The Permanent Mission of Switzerland to the United Nations in New York
is looking for an
Job Description:
As the personal assistant of the Permanent Representative of Switzerland to the United Nations you will be in charge of
ensuring a functioning infrastructure for the Ambassador. Your tasks include managing his daily agenda, organizing official
journeys, support for high-level visits and invitation management among other things. You will keep diplomatic and social
contacts with the Heads of other UN Missions and the UN administration up to the highest levels.
Your specific responsibilities include overseeing the demanding office management and administering the diary of the
Ambassador; you will plan and organise events at the Mission and at the Residence (logistics and catering) as well as
support tasks related to the Ambassadors occasions at the Residence. You will organize official trips, coordinate the
Ambassadors driver assignments, process of various expenditure sheets, execute other UN related tasks, write diplomatic
notes and do researching on the internet.
You will be the point of entry for all contacts with the Ambassador in relation with the staff of the Mission, the administration
in Berne, other Swiss or foreign representations and the general public. You will interact with the Swiss Federal Department
of Foreign Affairs and its high officials, including the office of the Foreign Minister. You will maintain relevant telephone, mail
and fax communications and serve as liaison with the Management Team of the Swiss Mission to the UN and Consulate
General and its members; you will manage correspondence and attend to other secretarial work. Additional duties beyond
those listed here will be determined and assigned as needed.
To be a successful candidate, you must be able to multitask, be a team-player, and manage working well under pressure
and at times long working hours. Trustworthiness and 100% discretion are a must for this position of confidence. You also
need to be persistent in a courteous manner and have strong follow-through. Practical experience with diplomatic protocol
and the procedures and practices of the United Nations is a definitive advantage. Preference will be given to those
candidates who possess Swiss citizenship or have a strong and long-standing relationship with Switzerland.
