SHEET FILES
4.1

Introduction
This chapter lists IPS standards that apply to sheet file construction. All
standards must be closely followed to facilitate uniformity throughout each set of
documents and uniformity between disciplines.

4.2

Sheet File Creation

Sheet files shall be named by sheet number (i.e. sheet number A201 will have a
drawing name of A201.DWG). Sheet files should be saved in the appropriate
disciplines directory (i.e. mechanical sheet files are located in \DWGS\MECH).
Refer to Ch. 8 -- Appendix for a list of Sheet File names and their contents.
All sheet files must be started from drawing templates located in the Standards
job service. Two templates are available. IPS-ARCH.DWT should be used for all
drawings utilizing the architectural foot-inch-fraction number format. IPSDEC.DWT is the template to use for drawings with decimal number format
(typically only site/civil drawings).
Paper Space/Model Space must be used in the following situations:
Multiple drawing scales on the same sheet
Enlarged or cropped plans, elevations, and sections
Multiple copies of base plans on one sheet with different layers visible
Model Space only will be used in all other situations. The Project Architect will
distribute a complete sheet list to all project team members indicating which
sheets are in Model Space only and which sheets are in Paper Space/Model
Space.
1. Plan Sheets Demolition Plans, Floor Plans, Roof Plans, Reflected
Ceiling Plans, and Finish Plans.
For Sheet Files Using Model Space Only
Base plans are externally referenced into model space of the sheet
drawing file at 1:1 scale on layer 0. The insertion point for all base plans is
0,0.
The path for externally referenced files must include the drive letter
mapped to the respective server and must have all sub-directories listed
within, including the project number.
(i.e. P:\99000\DWGS\ARCH\REF\BASE1 for projects on the main office
server and R:\99001DWGS\ARCH\REF\BASE1 for projects on the Six
Parkwood server).
The title block is externally referenced into model space on layer 0 and
scaled to reflect the plotted scale of the sheet (refer to Ch. 8 -- Appendix

for a list of scale factors). The title block is then moved to the correct
location relative to the base plan. The Project Architect/Interior Designer
shall notify the project team of the title blocks insertion point (lower left
hand corner) for each sheet file created so that the title block location is
constant for each sheet showing the same plan area.
Title Block attribute information (IN30X42.DWG and IN24X36.DWG) is
inserted into model space onto layer 0 with the insertion point being the
lower left hand corner of the title block and scale factor matching that of
the Title Block.
Once a drawing has been created and the base plan and title block are
externally referenced into the drawing, the layering structure must be
manipulated according to plan type, (i.e. all new construction layers are
frozen on demolition drawing).
Base files from other disciplines should be externally referenced into sheet
files only if required for plotting (i.e. HVAC diffusers and lights in reflected
ceiling plans). All layers in referenced bases that will not be plotted should
be frozen.
After base plans and title blocks are externally referenced into a sheet file,
all note reference files are to be externally referenced into model space of
the sheet file and scaled to reflect the plotted scale of the sheet.
For Sheet Files Using Paper Space and Model Space
Base plans are externally referenced into model space of the sheet
drawing file at 1:1 on layer 0. The insertion point for base plans is 0,0.
The title block is externally referenced into paper space of the sheet
drawing file at 1:1 on layer 0. The insertion point for the title block is 0,0.
Title Block attribute information (IN30X42.DWG and IN24X36.DWG) is
inserted into paper space of the sheet file at 1:1 on layer 0. The insertion
point of the title block attribute is 0,0
One or more viewports are created in paper space to view model space.
Each viewport must be zoomed to an appropriate scale.
Once a drawing has been created and the base plan and title block are
externally referenced into the drawing, the layering structure must be

manipulated according to plan type. Layers may be set differently for each
viewport. (i.e. all new construction layers are frozen on demolition
viewports).
Base files from other disciplines should be externally referenced into
model space of sheet files only if required for plotting (i.e. HVAC diffusers
and lights in reflected ceiling plans). All layers in referenced bases that
will not be plotted should be frozen.
After base plans and title blocks are externally referenced into a sheet file,
all note reference files are to be externally referenced into paper space of
the sheet file at 1:1.
2. Details, Sections & Elevations
For Sheet Files Using Model Space Only
The title block is externally referenced into model space on layer 0 and
scaled to reflect the plotted scale of the sheet (refer to Ch. 8 -- Appendix
for a list of scale factors). All drawing elements shall be drawn in model
space using the General Detail (GDE) series of layer names (see Chapter
2 - Layer Standards for layer names) or externally referenced onto the
sheet file on layer 0.
For Sheet Files Using Paper Space and Model Space
All drawing elements shall be drawn in model space using the General
Detail (GDE) series of layer names (see Chapter 2 - Layer Standards for
layer names) or externally referenced onto the sheet file on layer 0.
The title block is externally referenced into paper space of the sheet
drawing file at 1:1 scale and on layer 0. The insertion point for the title
block is 0,0.
Title Block attribute information (IN30X42.DWG and IN24X36.DWG) is
inserted into paper space on layer 0. The insertion point of the Title Block
attribute information is 0,0
One or more viewports are created in paper space to view model space.
Each viewport must be zoomed to an appropriate scale.

SoftDesk Module
All construction documents are started with the SoftDesk Module respective to
each discipline. During the initial start-up for each drawing, Softdesk will prompt

for a Project Setting. The Project Setting to be selected for every drawing is
IPS, unless otherwise directed by the Project Manager.
For each drawing, verify that the Scale and Unit Format in Setup Drawing are
correct.
4.4

Annotation
SoftDesk Annotation Text and Symbol leaders are used for annotating all IPS
drawings.
For Sheet Files Using Model Space Only
All annotation shall be drawn in model space. Text heights and overall dimension
scale must be adjusted to reflect the plotted scale of the sheet.
For Sheet Files Using Paper Space and Model Space
All annotation shall be drawn in paper space. Dimension length scale must be
scaled to reflect the viewport zoom factor.

4.4

Blocks
All blocks used as symbols must be defined within the following parameters:

Block name are no longer than 8 characters in length

No block name may be the same as a drawing name

All symbol blocks are defined on layer 0

All block colors must be defined BYLAYER

Temporary block names(to be immediately inserted into another

drawing) are named TMP followed by up to (5) additional characters

4.5

Text
ROMANS, HELVS, and DIMSTACK are the only standard fonts for all IPS
construction documents. HELVS is used for titles and other large text. ROMANS
is used for notes and other annotation. DIMSTACK is used for all dimensions.
Once a drawing has been created with the appropriate template and the Scale
and Unit Format has been defined in Setup Drawing, SoftDesk and the IPS
Menu will automatically size and correctly format annotation text and symbols.
Alternate fonts may be chosen for the cover sheet, sheet border and attribute
information if approved by the respective Director in the Project Managers
discipline. Any fonts to be used (other than ROMANS and HELVS) must be
copied to the \DWGS\ARCH\REF directory. Styles modified in the sheet border
and attribute block (refer to section 3.3) must be pathed to the font(s) located in
\DWGS\ARCH\REF.

SHEET FILES

Special fonts required by owners or included in drawings received from

consultants must also be pathed to the DWGS\ARCH\REF directory of the
respective project service. If the special font cannot be obtained due to licensing
agreements or copyright laws, the display of the font can be mapped to a font
from the IPS library. Contact the Systems Administrator for assistance.

4.6

Dimensions
ARCH13 is the standard dimension style. The first time a drawing is started,
open the Dimension Dialogue Box and select Annotation. Change the Dimension
Scale to be the same scale factor as the sheet file (refer to section 4.2).
When dimensioning, be sure the auto dimensioning mode is used (default text),
and that the dimensions are associative (one-piece).

4.7

Sheet File Revisions

After a sheet file is issued, all revisions must be recorded on the drawings.
Revision bubbles with an associated reference mark will be drawn on a layer
named the date of the revision. The revision date and corresponding mark must
be recorded in the revision space of the sheet border, on the general text layer
(GNO).

4.8

Presentation and Cover Sheets

Presentation drawings and cover sheets may require additional fonts, blocks or
other entities to attain the desired artistic appeal. Refer to section 4.5 for proper
methods of using special fonts.
