Procedure for Language Proficiency Interviews

Procedure

Prospective Visitor completes all


paperwork.

SEVIS Compliance Officer notifies


the Interview committee that a
prospective visitor wishes to have
an interview. .

Emails the top three names on the


Interview Committee list. The top
name not from the Inviting
Professors college becomes the
Test Coordinator.

The Test Coordinator identifies the


best time for all interviewers to
conduct interviews. Based on the
responses, the Test Coordinator
designates a time and date for the
test, in coordination with the times
suggested by the prospective
visitor.

Uses Doodle poll or email to


coordinate with the other two
interviewers.

The Test Coordinator procures a


room for the chosen test date and
time, and notifies the interviewers,
inviting professor, and SEVIS
Compliance Officer of the test date.
Test Coordinator procures
equipment for the interview.

Emails committee members about


the date/time of the interview. Also
emails time/date to prospective
visitor and provides information
sheet describing the interview.

SEVIS Compliance Officer provides


test packet on the day of the
interviews.

Test Packet includes: Interview


Questions, 3 Copies of the ID
Document for the Prospective
Visitor, 3 Rating Sheets, and 1
Assessment Record

The Test Coordinator distributes the


interview cards and reminds
Skype name: university.tulsa
interviewers of their roles. Test
Skype password: one234567
Coordinator connects via Skype with
the prospective visitor.

After the interview has ended, the


Test Coordinator distributes the
rating sheets. Interviewers mark
the rating sheet without
discussing the results.

The Test Coordinator collects the


rating sheets and fills out the
Assessment Record, providing the
required documentation of the
results of the interview.

The Test Coordinator notifies the


SEVIS Compliance Officer of the
results and sends the test packet
back to the SEVIS Compliance
Officer, with the results included.

Calls the SEVIS Officer, who picks


up the results. Alternatively,
delivers the results to the SEVIS
Officer.

The SEVIS Compliance Officer


notifies the Inviting Professor or
Prospective Visitor of the result, and
provides further instructions

For a positive result, the SEVIS


Officer notifies the Prospective
Visitor and begins immigration
process.
For a negative result, the SEVIS
Officer notifies the Inviting
Professor, who informs the
Prospective Visitor.

62.10 Program administration.


Sponsors are responsible for the effective administration of their exchange visitor program(s).
These responsibilities include:
(a) Selection of exchange visitors. Sponsors must establish and utilize a method to screen and
select prospective exchange visitors to ensure that they are eligible for program participation, and
that:
(1) The program is suitable to the exchange visitor's background, needs, and experience; and
(2) The exchange visitor possesses sufficient proficiency in the English language, as determined
by an objective measurement of English language proficiency, successfully to participate in his
or her program and to function on a day-to-day basis. A sponsor must verify an applicant's
English language proficiency through a recognized English language test, by signed
documentation from an academic institution or English language school, or through a
documented interview conducted by the sponsor either in-person or by videoconferencing, or by
telephone if videoconferencing is not a viable option.
