CO-WORKING SPACES
Co-working is a newer style of work that involves a shared
working environment (a series of offices or one big open space)
and independent activity. Unlike in a typical office
environment, those co-working are usually not employed by the
same organization. Typically it is attractive to work-at-home
professionals, independent contractors, or people who travel
frequently who end up working in relative isolation. This is also
an attractive set up for those who spend minimal time in an
office and need it only for client based meetings. A common
conference room is shared between all parties if it is needed in
the space.
Advantages of co-working can include the following:

Complement your work from home

Cost efficient

Disadvantages of co-working include the following:

There can be ample distractions

You often have to split costs with those who you arent in

OPEN WORK SPACES


An open office is an office space plan without enclosed spaces like
separate cubicles for each employee and often without partitions
between workstations. At its most basic form, open offices consist of
rows of desks and chairs where employees do their work. There are
more advanced open office designs using low partitions and
surrounding environment to create unique work environments, suited
for individual businesses.
Some of the advantages of open work spaces:
Open offices provide more opportunities for communication and
collaboration among the employees.
Since your staff members are regularly interacting with each other
in the office, it fosters a sense of team spirit among your
employees.
One of the major advantages of open office plan is that it makes
the most use of available space. It allows you to spend less of your
budget on office space.
In an open office, everyone can see what youre doing. So, you
are less likely to slack off or waste time on things that are not
related to work.
Some of the disadvantages of the open office space are:

A closed office space really works better for high functioning
individuals who need to be working independently of one another. In
a closed office space, collaboration is not a necessary component of
business. This model is generally used in instances where the
employees work individually such as: accountants, lawyers, etc.
Collaboration is minimal and usually only for confirmation post analysis
or in meetings. Acoustical considerations are often an integral part of
the design considering the type of discussions had in these
environments.

Efficiency
Disadvantages:
Lack of team spirit and communication
Can be more costly considering the need to more space
Collaboration becomes more diificult

Office Layout: Closed office setting
I chose to interview my two supervisors (also happen to be my husband
and my father-in-law). Joshua Morrison is the Lead Project Manager and
he completes each bid package, oversees the Project Manager, orders
materials and meets with clients as needed. Roland Morrison is the owner
of over 30 years and generally oversees the project managers and
manages each bidding phase at a higher level. Roland has been working
under the same model for over 30 years with little to no focus on
communication, feedback or collaboration with other employees. The
office, previous to my arrival, had outdates furnishings (especially chairs),
the environment was stale and there was no focus on employee
satisfaction and its role in company productivity.
Below Josh is the Project Manager who is in charge of site supervision of
each job. The Project Manager (Russ) is in charge of the team of
carpenters. He manages their work, provides feedback on performance
and explains difficult building processes as needed. While he has an office,
it is almost never used.
Generally, each team member works independently over the course of
the week, addressing the needs of clients as they arise. Collaboration only
occurs during either billing, bidding or in the midst of client catastrophes.
This allows for mistakes such as billing errors, client misunderstandings and
sometimes, though very rarely, loss of business. While every one is on the
same team, each person sort of takes on a project and puts out fires as
they arise. The lack of communication also leads to frustration within the
office environment as no one is held accountable or ever knows what the
other person is doing.

Builders is reserved for the millwork shop
where those who arent working on site
framing or completing interior carpentry,
make custom cabinetry and millwork. The
remainder of the space (approx. 800
square feet) is split up into 5 main areas:
the entry way/waiting room, the
conference room which has no privacy
from the entry way, the project
managers office, the owners office and
the Interior Design office. Each office is a
closed office and due to the position of
these offices, communication and work
flow is difficult. The conference room has
zero privacy and meetings often interfere
with the Interior Design offices work flow.
The closed environment makes it
impossible to know what everyone is
doing within the office, causing a regular
dip in productivity and a repeat of
already
completed
tasks;
causing
unnecessary work. The kitchenette is
literally located in the Project Managers
office so while it is closed, there is little
privacy there either. Proximity of
bathroom to conference room can also
provide for an interrupted environment.

TOP 5 WORKPLACE ISSUES


Communication: Since a majority employee time is spent out of the office (roughly 60-80% depending on work load), when the employees are
in the office together, they tend to constantly distract one another. This means walking into the private offices with outstanding issues with zero
regard to what the other person is doing. There are no weekly meetings with one another to discuss issues of the past or upcoming issues.
Communication is spur of the moment. There is no receptionist in the office so incoming calls either go to the general mailbox or one of the
other employees take a message. This appears unprofessional and unorganized.
Privacy Employees computer screens look in the same direction as the door to the offices which means their backs are to those entering their
office and all information on the computer screen is available for viewing. While there arent a large number of confidential issues, this is an
issue for the person doing the accounting. When other employees come into her office, she may have sensitive information about wages, etc.
on the screen.
Organization: Without one central location for files, employees spend a lot of unnecessary time looking for information. Project folders could be
on any one persons desk at any given time. Since proposals from subcontractors are e-mailed to a variety of employees, it becomes
challenging to keep the most up to date information in the folders. The copier and fax machine are located in the conference room making it
easy to have important meetings interrupted. The interior designer has to walk through the conference room to get to her office, making
meetings awkward and haphazard. The space is also cramped so as she walks by; clients have to either get up or push their chairs in.
Financials: While there is only one person who does all the billing and accounting, several employees have company credit cards and have
the ability to write company checks. They do not leave receipts on a regular basis and they dont alert the person in charge of billing as to
what checks they have written. Some of these transactions can be quite large; leaving the bank account with holes in it until the accounting is
reconciled each month.
Branding: Each employee currently has their own style of business card. Each truck has a different color logo. There is no letterhead. The
website is updated periodically by the same person who does the accounting and interior design. Photographs are done professionally on a
regular basis but the owner feels as though they are a waste of money. Advertising is not something that is open for discussion as the owner
feels word of mouth is the only way to grow the business. While projects are under construction, there are no signs as to show who is doing the
work.

ERGONOMICS: THE FOUR PILLARS


Support: Recently the company made the decision to invest in new
chairs for all the employees. They chose the Herman Miller Aeron and
Embody Chairs (seen to the right). These chairs feature some of the
crucial components for proper support: ability to relax and range of
recline, advanced and easily adjustable lumbar support and ability to
relax and work in a non stressful state. All desks have been custom
made to fit the employees heights; allowing for comfortable seating
positions at all times.
Reach: With exception of the company files; employees have the tools
required easily within reach. Each desk has a keyboard that is tilted in
a position that is conducive to seated incline as well as a mouse and a
printer next to them.

Vision: Monitors do not swivel, retract or swivel and are often too high
or too low for eye level. Monitors are all placed in front of a window
making glare a serious issue. There is no task lighting in the office. There
are only older fluorescent lights which tend to give the employees
headaches from eye strain. During peak daylight hours, some of the
employees actually prefer to just work with the lights off.
Breathing: The office often seems stuffy from lack of air filtration. There
is central air but it is essentially just recirculating the air within the office.
The owner prefers windows stay closed to prevent heat or cooling loss
but employees often feel stuffy with the windows closed. The carpet is
older and traps dirt easily. The millwork shop has water damaged
insulation and mold on a few areas due to age.

WORK PROCESSES

TYPICAL: Employees all work in an individual processing manner with


minimal face to face interaction. (this becomes heightened when
employees are away from the office and on site.) Each employee
operates as if they were working for a different company; often
utilizing their own techniques and preferred methods of
communication. There is quite a bit of individual analyzing and
creating rather than having a collaborative environment. Each
employee faces away from the other and with a window between
the owners office and the Project Managers offices, there is zero
privacy (it remains in the open position.
RECOMMENDED: A collaborating office environment would be the
most beneficial way to do business. Since the office operates in a sort
of between closed and open office environment, it would be
relatively easy to convert to an open office environment. Logistically,
this would be simple. It would require desks to be oriented in a slightly
different manner with employees facing one another rather than
facing away from each other. I would also recommend that the
window between the offices either remained closed to prevent the
constant interruption.

RECOMMENDATIONS
Sketch to the right shows the current desk orientation, facing the
window and away from other employees
Lighting: Remove the fluorescent lighting and replace with a mix
of ambient and task lighting. Utilize daylight as much as possible
which is easy considering the amount of windows in this office.
Embrace an open concept office: (see the next slide for a revised
floor plan) This will allow people to collaborate as they see fit and
brainstorm project ideas without feeling like they are being overly
intrusive. The open environment will hold one another
accountable for work completed every day.
Organization: Have one centrally located place for company files
and project binders. Ensure that these are updated every single
day so every one is working from the same page.
Communication: Hold weekly meetings in the new conference
board and perhaps have a whiteboard to jot down reminders
and notes throughout the day.
Work Surface: Have one area solely dedicated to collaborating
new and inventive ideas. This will appeal to architects, clients and
subcontractors.

RECOMMENDATIONS CONT.

Revision of floorplan and embracing an open concept office


space would greatly increase company satisfaction and
productivity. Additions such as whiteboards, a dedicated
storage/copy/fax room, an expanded conference room and a
seating area would promote a collaborative environment rich
with prospects. More advanced long term solutions would be
recalibration of technology materials such as monitors, the
current networking system and a complete overhaul of all
lighting.
While these offices will be more open, privacy is still considered in
these recommendations. Desks are oriented so when others
come over to your workstation, the monitor is positioned in a way
that it is not easily visible. The conference room, with acoustical
considerations in design would become a fully enclosed and
private space.

INSPIRATION + SCHEMATIC DESIGN

PROJECT STATEMENT
The corporate office for the flagship Hotel Zero are located directly within the hotel. Spanning a significant length of the
first and second floors, these corporate offices will be comprised of open working spaces and closed office spaces.
There will be a mix of function spaces, collaborative areas and a conference room. Other areas include a kitchen with
seating for 20 and unisex toilets that should be centrally located. There are multiple shared areas, each with its own
spatial requirements. The idea is that each area will serve the functional needs of the inhabitant while encouraging
each individual to move around throughout the day. Workstations will meet the four pillars of ergonomics with
adjustable chairs, desks that are built for the comfort of each employee and technological components that make
working easy on the eyes. Natural components such as indoor plants, white oak and lots of daylight will create a
relaxed atmosphere.
Since the 7,000 square foot space (combined space of both 1st and 2nd floors) is completely empty, custom made
partitions and walls of glass will separate each space as needed. This will make the separation feel less intrusive on the
employees. Installations and playful light fixtures will prevent the 14 ceilings from feeling cavernous. A majority of the
walls will be white with bright accent walls and accessories adorning each space with pops of color. Special
consideration should be paid to the design of the spiral staircase as it will be an element of sophistication on both the 1st
and 2nd floors.

The builder and designer will work together to ensure that each space meets life safety requirements, is built to code
and that all design is 100% functional. The kitchen and the bathrooms should e located within above/under one another
to make plumbing more economical. Each employee will contribute to the design with their thoughts for each space.
The project must include all areas noted on the 1st and 2nd floor adjacency and criteria matrixes which are located on
slides #5 and #6.

DESIGN SOLUTION STATEMENT: CORPORATE OFFICES + CO-WORKING SPACES


The intent was to allow the architecture of Scandinavian modern design to pave the way for the interiors of Mecca Hotel
corporate offices. This meant a clean and dynamic space with unified materials consisting of warm woods and crisp, vibrant
colors. Finishes are textured, organic and calming. Since many of the departments in the corporate environment spend most of
their time on a computer; it was vital that employees felt encouraged to experience the multitude of gathering spaces
throughout the day. This will keep perspectives fresh and prevent a stagnant office experience. Workstations are strategically
placed within each department with a multitude of collaborative seating areas and retreats. Main colorways with be a
variety of warm neutrals with furnishings in ebonized black and lacquered white. Fabrics and wallcoverings will bring beautiful
shades of blue to each space.
Art panels provided by Carnegie will be featured within all the private offices. This tackable surface will help add a visually
stimulating component to each space. Furnishings are meant to be comfortable and inviting. Drapery will draw the eyes up
and help each space to achieve a finished look. Natural daylight will be emphasized by the light color palette; allowing peak
sunshine hours to be the star of the show. Glass wall systems will allow offices with daylight exposure to share the sunshine with
other parts of the office. Sustainability is at the heart of this office design. Materials selected are all from certified providers who
use sustainable foresting techniques, use plant based fabrics and are comprised of at least 20% post consumer recycled
content.

CODE ALALYSIS
COMMERICAL CODE REQUIREMENTS FOR STAIRCASE:
7 inch maximum riser height, 4 inch minimum
Stair treads must have a minimum depth of 11
Riser height should be measured vertically between the leading edges of adjacent treads
Stairs, treads and risers must be of uniform size and shape
Width of stairs must not be less than 48 when means of egress, 42 otherwise for commercial spaces
Head room must have a minimum clearance of 80
Stairways must have handrail on each side with a minimum height of 34 with a max height of 38
Handrails must exceed the end of the staircase at both the bottom and the top of the stair by 12 min.
Handrails must have a hook at end to prevent clothing, bags, etc. from getting stuck.
Nosing must not protrude more than 1.25
There shall be a floor or landing at the top and bottom of each stairway. The width of landings shall not be less than the width of
stairways they serve. Every landing shall have a minimum dimension measured in the direction of travel equal to the width of the
stairway
Handrails need to be on both sides of the stair and cant project more than 4.5 into the stair width on each side. On a very wide
stair you need to space intermediate handrails no more than 60 apart.
The handrail needs to be mounted a minimum of 1.5 off the wall.
