PURPOSE
Thepurposeofthisprocedureistoprovideforasystemandinstructions,andto
assignresponsibilitiesforidentifyinganddocumentingenvironmentalaspects.
AI APPLICATION
ThisprocedureappliestotheSendanInternationalcoLTDsactivities,products,
andservicesthatcaninteractwiththeenvironment:whethertheyarecarriedout
orgeneratedinhouse,purchased,orsubcontracted.
BI RESPONSIBILITYANDAUTHORITY
Amultidisciplinaryteamrepresentingvariousdepartmentsandfunctionsinthe
companyisresponsiblefortheinitialidentificationofenvironmentalaspects.
On an ongoing basis, the top management and departmental managers are
responsible for identifying changes in activities, products, and services that
createnewenvironmentalaspects,orinvalidatepreviouslyidentifiedaspects.
TheEMRisresponsibleforcollectingandcoordinatinginformationregarding
environmentalaspects,andformaintainingtheEnvironmentalAspectLog.

DEFINITIONS
Environment: Surroundingsinwhichanorganizationoperates,includingair,
water,land,naturalresources,flora,fauna,humansandtheirinterrelation(ISO
14001Section3.2.1).
Environmentalaspect: Elementofcompanysactivities,productsorservices
thatcaninteractwiththeenvironment(ISO14001Section3.2.2).
Environmentalimpact: Anychangetotheenvironment,whetheradverseor
beneficial wholly or partially resulting from an organizations activities,
productsorservices(ISO14001Section3.2.4).
V PROCEDURE
1. InitialIdentificationofEnvironmentalAspects

1.1 In the initial phase of establishing and implementing the EMS, Environmental
Aspects are identified by a multidisciplinary team including representatives of
various departments and functions in the company. The EMR is responsible for
establishinganddirectingtheteam.

1.2 Criteria and guidelines for identifying and selecting environmental aspects are
providedinGuidePMEofKSA,IdentificationofEnvironmentalAspects.Theguide
isconsideredtobeapartofthisprocedure.
1.3 Eachmemberoftheteaminventoriesandreviewsrelevantactivities,products,and
servicesinhisorherdepartmentorareaofexpertiseand,usingthecriteriadefinedin
Guide PME of KSA, prepares a list of Identified Environmental Aspects. EMR
coordinatestheassignmentofspecificareasandtypesofactivities,products,and
servicestoensurethateverythingiscovered.
1.4 Environmental Aspects identified by the team are discussed at a special meeting
chairedbytheEMR.Eachmemberoftheteampresentshisorheraspectsandthe
teamevaluateswhethertheaspectsarerelevantandfitthedefinition,guidelines,and
criteriaprovidedinGuide;andthattherearenoduplications.TheEMRnotesall
aspectsthatpasstheevaluationandcompilesacombined,comprehensivelistofall
EnvironmentalAspects.
1.5 The combined list is then presented to the top management for review and for
possibleidentificationofadditionalaspectsthatmayhavebeenmissed.
1.6 ThefinallistofEnvironmentalAspectsidentifiedbythisinitialreviewisrecordedin
theEnvironmentalAspectlog.
2. OngoingIdentificationofEnvironmentalAspects
2.1 Changes and development of new activities, products, or services may
invalidate previously identified Environmental Aspects or require the
additionofnewaspectstothelist.Examplesofsuchchangesinclude:

Modificationofproductdesignanddevelopmentofnewproducts;
Changesinprocessesandtechnology,andintroductionofnewprocesses;
Significantexpansionorreductionofcapacity;
Newsuppliersandsubcontractors;
Plantadditionorrelocation;
Changesinthesurroundingcommunity;

Changes in laws and regulations (that would promote higher


awarenessofcertainaspects);and
Temporaryprojects,suchasconstruction,installationofnewlinesor
equipment.

2.2 Onongoingbasis,thetopmanagementanddepartmentalmanagersareresponsiblefor
identifying changes in activities, products, and services that either create new
EnvironmentalAspectsorinvalidatepreviouslyidentifiedaspects.

2.3 NewEnvironmentalAspectsmayalsobeidentifiedthroughthemanagementreview
orbyinternalorexternalauditsoftheEMS.

2.4 New Environmental Aspects, and requests to delete obsolete aspects, are
communicatedtotheEMR.
2.5 The EMR reviews the proposed aspects for relevance and conformance with the
definitions,guidelines,andcriteriaprovidedinPMEofKSA;andrecordsthenew
aspectsintheEnvironmentalAspectLog.
3. EnvironmentalAspectLog
3.1 Environmental Aspect Log is used for recording initial and new Environmental
Aspectsandinvalidatingpreviouslyidentifiedaspects.Thelogisintheformofa
Matrixforrecordingthefollowinginformation:
