Synopsis

The project "Admission cell maintenance is software which aimed to automate and
log on to various day-to-day activities and to provide instant information required in

effective management of any given college.

The automation part of the software would involve data capture and maintenance of
details on the college, teachers, students and tasks in the overall management of the
college.

In the existing system all the data is maintained in the records slowly.

In the proposed system an automated system should be developed that overcomes

the drawbacks of the existing system.

The system will have modules like Login Module, Enquiry & Admission Module, Fee
Module and Reports Module.

Project is developed using VB as front end and Oracle as back end.

INTRODUCTION

The proposed project will be used in maintaining the data of all the students and staff
members who belong to college management.

There is a requirement to maintain the complete information of the employees and

teachers working in the institute including personal, qualification, leaves taken and
monthly salary received throughout the years.

The proposed system deals with all included activities handled by a computer center
like enquiry, registration, faculty details, courses, fee information etc.

The proposed system entitled Admission cell maintenance deals with all the
activities done by any college.

This system is more flexible and efficient than manual work and reduce the total time
consume at error chances.

EXISTING SYSTEM

The existing system is doing all the processes slowly.

This process is so difficult when the number of users increases. Colleges are

imparting quality of computer education to the students they are the education
service provider.

In manual system there is no fixed rule of charging the late fees, it totally depends on
the discretion of clerk.

There is a need of computerized fee collection system and if the fee is not in time,

late fees automatically get added and the receipt is to be printed accordingly.

This activity can also be computerized so that there will be a lot of time saving and

the staff members can reply faster to queries of students and the management and
the entire information will be very much organized.

DRAWBACKS

Difficult to locate or find particular information regarding students and college.

Payment made against bills is not maintained accurately.

Seats available in a particular class or stream cannot be found easily.

Marks obtained by a particular student in a particular subject is not managed

properly.

Result of a particular student is not properly managed.

PROPOSED SYSTEM

The proposed system meant to give more easiness to the users that they can add
and retrieve information so quickly.

There are mainly two types of users they are administrator and registered members.

The administrator is the master user; he gets the most number of priorities than the
other users.

The different functions involve the acme of an administrator are updating, approval.
The administrator can view and perform necessary actions.

Registered member can update the details, view details and get the desired result.

FEATURES

The proposed system is a cost effective way of doing the manual processes done in
the existing system.

This helps the organization to win the war in the existing competitive world.

The main objective to develop the project is to make the Admission cell maintenance
simple and to provide user-friendly access of this program to all the staff members
and students of the Institute so that they can locate and reply the queries concerned
to them.

Centralized information is available which can be accessed by any number of users.

Students admission reference details are also maintained through the system.

Modules with Form Design

Login module
It is used for logging in the Admission cell maintenance. Only valid users
can login & use the system.

Enquiry module
It is used for adding enquiry details in Admission cell maintenance (ACM).
Here the admin get privileges to add or modify details in Admission cell

maintenance.
Admission module
It is used for adding admission details in Admission cell maintenance(ACM).

Here the admin get privileges to add or modify details in Admission cell
maintenance.

Fee module
It is used for adding fee details to Admission cell maintenance. While
maintaining fee details scholarship details about the student will also be

maintained. Here the admin get privileges to add or modify details in Admission
cell maintenance (ACM).

Reports module
Reports can be generated through this module. Reports like application
report, staff report, department report, course report, admission report &

scholarship report can be generated through this module.

CONCLUSION

The system is an application that handles various academic and non academic
activities of colleges.

The system can be accessed by every students/faculties/employees of the institution

through internet connected computers or internet enabled mobile devices with the aid
of user name and password.

The system will be developed after studying the requirements and necessities of the
system.

As the system will be created in a user friendly manner with appropriate message
guiding the user, even a person with minicomputer knowledge will be able to use the

system.

The system will be completely menu driven and extremely user friendly since it is
developed in an efficient back end tool Oracle.
