Attaching Employee/Applicant photograph to Personnel Data of


an employee/Applicant
1. Setting up Content Repository (T-Code OAC0).
In The change mode, select New Entries.
Photos can be stored using two different methods.
1) Using Content Repository Server.
In this method, image files are stored on a separate server named as Content
Repository server. This server is a separate server with KPRO system installed on
it and acts as a Content Repository Server. HTTP protocol is used to
communicate with this server.
2) R/3 Database Server
In this method, all image files are stored on R/3 database itself. No remote server
required for storing the files. This method consumes more space on R/3 database
hence not recommended for large amount of data.

Using Content Repository Server.


a) Create New Content Repository as "ZH".
(Any 2 Characters long name can be taken)
b) Enter suitable description.
c) Keep document area field blank.
d) Select storage type as HTTP content server.
e) Enter version No : 0046
f) Enter HTTP Content server IP address.
E.g. 172.16.14.41
g) Enter Port Number.
E.g. 1090
Contact Basis person to get the correct IP address and Port No.
h) Enter HTTP Script as ContentServer/ContentServer.dll.
i) Save the entries.
j) To ensure that Content Repository is in running state,
Click on CS Admin button and check the status.

Using R / 3 Database.
a) Create New Content Repository as "ZP".
(Any 2 Characters long name can be taken)

Enter suitable description.


Select document area field as Archive Link.
Select storage type as R/3 Database.
Select Rep. Sub-type as Normal.
Enter version No : 0045
Enter Content Table as BDSCONT21.
Click on Full Administration button.
Enter Basic Path and Archive Path as X:\.
Save the entries.

2. Setting up Links for Content Repository (T-Code OAC3).

Select Object Type as PREL and document type as HRICOLFOTO.


Enter X in Status field.
Select the newly created Content Repository. E.g. ZH or ZP as explained above.
Enter Link Table as TOAHR.
Retention period can be kept blank or Zero.

3. Setting up Global Document Types (T-Code OAC2).


1) Select Document Type HRICOLFOTO.
2) Assign Document Class as JPG. (i.e. for JPG files )

4. Archive Link: Administration of stored documents


(T-Code OAAD).
This step uploads the photograph to the selected repository.
(Manual Upload method).

Select Store and Assign option.


Enter Business Object as PREL.
Enter Document Type as HRICOLFOTO.
Click on Create button.
A popup screen will appear
Enter following field values
a) Personnel Number (Mandatory)
b) Infotype = 0002. (Mandatory)
c) Subtype
(If required)
d) Object Id
(If required)
e) Date of origin
(If required)
7) A windows popup screen will appear.
8) Select the JPG file name to be uploaded against that employee number.
9) If Upload is successful, an information message will appear for successful upload.

5. Customisation settings (T-Code SPRO).


Following Customisation settings are prerequisite for display of Photograph against the
employee number in PA20 or PA30 transaction.

Description: Document type for (passport) photo in HR.

6. Displaying attached photograph (T-Code PA20/PA30).


a) Enter the personnel number for which you want to see the JPG file and press
Enter button. The photo will be displayed along with the header data.
b) Double Click on the photo to get Enlarged
c) Enter the personnel number for which you want to see the JPG file. Choose the
infotype 0002 and then press the change button.
d) Go to the menu option Environment -> Display All Facsimile.
e) If there is a single document attached to an employee, then the JPG file
associated with is displayed to the user. If there are multiple documents attached
to an employee, then a list of archived objects for that personnel number is
displayed.
f) Double click on the doctype as HRICOLFOTO.
g) On the next screen, click the DISPLAY Button. The JPG file is displayed.

7. Deleting attached photograph (T-Code OAAD).


a) Press the Technical Search Button in the Documents window.
On the next screen enter the number of the Archived document Id which you
want to delete.
This number has been generated during photo upload step.
b) Or enter Business object as PREL and enter PERNR and InfoType value in next
screen.

Double click on the record displayed.


On the next screen, press the Delete icon.
On the popup for "Delete Link Press YES.
The JPG file is displayed. Close the JPG file.
On the Delete Archived Document window of SAP Screen, press YES.
The archived document has been deleted.
