Creating Bills
Can I apply a discount to an invoice?
You cannot add a line item to a bill which is a discount amount. You could create a credit on a bill
after it has been generated.

Can I send bills to people outside my club?


Yes, you can bill anyone inside or outside your org. For those individuals outside your org youll
just need their name and email address.

Can I add an attachment to a bill?


On June 1st, you will be able to add information within the notes which will be shared with the
payer. However, a physical document cannot be attached to the emailed bill. We are investigating
the feasibility of adding this feature.

When creating a bill, can I vary the number of line items within
the billing batch?
No. All bills within a billing batch have the same number of line items.

Can the bill be sent to multiple email addresses for the same
account?
Bills will be sent to the primary email address for the account holder. However, the account
holder could forward that bill on to someone else to pay the full amount or a remainder if partial
payments are allowed.

Can I create a bill with a due date of today but not actually
process the transaction until a future date?
On June 1, this type of functionality will not be available, but we are looking at use cases like
these to consider new functionality.

Paying Bills
Can a parent forward the email bill to someone else and have
them pay it?
Yes. A bill can be paid by anyone who has the bill email.

Can I take cash and checks?


Cash and checks can be accepted via an oine payment.

Do you support ACH payments?


Yes. ACH payments are accepted as well as Visa and MasterCard.

Can I pay a bill via a swipe machine?


At this time there is not an integration to a pos device or swipe machine.

If taking an oine payment via check, can I require that a


check # is entered?
You can enter a check # in the notes field for every oine payment received. You can't require
certain data be included though.

Do I have to create an account before I can pay a bill?


No. You are not required to create an account. However, there are benefits to creating an
account such as seeing a history of your payments. If you create a bill at a later date, that
information will be available is it is tied to a single email address

Will admins have the ability to take a cc payment over the


phone?
This functionality wont be there on June 1st, but we are looking to add this feature soon.

When a credit card is declined, what kind of notification is


given to the parent?
A parent is informed immediately when their credit card is declined.

Are any actions automatically taken once a bill is past due?


PowerPay was not designed to be a collection tool. However, since you can view bills by past
due dates and then take actions on those individuals you can create whatever type of
organization policies to enforce payment such as suspending a player from playing further or
making them ineligible for tournaments or traveling.

Reminders
Can I create a list of people with outstanding balances and
send them a reminder?
Yes. You can filter open bills and send out reminder notices to that group of people

If I send out reminders to a group and some of the members


of that group have paid in full what happens?
Instead of getting a reminder with a balance due, they get the equivalent of a receipt.

Bank Accounts
Can I have multiple bank accounts associated with PowerPay?
On June 1, only one bank account will be able to be associated with PowerPay.

If I have a team that has their own bank account, can I link that
to PowerPay
We built the first release of PowerPay to solve organizational level needs. As such, only a single
bank account at the organization is allowed. We do know that some organizations team have
their own bank accounts and we are looking at how to accommodate this scenario.

Gateways
What processing gateways can I use with Sport Ngin
PowerPay?
Because of the tight integration with our platform and that most of our customers use the Sport
Ngin processing gateway, it is currently limited to that. We are looking at other options in the
future.

I use another gateway for registration, does that mean I cant


use PowerPay
No. You will still be able to use PowerPay if you accept the terms of service and agree to use the
Sport Ngin gateway for PowerPay. You can continue to use your 3rd party gateway for
registration.

Fees
Can a penalty be added to a bill once it is past due?
Today there isnt a way to automatically add late fees. However, you could send a second bill for
the penalty amount that you choose.

Will the processing rate for PowerPay match their registration


processing rate?
Yes. We believe in simplicity. Your processing rate and tech fee for registration and PowerPay are
the same. No need to wonder what you will be charged for which type of transaction. Its all the
same.

Can I pass on the processing fee to my parent/athlete?


Not exactly. Processing fees are always paid by the organization. However, an organization could
create a line item on the bill which is associated to a fee. We are looking to add the ability to
pass fees onto parents later in 2016. This fee would then show as a line item on the bill.

What is the cost for me to activate PowerPay?


Nothing! PowerPay is included for all customers using the Sport Ngin Platform.

Do you support late fees for parents?


Today, there isnt a way to automatically add a late fee. However, you could create a second bill
for just the fee.

I have questions about my rate and if using PowerPay will


aect that. To whom can I speak?
Your account manager can help you with any questions around processing rates.

If I use PowerPay to create bills, but collect the funds oine,

No. You only are charge a fee when a credit card or ACH payment is processed.

Permissions
How are permissions managed in PowerPay?
Permissions for PowerPay are managed much the same way they are for the rest of the platform.
Permissions are handed out individually to accounts on the Sport Ngin platform.

Can permissions be granted at the team level?

For example, each


team has a treasurer that takes care of their own fee. Do these treasurers have
access to the entire association?
On June 1, you will be able to grant access to any user but they will have access to all members
and contacts that are part of your organization. We know that some organizations will need to
have more granular access such as at the team level and we plan on adding this additional
functionality in the future.

Security
Where is credit card information stored?
Credit card information is never stored within an organization or within the Sport Ngin platform.
Credit card numbers are only used to process the payment and then the processor gives us a
token which cannot be turned back into the credit card number for future requests.

Are you PCI Level 1 compliant?


Like registration, Sport Ngin PowerPay is PCI Level 1 compliant.

Accounts
Is there anywhere I will be able to see the total amount owed

On June 1, each will have their own view for balances. We do plan to have a consolidated view of
an entire account coming soon.

Can I edit contacts?


Yes. Admins can edit contact information.

Can we post payments to the account?


No. All payments are posted to bills. Accounts themselves cannot have balances.

Is there an import function to create contacts to add many at


once?
There isnt an import function directly into PowerPay since it uses all of the contacts that are
already part of your organization including anyone who as become a member of your site,
rostered players with email address and anyone who has gone through a registration session.

Reporting & Accounting Package


Integration
Can the columns in the contacts section be customized? For
example, could I add the accounts outstanding balance?
No, that screen includes only the contact or group information. However, outstanding balance
can be easily found in the payments page.

Can I import balances into PowerPay?


There isnt a way today to import You could create bills for the appropriate amounts.

Can I export transactions from PowerPay?


Transactions can be exported from PowerPay in CSV format.

For exported transactions, can I see line item detail or is it just


bill level?
On June 1, detail will only be available for export at the bill level, not the line item level.

Will we be able to upload customers from an Excel list?


PowerPay does not use a unique set of contacts--they are the same ones available to any part of
the Sport Ngin Platform. As such, you cannot directly import contacts into PowerPay. You can
create them one o in PowerPay.

Is there an integration with Quickbooks?


On June 1st, there wont be a direct integration with any third party accounting systems. However,
Quickbooks is at the top of the list for consideration.

What reports will be available on June 1st?


We will be providing the two key reports on June 1st. They are an activity report and a payout
report. We will continue to solicit feedback for other types of reports that would be helpful in
managing cash.

Is there a function to filter failed payments and chargebacks?


Yes, you can easily identify if either of these have occurred and on what bills.

Can I see all of the outstanding balances for a group? Say for

Currently, when filtering billing batches, it filters them by name. So if you named each of your
batches by team name then you would be able to see the balances for all of those batches.

Registration vs Sport Ngin PowerPay


Does PowerPay replace registration?
Absolutely not. PowerPay is meant to be a companion to registration as they solve dierent
problems for your organization. Think of registration as a data collection tool with the ability to
collect funds, while PowerPay is a way to collect funds w/o the hassle of collecting a bunch of
data or creating an account.

Do transactions in PowerPay aect balances in registration?


No PowerPay credit or debits can only aect bills created via PowerPay. We are looking at how to
allow a crossover between these two types of payments.

Can I use PowerPay as an option in a registration session


instead of a payment plan
You could oer a bill me later function and then create a smart group of all those people who
signed up to be billed and send them an invoice for that appropriate amount.

Are there some features that are only available in PowerPay


and not registration? In registration but not in PowerPay?
Yes, PowerPay allows you to create and send bills to anyone while allowing partial payments and
the ability to manage a balance via all sorts of activities: credits/voids/etc. It also allows for a
mobile checkout and quick payment from parents. Registration allows for discount codes and
rules, the collection of data fields, payment plans and waivers.

Are contacts from registration available in PowerPay?


Since registration and PowerPay share the same contact list from your organization, all contacts
that are available (with email address) will be available to PowerPay.

Can we do recurring payments through PowerPay?


You could create something similar by creating a series of bills with regular due dates for a
parent. However, bills do not automatically debit a parents account like a recurring payment
does. The parent would need to pay the bill by that due date.

Does registration data transfer over to PowerPay?


Since registration and PowerPay use the same contact list and have access to the same groups,
there is no need to duplicate the data from registration to PowerPay. Instead a user would access
the contact and team information directly or other information (shirt size, gender, etc) via a smart
group.

Would payment plans signed up for on registrations transfer


over to this?
No, payment plans would still be connected to the registration order. Remember payment plans
and PowerPay payments dierent use-cases. Payment plans allow an organization to set a
schedule and automatically charge a credit card, while PowerPay payments have a due date but
the parent initiates the payment.

Now that PowerPay allows us to view the details of a daily


batch, is there a plan to add similar functionality to
registration?
Yes, we are planning on recycling the new reports for PowerPay in Sport Ngin registration in the
very near future.

I have payments plans in flight right now, can I transfer those


over to PowerPay.
Not directly, but you can cancel the payment plan and then send out bills via PowerPay for the
remaining amount due.

Groups
Do I manually have to create groups for teams?
No when athletes are rostered on teams, those athletes are automatically available to bill via their
team.

Can you use a past registration as a group?


Yes.. Any registration (as long as it isnt archived) can be used to generate a group from.

Do I have to use smart groups or can manually create a group


and add members to it for billing purposes?
You can use both smart groups and manually created groups.
As far as the smart-groups is there a way for admins to manually edit groups? Say to manually
group teams together yes, this can be done within the registration reporting tool.

Misc
Is PowerPay available within the Sport Ngin Mobile app?
On June 1st, creating payments will only be available via the PowerPay desktop module.
However, payments can be done via a responsive mobile page.

What day will PowerPay be available to me?


PowerPay will go live for all current Sport Ngin customers in the US on June 1. In preparation, you
should make sure you already have your bank account and processor settings completed in the
Admin Control Panel.

Will PowerPay be available outside of the US?


On June 1st, PowerPay will only be available to organizations within the US. We are looking at
extending this functionality beyond the US including Canada and the Eurozone.

How do I access PowerPay?


PowerPay will be accessible via permissions in the Admin Control Panel. This will launch the
module.

Who do I contact for additional questions?


For questions regarding the features of PowerPay can email Casey Kipfer & Rob Bedeaux at
PowerPay@sportngin.com. If you have questions regarding your processing fee and rate, contact
your account manager.

How does PowerPay integrate with Dibs?


Today, there isnt an integration between Dibs and PowerPay. We are investigating how to quickly
send bills out to people who havent completed their volunteer requirement, but felt that we
shouldnt hold up the initial release for that feature. You can, however, use the Dibs export to get
a list of people to bill and send them a bill by name.

Can PowerPay be used to send a bill to a sponsor?


Yes. Since you can create a manual contact in your contact list, the only information you need is
their name and email address. Your bill can then include as many line items as you need to
describe exactly what the sponsorship is for.

Can PowerPay be used if I am only a registration customer?


Sitebuilder customer? Tournament customer?
PowerPay can be used if you are a Registrations customer or a Sitebuilder customer. Youll need
admin control panel access to get into the application. If you are tournament only you would
need to add Registration or Sitebuilder.
