Preparation

This is the first module to be presented to field personnel who will be responsible for
creating baggage records. This module should be presented to everyone who will
have the responsibility for working in the Baggage Service area of the airline's
operation.

For the section on creating Baggage Records from a PNR:

Prepare a set of PNR records

Create the PNRs with itineraries over the current or recently past dates (within 12 days past, as the itinerary still needs to be active in the face of PNR, not moved
into PNR history)

The itinerary segment should have a termination at the cities/stations that the
students are using in class

Generate Sabre-system ticket numbers within the PNRs; add flight information
to at least one of the segments.

Have at least one baggage record already created, note the bag tag number used
in this Record.

So that the students can view the Duplicate Bag Tag pop-up, during the section
on creating a baggage record without a PNR, advise the students to enter the bag
tag number from the previously created Record.

For Display Record section

Use the baggage records that the students created during the Create Record
section.

Have the students notate the flight, date, passenger name they used when they
created the baggage records, as well as the bag tag numbers they invent.

For the Claim Receipt and Print Forms sections

A hardcopy printer must be assigned.

If there is not a hardcopy printer available in the classroom, the instructor should
print sample copies of each form prior to presenting this portion of the training
material so that the participants will have a copy of the printed form.

A hardcopy of the IATA Airline Baggage Identification Chart should be available


for bag description demonstration.

Baggage Introduction and Overview


Features of the Baggage Management Analysis System
The Baggage Management Analysis System (or BMAS) is a real time tracing system with the primary
objective to reunite a passenger with his/her baggage.
The Baggage Management Analysis System provides real time storage plus analysis of baggage
performance for lost, found, damaged, and pilfered bags. Records are created, updated, and maintained
by each airport city, providing the data for online management reports which reflect current, daily,
weekly, monthly and year-to-date baggage handling performance statistics. Reports can be requested for
a particular city, specific division, or the entire system.
The Baggage Management Analysis System offers the features listed below that assist the host airline in
meeting the above objective of reuniting a passenger with their lost baggage. They are:

Baggage Record transfer

Baggage Tracing

Match Records

Merge Records

Forwarding messages

Closing Records

Settlement fields

Interface capabilities with SITA, WORLDRECORD, ACTS and BCCFS (Baggage Claims Control

The greatest benefit to the airline is an automated system of locating a customers bag, therefore reducing
the amount of time that would normally be spent on phone calls and Teletype messages.

access the Baggage Service function labels:

Create Record
What is a baggage record?

A baggage Record is a record of the mishandling of a passengers bag. Most often, a Record is created
for a lost bag. Upon confirmation that the baggage did not arrive with the passenger, the Baggage Service
user will take the steps outlined in this module to create a Record for tracking purposes.
The required elements of a baggage record are:

Passenger name(s)

Bag tag(s)

Itinerary and ticket number

Address (local and/or permanent)

Telephone (home and /or business, local and /or permanent)

Description of bag

Check-in information

When the baggage record is complete and the transaction ended, a system search is completed to
determine if the bag is being tracked in the airlines host system for a possible match. This will only
work if the airline also uses the tracking process to create Baggage Management Analysis System Records
for any unclaimed bags, which are referred to as onhand bags.
The same is true when a Baggage Service user enters an onhand bag into the system. A search of all
Records is completed to determine if there is a match. The Baggage Management Analysis System
searches all onhand bag Records for a match to the open Records, and searches all Records for a match to
an onhand bag Record.
Responses to the search are placed on a baggage message queue for review. (Baggage Message Queues
are discussed in the Baggage Queues module.)
Baggage - Create Record

Use the Create Record label is to create a baggage record for any lost baggage, damaged baggage, or
pilfered baggage.
To access the Create Record functions, select <Shift+F1> from the Baggage tab.

In most cases, it is preferable to display the passengers PNR as the first step in creating a Record. By
doing so, required information is automatically transferred from the PNR into the Baggage record file.
However, in cases where the PNR cannot be retrieved, you can create a Record. For purposes of this
lesson, the Create Record without PNR is discussed first, to permit detailed explanation of the steps in the
process.

Create Record without PNR

From the Create Baggage Record pop-up window,

Select Option: Create Record Without PNR

Select <OK>

The Add Bag Tags pop-up window displays.

Destination: Enter the three-letter Destination Airport or city code

Bag Tag Numbers (at least one is required):

Note:

Standard IATA bag tags contain six numeric characters.

The bag tag number input fields allow up to eight characters, as two additional spaces
are provided for an airline 2-letter alpha code.

The two-letter airline code should precede the bag tag number only when the bag tag was issued
by another airline
(example: HA123456).

As advised, enter UNK if the bagtag number is unknown

Select <OK>

As a pop-up window series is completed, the Record or any error responses display on screen.

Duplicate bag tags

When the bag tag(s) are entered, the database is searched for any previously created baggage records that
have the same bag tag number. If a Record with a matching bag tag number is found, the Duplicate Bag
Tag pop-up window displays:

Select <OK>

Additional Information:

If Display Previously Created Record is selected, the Record currently being created is ignored and
the previously created Record is displayed on screen.

If no duplicate bag tag number was found by the system, or if you choose to Continue Creating
Record, the Record Options: Bag Description pop-up window displays.

The previously entered bag tag number(s) display on screen and the Record Options: Bag
Description pop-up window displays. See the example below:

This listing should be used in conjunction with a hardcopy of the IATA baggage chart, so that nonzippered bags (codes 1-11) and zippered bags (codes 20, 22-29) can be described accurately.
Note that this is an informational pop-up window only highlighting an item from this list does not move
it into the Record Options: Bag Description pop-up window.

The three digits represent a combination of the fields Material, Basic and external elements, in the order
as you select them.

material),/ K (Cabin size baggage, carry-on ) and C (Combination locks)

The field Descriptive Elements is optional. If no descriptive elements at all are selected, the default total

Manufacturer (this field allows up to six characters. Enter SAMSON for Samsonite, AMERIC for
American Tourister, etc.)

descriptive information is provided.

Content Categories

SITA World Record is a worldwide interline tracing service offered jointly by IATA and SITA. For those
carriers who subscribe to World Record, there are standard content categories for each baggage
description item that assist World Record in finding possible baggage record matches outside of the Host
partition. Each carrier hosted within the Sabre system has the option to activate or deactivate the Content
Categories function.
For those carriers who have activated the content categories function, after the Record Options: Bag
Description pop-up window has been completed, the Content Categories pop-up window displays:

Use the <Tab> key to move through the Content Categories pop-up window line by line. Use
<Shift+Tab> to back up. The up and down arrow keys move the cursor up and down the first column of
categories.

Click with the mouse or use the space bar to place a check before each category that applies
Note: Up to a maximum of 12 items may be selected.

(The Bag Locked content category would be used when creating an on-hand baggage record.)

Select <OK>

The Category Descriptions pop-up window displays.


The number of lines displayed in this pop-up window matches the number of items selected in the
previous pop-up, each line matches one of the categories previously selected. See the example display
below:
Note: If Bag Locked was selected in the previous pop-up window, alone or in combination with

other items, the Category Descriptions pop-up window will not display.

When the passengers itinerary is different than the routing of the baggage, the user should enter the
itinerary for each leg of the itinerary. Enter the Passenger itinerary first.

Select Add More if more itinerary segments need to be entered

If Add More is selected, the Add Itinerary pop-up window is returned. Fill in the required data until the
itinerary is complete.

Select <OK>

Add Check-In Information

Once all bags (and contents, as applicable) are described, the Add Check-In Information pop-up
window displays:

Number of Bags Checked: enter the total number of bags checked by the passenger.

Number of Bags Received: enter the total number of bags received by the passenger.

When creating a Loss baggage record, the number of bags received must be less than
the number of bags checked

Last City Seen: enter the three-letter city or airport code where the passenger last saw their baggage

Minutes Before Departure: enter the number of minutes before departure that the passenger had
checked their baggage

This screen allows you to document any additional information or advice given to the passenger.

Note:

The only baggage record field that cannot be changed or deleted after end transaction is the
Remarks field. Therefore, it is very important that this information be input correctly. Once end
transaction occurs, the remarks become a permanent part of the record and cannot be deleted or
changed.

End Baggage Record

The baggage record, built without an active PNR, is now complete. An End Transaction is required to
complete the Record, so the End Baggage Record pop-up window displays:

The baggage record file contains a signature field on the bottom line that displays the location, user sign,
time and date, indicating where and when the file was originally created:

The Record is automatically placed on the stations list of lost baggage (Record list) and placed on the
stations baggage queue D. These lists and queues are used in the system to assist in tracing lost baggage.
These items are discussed in detail in the modules covering Baggage Tracing Techniques and Baggage
Queues.

Print Claim Receipt

Upon redisplay of the baggage record, the Claim Receipt pop-up window displays.

This pop-up window provides the option to print a claim receipt for the passenger. The Claim Receipt
option is part of Baggage Print Form, which is an elective option in the system and is controlled by an
internal bit.

Creating Records from PNRs

As previously stated, it is recommended, whenever possible, to create a baggage record by using a


passengers reservation record (PNR). By doing so, the system transfers selected PNR data into the
baggage record. The PNR is automatically ignored and the User Assembly Area (AAA) is placed into
Baggage mode.
The following elements are captured from the PNR and placed in the Baggage record:

Passenger Name
o

Passenger Itinerary
o

This field is searched for yesterday's and today's segments. The system searches for a
match between the AAA of the users workstation and the offpoint of an itinerary
segment.

Remarks Line
o

This field is searched, checking for baggage related remarks (identified by the word
BAG at the beginning the remarks line).

A maximum of 85 characters per line is saved.

Total remarks cannot exceed 375 characters.

Ticket Number (if system generated)


o

The first surname in the PNR is used

Ticketing field is searched for a system generated ticket number. If one exists, it is
added to the first itinerary line.

Note:

The system searches for -B and -H designators in the phone field of the PNR. If
these designators are found, the numbers are added to the baggage Record.

If not found, the first valid phone number is added to the baggage Record as the
home phone.

A valid phone number is considered to be all numeric.

The data captured from PNR elements is not displayed in the Baggage Create pop-up
windows. Review the work area behind the pop-up see if the required data is captured. See the
following example:

This Baggage record was created from a PNR and is at the Add Passenger Address step.
Per the Address display in the work area, there was no address information transferred from the PNR to
the baggage record. Therefore, the address information should be entered into the Add Passenger Address
pop-up window.

Next, the Passenger Phone pop-up window displays:

Because a home phone number was listed in the PNR record, the phone number was picked up by the
baggage record. Therefore, this phone number does not have to be re-entered into the Passenger Phone
pop-up window.

If any changes must be made to any of the fields captured from a PNR, (for example, if the phone number
captured is the local home instead of the permanent home), the Modify Record option <Shift + F4> must
be used once the Create Baggage Record workflow is completed.

When the baggage record is completed and the transaction ended, a search is made to determine if the bag
is already on the onhand list in the airline's host system for a possible match. This will only occur if the
airline also creates files for unclaimed baggage in the Baggage Management Analysis System. As stated
before, when a baggage service user enters an unclaimed bag into the system, a search is made of all
baggage records to determine if there is a match.
Responses to the search are placed on baggage message queues for review.

Retrieve PNR and Create Record

Follow these steps to retrieve a PNR and create a baggage record:


Select <Shift+F1> from the Baggage tab, to access the Create Record functions.
The Create Baggage Record pop-up window displays.

Select Option: Retrieve PNR and Create Record

Flight: enter an active flight number from the PNR

Last Name: enter the passengers last name

Date (optional): enter date and select the month.


o

If the date is left blank, todays date is assumed.

Origin (optional): enter the three-letter city or airport code where the passenger boarded the flight.

Select <OK>

If a single PNR matches the flight/date-name entered, the PNR is displayed on screen and the Add Bag
Tags pop-up window displays:

If multiple PNRs match the flight/date-name entered, the list of PNRs is displayed on screen and the
Select Line Number pop-up window displays:

Select the Line Number of the PNR from the list that is to be displayed

The workflow loop to create a baggage record with a PNR is the same as when creating a baggage Record
without a PNR. The pop-up windows are presented as follows:

Create Record via Components

If, for any reason, the workflow is interrupted from the Create Record label <Shift + F1>, the baggage
record can be completed by using the Add option on the Modify / Close label <Shift + F4>.
In order to end a Baggage record, the following fields are required:

Bag Tag

Baggage Description

Passenger Name

Address (or PWCT)

Phone (or PWCT)

Itinerary (ticket number required on first itinerary line)

Check-in field

will remove all record of the baggage transaction from the database.
Ignoring a retrieved baggage record will return the baggage record to the original form as when it was last
ended.
When <Ctrl+I> is selected, the Ignore pop-up window displays:

Baggage - Modify
As in other airport functions, sometimes it becomes necessary to make changes to an existing record.
That option is available to the baggage user by using the Modify option from the Modify / Close label
<Shift+F4>.

The Record Options pop-up window displays

Each item contained in a baggage record can be modified and must be changed individually.

Modify Bag Tag Numbers

Modify Bag Tag Numbers - Add

When the Bag Tag Numbers and Add options are selected from the Modify Record pop-up window, the
Add Bag Tag pop-up window displays.

Tag/Line Number: enter the line number of the bag

City: enter three-letter city or airport code of destination

Airline: enter the two-character code of the airline that checked in the bag

Enter the new Tag Number

Print Forms
The Print Forms label allows you to print automated forms for a Claim Receipt, Baggage Delivery
Order, Lost Article, Found Article, or Damage Bag Authorization.
Baggage Print Forms is an elective option in the system and is controlled by an internal bit.
To access the Print Forms functions, select <Shift+F6>.

Claim Receipt

The Claim Receipt option is used to print a claim receipt for the passenger. This option operates the same
as the Claim Receipt pop-up window, discussed in the Record creation section of this module.

Baggage Delivery Order

The automated Baggage Deliver Order will print in triplicate and capture all the pertinent data from the
FD/DELIVERY lines and the corresponding DB/BAGGAGE DESCRIPTION lines of the baggage
record.
(Usage of this option is discussed in further detail in the Forwarding and Delivery module.)
Damage Bag Authorization

This option prints a system generated Damaged Bag Authorization form which advises the customer to
return the damaged article along with this form, the original baggage claim check and the original ticket
receipt (a copy is acceptable only for ticketless customers) within 30 days from the day the notice is
issued, so that repairs can be done on the article.
(Usage of this option is discussed in further detail in the Damaged Bag Record module.)

Lost Article - Found Article

These options print a system-generated form for documenting and reconciling the disposition of a Lost
Article or a Found Article. The resulting form contains the same information, no matter which option is
selected.
The system will automatically assign a unique report number to each copy printed. The report contains
the city code corresponding to the station performing the entry; otherwise, the form is a template that you
complete by handwriting the necessary data. Form duplicates for Lost/Found Articles are retained
according to local policy and procedures set by your airline.
