Guide to Smart View Options


Welcome to the second post of our series, Mastery of Smart View Comprehensive
Guide to Smart View Options. The first post in the Mastery of Smart View series can
be found here .
In this post, we will run through each Smart View ribbon, menu, and option to explain
their use and, where meaningful, describe how these functions can help produce
more effective analysis and reports using Oracle Smart View . This should be useful
as a reference for Smart View users, both new and advanced. Best of all, well learn
about a new tool that can help save time by combining all the most frequently used
Smart View options into one ribbon!
First, well dive into each of the ribbons including, Smart View Ribbon, Planning
Ribbon, Essbase Ribbon, and our optimized Smart View Toolkit Ribbon. These are
the primary launch points to harness the full functionality of Smart View. After Smart
View has been installed, the Smart view Ribbon is visible when Excel is opened. The
others appear after connections have been made to Planning or Essbase, or
the Smart View Toolkit has been installed.
After each ribbon and all of their settings has been reviewed, well explore each of
the Smart View options. Well cover everything from data options to member
formatting, outlining the functionality of each option along the way.

Smart View Ribbons

Smart View Ribbon

This is the starting tab for general navigation that is not specific to an application,
such as getting connected or accessing Smart View Options.
Start

Panel The main navigation panel for accessing shared and private
connections, task lists, and extensions

Connections Display active or recently used connections, reset the current


connection to default, or access Reporting and Analysis documents

Edit

Undo/Redo Undo or redo the previous Smart View Ad Hoc operation


(separate from Excel/Windows undo/redo); note this may cause any formulas
in sheet to be erased

Copy/Paste Copy/paste Smart View-enabled cells from one location to


another; can be used as refreshable cells in Excel, Word, or PowerPoint

Functions Create cell functions to query and submit Hyperion information


outside of an ad-hoc grid (HsGetValue, HsSetValue, etc.)

Data

Refresh Refresh the data on the current worksheet from the data source

Submit Data Save data updates in the worksheet to the data source

General

Options Set a variety of settings for Smart View including Member Options,
Data Options, Advanced, Formatting, Cell Styles, and Extensions (more details
below)

Help Access to online documentation and Smart View version information

Sheet Info View connection information relevant to the active sheet and
tab; useful for seeing if a tab has an active connection to Hyperion

Planning Ad Hoc Ribbon

This is displayed whenever you have selected a tab that is connected in Ad Hoc
Analysis (pivot table-style) mode to Hyperion Planning. Note in most cases it is
recommended to establish a connection directly to Essbase, for better functionality
and performance.
Ad Hoc Operations

Zoom In Drill into the next level of the dimensional hierarchy for the selected
member(s)

Zoom Out Go up a level in the dimension hierarchy for the selected


member(s)

Pivot Alternate dimension position from row to columns and columns to rows

Keep Only Removes all members except the selected

Remove Only Removes only the selected members

Other Analysis

Member Selection Select members and member lists to put onto the grid

Query Generate a retrieve of data using a simple query input format

Preserve Format Mark the selected cell(s) to preserve formatting on zoomin operations

Change Alias Adjust whether member names or aliases are retrieved

Smart Slice Reusable perspective of a data source; used infrequently

Save Ad Hoc Grid Save Ad Hoc Grid as a simplistic data form; used
infrequently

Save As Smart Form Save Excel sheet (including formulas) as a data form
for Planning; (Oracle PBCS Use Only)

Cascade Create separate reports for members of one dimension on


separate sheets in a workbook; useful feature for quickly generating multiple
tabs of an ad hoc report

Data

Refresh Retrieve data from source

POV Toggles POV selection window

Cell Actions

Comments View cell comments for selected cell

Supporting Details View supporting details for selected cell

Attachment View cell attachment for selected cell

History View history for selected cell (if data auditing is enabled)

Calculate
Business Rules Execute business rules or calc scripts

Adjust Change value of one or more data cells by a specified number


or percentage

Drill-through Expand detailed data in source database, such as


transactional data in an ERP system; must be configured, but can give
much additional detail for analysis

Visualize Display selected dynamic data in an Excel grid; used


infrequently

Submit Data Submit data to the database (including for HsSetValue


Formulas)

Workflow

Approvals Access planning approval workflows

Copy Version Copy data from one version to another; often it is more
powerful to use a custom business rule,but this approach allows copying cell
annotations, etc.

Essbase Ribbon

This is displayed whenever you have selected a tab that is connected in Ad Hoc
Analysis mode to Essbase. It is similar to the Planning Ad Hoc Ribbon, except for the
following:

Member Information Display information about the selected member


generation, level, formulas, comments, attributes, UDAs

View Comments View cell comments associated with the current grid

Insert Attributes Add attribute dimension metadata to the selected cell(s)

Data Perspective (If enabled) Allows tracking of dimension attributes that


change across other dimensions

This is a consolidated and enhanced Smart View Ribbon created by Bakerfield


Solutions. Review the User Guide in the Smart View Toolkit download for additional
details.
Turbo-Charged Analysis
All member operations are performance-optimized, and render output more quickly
than standard Smart View add-in.

Zoom In Drill into the next level of the dimensional hierarchy for the selected
member(s)

Zoom Out Go up a level in the dimension hierarchy for the selected


member(s)

Pivot Alternate dimension position from row to columns and columns to rows

Keep Only Removes all members except the selected

Remove Only Removes only selected member

Additional Analysis
These buttons are provided for additional features to support your analysis.

Refresh Update data from source

POV Toggles POV selection window

Submit Data Submit data to database (including SetValue Formulas); you


can click the drop down to submit all tabs in the workbook

concatenate a range of cells

Options
Several options are available directly on the Smart View Toolkit ribbon for direct,
convenient access.

Suppress #Missing Toggles #Missing suppression in Smart View Options

Suppress Zero Toggles Zero suppression in Smart View Options

#Missing Label Setting updates #NoData label to selected value

Other Quick Options Includes the ability to change built in options for
Zoom In, Indent, Display, More Options, #MI Label

Additional Options drop down Additional options. The most noteworthy are
Change Alias and Ribbon Context Changing. Note it is recommended to turn
Ribbon Context Changing off if using the Smart View Toolkit consolidated
ribbon.

Workbook
Allows Smart View Templates to be saved to a LAN Drive and shared between
colleagues.

Save as Template Save the file as an Excel Template onto a LAN Drive

Open Template Open an Excel Template that has been previously created

Sheets
This tab includes several sheet-specific functionality.

Copy Sheets with POV Copy the selected ad hoc analysis sheet(s) while
retaining their POV

Cascade Sheets Create separate reports for members of one dimension on


separate sheets in a workbook

Freeze Panes Perform a freeze panes, even on Hyperion Planning sheets


that are typically locked

Convert to Text Converts the selected cells from number format to text
format

Smart View Options


Member Options

Within Smart View Options, Select the Member Options tab for operation and
member formatting preferences.
General

Zoom-In Controls the default depth of the zoom-in operation

Next Level Zooms in one level down from current level

Bottom Level Zooms to level 0, the base level of the hierarchy

All Levels Zooms in to all levels below the selected member

Member Name Display Controls the way member names and


descriptions are rendered to the grid

Member Name Only Shows the member name of the selected


dimension member

Member Name and Description Shows the member name and


member description of the selected dimension member

Description Only Shows the member description of the selected


dimension member

Indentation Controls the indentation of hierarchy structure when


zooming in

None Shows all members with no indentation

Subitems Renders child members indented from their parents

Totals Indents parent members

Ancestor Position Controls position of parent members on zoom


operations

Top Places parent at top of selected list

Bottom Places parent at bottom of selected list

Member Retention

Include Selection When zooming in, keep the selection; note, it is often
useful to uncheck this item if you want to zoom into shared members in
Essbase

Within Selected Group When zooming in, only expand into the current
selection, even if there are other instances of the selected member in the grid

Remove Unselected Groups When zooming, remove all dimensions and


members except the selected member and the members retrieved as a result
of zooming

Comments and Formulas

Preserve Formulas and Comments in ad hoc operations (except pivot and


undo)

Formula Fill Propagates formulas associated with member cells to the


members retrieved as a result of zooming in.

Enable Enhanced Comment Handling Enables you to review and correct


comments and member names in ad hoc grids that contain comments

Preserve Formula on POV Change Preserves formulas in cells when you


refresh or make changes to the POV. Otherwise, any formulas in the grid are
lost

Data Options

Within Smart View Options, select the Data Options tab for data display options
Suppress Rows/Columns

No Data/Missing Suppress rows where all cells are #MISSING

Zero Suppress rows where all cells are 0

No Access Suppress rows where all cells are #NoAccess (insuffi cient
security permissions)

Invalid Suppress rows where all cells are #Invalid

Underscore Characters Suppress underscore characters in member names

Repeated Members Suppress repeated member names

Replacement Labels

#NoData/Missing Label Display #Missing or #NumericZero 0 for cells with


no data

#NoAccess Label Display #No Access or or #NumericZero 0 for cells with


insuffi cient security access

#Invalid/Meaningless Display #Invalid or or #NumericZero 0 for cells with


invalid values

Submit Zero (Enabled when using #NumericZero replacement label)


Enables submission of zeroes to the application, even if the zeroes are actual
zeroes and not replacement labels; it is more user-friendly to enable this
setting, but note there can be database performance implications if submitting
large amounts of zeroes into a database

Display Invalid Data Display application data, even when


unverified/incorrect, instead of #Invalid/Meaningless

Enable Essbase Format String Enables specific formatting for the display
of numerical data, if configured

Data Mode

Cell Status Display


Data Show actual data

Calculation Status Show whether data needs to be calculated,


translated, or consolidated
Process Management Show Planning process units

Navigate Without Data Enables quick traversing of dimension


hierarchies without querying for data

Suppress MissingBlocks Enables suppression of missing blocks


(enabled only for planning connection)

Advanced

Within Smart View Options, select the Advanced Tab for setup, logging, and
compatibility settings

General

Shared Connections URL Connection URL used for default connections.


Insert workspace URL as follows
http://<server>:19000/workspace/SmartViewProviders

Number of Undo Actions Controls how many Smart View operations will be
saved to memory for undo operations (0-100)

Number of Most Recently Used Items Controls how many items will be
listed in the Recently Used menu in the Smart View Panel (0-15)

Delete all MRU Items Removes all Most Recently Used items from the
Recently Used menu in the Smart View Panel, including those pinned to the
list

Logging

Log Message Display

Information All messages, including warnings and errors


recommended to diagnose problems. May adversely impact performance.

Warnings Warnings and error level messages. May adversely impact


performance.

Errors Error messages only recommended for general use. Has


minimal impact on performance.
None Suppress all messages.

Extended Info Information-level messages plus all server responses


and requests. Adversely impacts performance.

Profile Extended Info log entries and most function calls. Creates
XML files for each Offi ce application with active Smart View. Intended for
debugging. Severely impacts performance.

Route Messages to File Save log messages to the filesystem. Use


ellipsis to select destination.

Clear Log File on Next Launch Clears log on next launch of Excel

Show Diagnostics Group on Smart View Ribbon Reveals Smart


View diagnostics ribbon. Used for debugging and troubleshooting.

Display

Language Select language for Smart View localization

Display Smart View Shortcut Menus Only Display only Smart View menu
items on shortcut menus. Otherwise, shortcut menus display both Excel and
Smart View items

Disable Smart View in Outlook Removes Smart View plugin from Microsoft
Outlook

Enable Ribbon Context Changing Automatically displays the active data


provider in ribbon

Disable options that are not valid for the active connection Grey out
invalid options for the currently selected connection

Display Drill-Through Report ToolTips Display by default lists of available


drill-through reports for cells whenever you mouse over them.

Show Progress Information After (seconds) Will show progress of running


calculations after the selected number of seconds

Compatibility

Reduce Excel File Size Enables smaller Excel file sizes. Should always be
used unless interacting with Planning 9.3 users

Improve Metadata Storage Enables improved metadata storage. Should


always be used unless interacting with Planning 9.3 users

Refresh Selected Functions and their dependents Execute all dependent


functions before refreshing entire sheet; turn on if you encounter incorrect
results in cases where multiple HsGetValue formulas are linked together

Mode

Use Double click for Operations enables Smart View zoom in on cell
contents on double click

Formatting

Within Smart View Options, select the Formatting tab for number formatting options
Formatting

Use Thousands Separator Inserts commas (or other appropriate character)


to more easily see the magnitude of a data point (e.g. 1000000 -> 1,000,000)

Use Cell Styles Enables user-configured cell styles for custom reporting and
analysis rendering options

Use Excel Formatting Retains Excel formatting on refresh and zoom


operations

Move Formatting on Operations Retain formatting on ad hoc


operations such as a Zoom In; *note* this setting can have a significant
performance impact if enabled

Retain Numeric Formatting Retain preferred Scale and Decimal


Place options on zoom operations

Scale Enables rendering of data in thousands or by any other scale

Decimal Places Controls the number of decimal places rendered on


the sheet

Form

Repeat Member Labels Suppresses redundant member labels when if


unchecked

Cell Styles

Within Smart View Options, select the Cell Styles tab to set custom cell formatting

Cell styles can be used to build rapid analysis reports with visual indications for
various cell conditions. Double click on a cell style to change it, and refresh the active
sheet to see the changes take effect.
