Executive Summary
The aim of this report is to outline on the communication skills developed and gained
by the author while attending for the HND programme on communication at ICBT.
The report takes a brief outlook on effective communication and its use whilst
importance of effective communication in working and social environment has been
specified.
Important skills for effective communication are cited and the ways in which the
skills can be improved further while elaborating further on the listening, effective
speaking and nonverbal communication. In addition the report takes account of the
major barriers to communication and its influence on the effectiveness of delivering a
message across to the receivers.
At last the report gives a conclusion on effective communication and its effectiveness
on a persons interpersonal skills and to the extent of applying such traits in a working
environment.

Introduction
Communication is the process of transferring information from one place to another
and effective communication is about conveying the message to the receiver in the
same exact way the message is intended to be said.
The ability to communicate effectively is a good trait possessed by good
communicators as well as by great speakers such as the legendary Martin Luther
King, Jr. who is well known for his highly energetic, revolutionary and charismatic
speeches.
Good communicators find it easy to build empathy and trust with others, such people
master the art of communication so that they change their style of communication
depending on their audiences.
Communication is often a two-way process which includes interaction between the
communicator and the receiver by using words, symbols, graphics, voice, tone, facial
expressions, clothing and body language. Effective orators make use of combination
of the interactive methods, while knowing the how to use such elements in order to
deliver an effective information to the audience.

1. What is effective communication?


Communication comprises conveying and interaction of information, thoughts and
feelings to the intended audience through speech, writing and visuals. Effective
communication emphasizes on getting the intended message across to the receiver in
vibrant and modest way yet much effective.

2. The importance of effective communication.


Effective communication is an important skill that is valuable for anyone; be it at
workplace, home, social confederate in order to improve connections, teamwork,
decision-making and problem solving. Effective communication helps to deliver
negative or difficult information to the receiver in a resilient manner without creating
complications.
It is often known that great speakers had perfected the art of effective communication;
some were naturally born with the effective communication skills while others were
trained. Such people are known for delivering their message rather than just reading
out.
Effective communication in workplaces can be a difference in making use and
missing out on a potential opportunity, able to communicate with your customers or
clients and to achieve your goals. It also creates a better understanding between
colleagues which could improve the overall optimism of the workforce.

3. Skills needed for effective communication.


Success in delivering the intended information is highly probable to be achieved when
both receiver and the deliver are listening to and understanding each other which
could be attained by following and practicing such skills needed to communicate
effectively.

3.1 Listening.
Being a good listener is vital for effective communication, you need to be able to
listen to the other persons needs to assist them in achieving their goals; listening
will also help to become conscious about what others are thinking, make the
speaker be heard, create an environment for everyone to interact and to be
empathetic towards others.
It is vital for the communicator to feel comfortable to exchange their views,
opinions and ideas while making sure there are minimal interruption and
potential distraction while maintaining an empathy with the listeners. Its
essential for the communicator to vary their tone to emphasize on the subject
being delivered to the receiver.
3.2 Effective speaking.
Effective speaking emphasizes being able to speak in a public environment with
confidence and clearness while expressing yourself.
Accents add more variation and uniqueness to ones speech rather than sounding
boring and neutralized with no accent. It is much usual for a speaker to get
him/herself accustomed to their voice and make any changes that may require for
them to sound natural, confident and clearness when it comes to conveying their
message to the receiver.
Vocal, Clarity and Varity adds to ones speech and the extent to which the
speaker can be heard. When it comes to vocal which is a mix of the speakers
volume, clarity and variety. Volume is to make sure that your voice is heard by
the last person seated at the last of a room or a gathering; this is achieved by
taking deep breath in order to project the voice out whilst making sure that tonal
quality is not lost. Clarity is when you let the words out by unclenching the jaw
and movement of the lips while making sure not locking the sound in the mouth
otherwise known as mumbling. Adding variety to your speech increases the
effectiveness of the information that is being delivered or been delivered, such
varieties are pace, volume, pitch and pauses in your speech.

3.3 Nonverbal communication.


Effective communication just doesnt include verbal means but also nonverbal
means of communication such as facial expressions, voice tone and pitch, body
language and eye contact.
Nonverbal communication can give you an assumption about what your audience
thinks about the message that is delivered such as nodding their heads and shrugs
of shoulders; it also gives an idea about their mental state. Nonverbal
communication creates bonds between peoples and provides a feedback to the
speaker while it can also limit the flow of communication as such as signaling
when someone has completed speaking or wish to say something.
A good communicator will have excellent body language and posture which will
synchronize with the message being delivered to create a positive influence on
the receivers minds. Eye contact is an essential aspect of nonverbal
communication to address the receiver in order to provide and receive feedbacks
and to deliver a message to the receiver whilst synchronizing with the tone, pitch
and volume of the communicators voice.

4. Barriers to communication
There are many barriers that can occur at any stage while communicating; this may
distort the message whilst creating confusions and misunderstandings.
The most common barrier to effective communication is language where the
communicator will have limited or no ways of communicating his/her ideas to the
receiver, the other barriers are linguistic where more technical terms are used which
reduces the ability of the receiver to get the message. Psychological barriers such as
stress, anger and low self-esteem limits the effectiveness of the communication.
Sometimes higher background noises can reduce the effectiveness of the message or

even difference in attitude between the sender and receiver can hinder the
effectiveness of the communication.
The most sought after advices for effective communication tries to emphasize on
increasing the understandability of the message, few of the tips are including humour
in your speech, maintaining a positive attitude and a few smiles at the audience,
learning how to treat people equally and the ability to resolve conflicts.

5. Conclusion.
It is being greatly emphasized on effective communication skills that anyone should
possess to express themselves and their messages to the audience or the receiver. In
order to deliver effective information, the communicator should know how to use the
combination of communication skills such as keep the audience focused on what is
being said whilst making sure that the communicator has effective speaking skills in
addition making use of nonverbal communication method in order to create a much
more strong impression on the receiver about the information being delivered.
A good communicator is well adept with the potential barriers to communication and
the knowledge and experience to know how to avoid or minimize such barriers while
delivering a message combining all of the skills mentioned herein.
