you export to a standard database format, such as Microsoft Access or Excel, CSV, or Paradox, TeleForm
can only export the information collected from data entry fields (forms) or index fields (documents, forms, and
packages). To store the actual source file itself that is, the file that was brought into TeleForm you must use
an Export Connect Agent.

CAPTURE OVERVIEW
Capture is the process of organizing files, collecting index information from them, and storing the files and data so
that they can be easily found and retrieved. Capture is a more wide-open, flexible method of using TeleForm. It
makes use of the same TeleForm modules that are used for Form Processing, but it often requires more manual
intervention to classify and index the captured items.

TELEFORM MODULES
TeleForm uses five main modules to design, distribute, and process forms. Your TeleForm system may not support
or need all of these modules:
Designer
Scan Station
Reader
Verifier
AutoMerge Publisher
Control Center
22
TeleForm Modules
Designer
Designers intuitive user interface lets you build information-gathering templates with a few mouse clicks. Simple
checkbox controls allow you to add business rules, data collection and indexing fields, automatic exports, and other
special functions. You can even add logos and artwork created in other graphics programs.
23
Scan Station
TeleForms Scan Station turns completed forms into batches that can be processed by Reader and Verifier. Scan
Station is an excellent tool for creating high-quality batches that require a minimum of Quality Control further
down the line.
24
TeleForm Modules
Reader
Reader performs two critical tasks:
Reader normally works automatically, without any need for manual sorting. After identifying a template, Cardiffs
RecoFlex recognition technology interprets its hand print (ICR), machine print (OCR), bar code, and checkbox
(OMR) data entry fields. Reader runs unattended, so collected forms can be processed day and night.
25
Verifier
Verifier allows you to check or correct any information that was not evaluated with sufficient confidence by
Reader. It is also the module in which the batch processing Quality Control modes are performed.
26
TeleForm Modules
AutoMerge Publisher
The AutoMerge Publisher lets you distribute customized documents via printer, fax, or as e-mail attachments.
These documents arent necessarily just for collecting data. They can be custom information targeted to each
recipient, such as a membership approval notification, list of approved vendors, and so on.
27
Multiuser Modules
Control Center
Control Center
Control Center is a management tool that centralizes
the configuration controls and data collection utilities
for Workgroup and Enterprise systems. A system
manager can use Control Center to change global
TeleForm settings, customize individual workstations,
create new Job Settings for batch processing, track
workload, and configure alerts that keep the system
moving efficiently.

Index Fields
Index Fields are tools for collecting index values from
Documents. They are added to Document Templates in
TeleForm Designer, then automatically appear when a
matching Document is processed. Index Fields that are
shared between a Job Setting, Package Template, and
Document Templates enable the Cascading Index
function, described on page 34.
Content Rules
A Document Templates Content Rules define what
type of files can be classified as that template. These
rules also specify how many files any one Document
can contain.
Content Rules can be very loose (no restriction on file
type of quantity) or more restrictive (for example,
defined as a certain number of image files, able to
include only one non-image file, and so on).
Auto Export
Document Templates can make use of TeleForms
proven Auto Export feature to store captured index
values in the database(s) of your choice. If you use an
Export Connect Agent, you can store not only index
values but the Document files themselves.
32
PACKAGE TEMPLATES
Package Templates are over-arching Information Templates for items in a batch. A Package Template can have its
own separate Index Fields and Auto Exports.
Packages define the relationship between items in a batch. For example, you might create an Employee History
Package Template. This template could be defined as including 1 Form (a Traditional Employee Application),
Document 1 (the employee's rsum), and Document 2 (a photograph of the employee).

33
CASCADING INDEX
Information collected in Index Fields cascades downward from the highest item in a batch to any constituent
items that share those Index Fields. This cascading feature can significantly decrease the time needed to index
batches.
Data collected in a batch-level Index Field will automatically be added to any matching Index Fields in the
Documents, Forms, and Packages that make up that batch. Similarly, data collected in a Packages Index Fields will
automatically be added to matching Index Fields in the Forms and/or Documents that make up the Package.

Anytime QC
Anytime QC is a new QC mode which can be launched
at any point between batch creation and commitment.
It offers the same QC commands as the Checkpoint
QC modes (Scan QC, Image QC, and Classification
QC), but is not tied to a precise point in the batch
processing cycle.
Classification QC
Job QC has been renamed Classification QC for v10.
This name change accurately describes one of the main
functions of Quality Control performed at this point,
which is the manual classification of items as
Documents and/or Packages.

Security
This optional enhancement is not required. Enterprise
customers can continue to use the Security features that
were available in previous versions of TeleForm,
including running TeleForm in the context of LDAP or
Windows security.
V10 allows you to use the Windows Active Directory
security mechanism to control access to the Teleform
directories, files, and databases. By creating a
TeleForm Program Account and separate Operator
Accounts, access to secured items is prevented without
impinging on operator effectiveness. In simple terms, a
TeleForm operator logs into an Operator Account,
which then triggers TeleForm to launch the desired
module with the TeleForm Program Account.
For details on setting up TeleForm in this environment,
see the Enterprise System Management Guide.
Folder Security
Folder-level Security allows only specified Security
Groups to access TeleForm template storage folders.

The Cardiff Intelligent Classification Server relies on
an elegant pattern-matching process based on concepts
to categorize documents and automatically insert tag
data sets, route content or alert users to highly relevant
information pertinent to the users profile. Training the
system is as simple as providing a few example
documents for each category. Thereafter, one can tune
the classification by increasing or decreasing weights
associated with keywords and also adding additional
keywords through a user-friendly graphical interface.
44
SWITCHING BETWEEN
CORRECTION AND QC
When a Verifier operator performs Form Mode
Correction on a batch, that operator can switch to
Anytime Quality Control (QC) mode without exiting
the batch. Anytime QC offers many commands that
may help improve TeleForm Reader's automated
evaluation of the items in the batch.
After jumping to Anytime QC, the operator can also
take the entire batch back to Form Mode Correction by
selecting Switch to Correction from the QC Menu.
