Welcome:
Thank you for your interest in our childcare program. We believe that all children are special
and unique. Our goal is to provide a safe environment that promotes self-esteem, love, and security.
We encourage all parents to discuss expectations they have for their child and for us. We are always
open to any feedback. It is important for the parent and staff to communicate together and establish a
good relationship.
Open Door Policy:
Parents of currently enrolled children are welcome to visit, unannounced, at any time during the day.
Mission Statement:
Learning Tree Center strives to provide a safe, developmentally appropriate environment for children.
Our focus is to provide quality childcare and educational experiences that promote each childs
social/emotional, physical and cognitive development. We strongly support a childs desire to learn and
want to provide childcare for all families in the community in a warm, nurturing, loving and educational
environment. Our childcare center meets the needs of all economic levels, enabling families to obtain
employment or to further their education.
Enrollment:
Enrollment:
The Learning Tree is open to children from six weeks to age twelve. Enrollment shall be granted without
regard to a childs race, color, creed, religion, national origin, gender, or disability; and without regard to
a parent or guardians race, color, creed, religion, age, national origin, gender, pregnancy or disability
Immunization records and health assessment must be received the day of the first childs start date in
order to have care which Include: Contact Information Form, Medical Form, Authorization to Administer
Medication, Copy of immunization, Incident and Injury Form, Child Care Photo Release Form, Field Trip
Permission form.
All payments are due Friday when the child is pick up or the last day the child is there for that week. A
charge of $20.00 will be added to your bill if not received by Friday at 6:00 p.m. The Learning Tree
reserves the right to dismiss any parent or child at any time with or without cause.
Parents are required to notify The Learning Trees immediately, if any of the information collected at the
time of enrollment or any time thereafter change. Failure to do so may result in the child(ren) being disenrolled from the program.
Withdraw:
Two weeks written notice is required when withdrawing a child for any reason. If the proper notice is
given you will be required to pay your final bill on your last day. If the required notice is not given,
parents will be charged for two additional weeks.

Confidentiality:
Within The Learning Tree, confidential and sensitive information will only be shared with employees of
The Learning Tree who have a need to know in order to most appropriately and safely care for your
child. Confidential and sensitive information about faculty, other parents and/or children will not be
shared with parents, as The Learning Tree strives to protect everyones right of privacy. Confidential
information includes, but is not limited to: names, addresses, phone numbers, disability information,
and HIV/AIDS status or other health related information of anyone associated with The Learning Tree.
Outside of The Learning Tree, confidential and sensitive information about a child will only be shared
when the parent of the child has given express written consent, except where otherwise provided for by
law. Parents will be provided with a document detailing the information that is to be shared outside of
The Learning Tree, people with whom the information will be shared, and the reason(s) for sharing the
information.
Closed Days:
The Learning Tree will be closed and no childcare will be provided on:
New Years Eve and New Years Day
Independence Day
Thanksgiving Day and the following day
Christmas Eve and Christmas Day
Labor Day
Pick up Procedures:
Parents or other authorized adult are required to sign their child out of care on the sign-out sheet
located in the front lobby. Once a parent signs their child out, the parent is then solely responsible for
supervising their child while on our premises.
Late Pick-up:
All measurements of time are to be according to the Learning Tree clock located in the pickup room.
Parents will get a five minute pick up block period but after that five minutes there will be late fees that
are a $1.00 a minute after closing per family.
Persons appearing to be impaired by Drugs/Alcohol at pick-up:
We will contact the other parent should a parent appear to the staff of the Learning Tree to be under
the influence of drugs and/or alcohol. The parents right to immediate access does not permit the center
from denying a custodial parent access to their child even if the parent is or appears to be impaired.
However, The Learning Tree staff will delay the impaired parent as long as possible, while contacting the
other parent. The local police 911 will be called if needed warranted.
Emergency/Alternate pick-ups:
At enrollment, parents will be presented with an Emergency/Alternate Pick-up form. Parents are
encouraged to include on this form any, and all persons who, in the course of events, may at one time
be asked to pick-up their child from The Learning Tree. In an emergency situation the childs parents will
be called first. If they cannot be reached staff will call the persons listed on this form until someone can
be reached.
Parents do not need to be listed on the Emergency Contact Form. The nature of the parental
relationship affords the parents (in the absence of a court order indicating otherwise) the right ot pickup their child.

Transportation:
Transportation, other than walking, will not be provided. If your child needs transportation, it will be
your responsibility to find it and sign a permission slip for anyone other than family that will be
transporting the child(ren).
Field Trips:
Parents are required to give written permission for their child to attend each field trip. Notification of a
field trip will be sent home in advance of the trip, with all pertinent trip information including,
destination, date, time, reason for trip, cost, and mode of transportation. Accompanying the notification
paper, teachers will include a permission slip to be filled out, signed, and returned to the teacher prior
to the date of the trip. The field trip permission slip must be filled out completely and accurately, and all
trip costs must be paid in advance in order for your child to attend.
Discipline:
Positive guidance is based on the belief that any means of child guidance should focus on building up a
childs self-control rather than focusing on a behavioral outcome. When children preform a behavior
that is inappropriate I will positively guide the child in a different direction. If behavior becomes an
issue, we will address it with you and will try to resolve it. Hopefully this will draw the child into the
group and thus avoid the need for frequent discipline. When these methods do not work, your child will
be spoken to and removed from the situation as a first step. We feel that too much discipline (correcting
a child for every little thing) destroys their spirit. By teaching the child that each choice they make has a
direct consequence, they will begin to learn to be responsible for their own actions. If a behavior
problem presents itself, every attempt will be made to remedy the situation. However, dismissal of a
child for behavior problems will be at the sole discretion of Learning Tree staff. Please do not be
discouraged if your child is disciplined. Children act out and test our limits at all stages of development.
You will be notified of any behavior we feel should be reinforced at home.
Nutrition:
Breakfast, lunch, and an afternoon snack are offered at Learning Trees. All meals are nutritious and
comply with standards from the food program. We encourage children to taste a variety of foods but
arent required to eat everything we offer. Our meals for the week will be posted.
We encourage children to be active in the preparation of their meals by assisting our staff with setting
the table and cleaning up their meal space. Our food will be serve family-style with emphasis on using
proper use of silverware and good manners. Hand-washing will occur before and after meals.
Outside Food:
Outside food is prohibited without director permission due to the Food Program guidelines.
All age groups:
For the safety of your child, parents are required to provide notification, in the form of a doctors note,
of any allergies (food or otherwise), with instruction for treatment should a child have an allergic
reaction. Parents are required to provide written notification of any food/dietary restrictions. (i.e.
lactose intolerance, vegetarian diets, wheat free/gluten free diets)
Health:
A Medical form must be completed by a physician prior to admittance. This is required by the DHS. A
copy of your childs immunization records signed by the doctor is also required by DHS. I/We will do our

best to maintain a healthy environment for the child although no environment can be made germ free.
I/We will encourage hand washing.
Medications:
All prescription medications must have the childs name, name of medication, doctors name, name of
pharmacy, date, and directions for administering on the label. Medication must be in the original
container. Parents must sign a medical administration form before I am allowed to give them the
medicine. Over the counter medications can be given by the provider with the parents consent. A form
must be filled out for this also.
Safety and Emergency:
Our child care is set up as a safe environment for children. I/We have emergency fire and tornado
procedures. Practice drills are completed regularly and recorded in a monthly log.

Fire:
1. Alarm is sounded/alert staff.
2. Evacuate the facility with emergency supplies kit(s) based on procedures in your emergency
plan.
3. When possible, close all windows and doors in the facility and all electrical switches breakers
should be in the off position. You must evaluate the situation because you need to evacuate
children and staff in the shortest time possible. Note: If the fire is small and not located in a
room where children are present, you can use a fire extinguisher to put out the fire if you are
trained on how to use the extinguisher.
4. Assess weather conditions outside and observe wind direction; move children and staff upwind
of any smoke.
5. Using child attendance records, verify that all children and staff are accounted for using name-to
face counting. Repeat at regular intervals and every time children and staff are moved to a
different location.
6. Call 911.
7. Put child identification cards on children.
8. Assess weather conditions. Consider moving to one of your other evacuation locations, as
appropriate.
9. Once the fire department arrives, establish contact with a fire department official to provide
needed information.
10. Communicate with parents using the procedures in your emergency plan.
11. Follow emergency procedures for reuniting children with parents or authorized emergency
contact.
12. Re-enter the center/home after emergency officials say it is safe to return.
13. Complete the Child Care Initial Damage Assessment form, if appropriate.
14. Contact your DHS child care compliance staff person and Child Care Resource and Referral, as
appropriate.
Tornado:
1. If you receive a TORNADO WATCH, listen to the radio, television and/or the NOAA Weather
Radio for updates. Alert staff and cancel all outdoor activities.
2. If you receive a TORNADO WARNING or severe wind alert, alert staff and go to your shelter-inplace evacuation location.
3. Using child attendance rosters, verify that all children and staff are accounted for using nameto-face counting. Repeat at regular intervals and every time children and staff are moved to a
different location
4. Get under sturdy furniture, such as a heavy table, and hang on with one arm. Cover your head
and neck and help cover infants and young children.
5. Avoid using electrical equipment. Turn off utilities if time permits.
6. Monitor the weather via television and radio.
7. Once the weather event has passed through your area, assess damage to your facility and
surrounding areas.
8. Communicate with parents.
9. Move children and staff to safe areas in the facility.
10. If found unsafe, evacuate the facility with emergency supplies kit(s) based on procedures in your
emergency plan. Remember when considering the option to evacuate, you must also know if it
is safe to transport children based on weather conditions and damage in the community.
11. Post the notice of relocation on your facility entrance.
12. Follow emergency procedures for reuniting children with parents or authorized emergency
contact.
13. Complete the Child Care Initial Damage Assessment form, if appropriate.
14. Contact your DHS child care compliance staff person and Child Care Resource and Referral, as
appropriate.
Thunderstorms:
1. If you receive a THUNDERSTORM WATCH, listen to the radio, television and/or the NOAA
Weather Radio for updates. Alert staff and cancel all outdoor activities.
2. If you receive a THUNDERSTORM WARNING, alert staff and be ready to go to your shelter-inplace evacuation location if weather becomes severe. Unstable weather can change fast.
Blizzard:
1. Listening to radio, television and NOAA Weather Radio for the latest weather reports and
emergency information.
2. Listen to wind chill reports to determine if, and for how long, children can play outside.
3. Dress children warmly when playing outside in cold weather: several layers of clothes, boots,
gloves or mittens and a hat.
4. Limit the amount of time children play out in the cold. Bring children into the facility regularly.
5. Contact parents/guardians to pick up children prior to a blizzard.
Hazardous Material: (Chemical spill)
Outside your child care facility/community:
1. Alert staff. Initiate shelter-in-place emergency procedures in your emergency plan (if evacuation
is not immediate).
2. Using child attendance records, verify that all children and staff are accounted for using name-to
face counting. Repeat at regular intervals and every time children and staff are moved to a
different location.
3. Shut windows and doors and turn off the air conditioning system. Seal doors and windows in
your shelter-in-place evacuation location with plastic sheeting and duct tape, as appropriate.
4. Prepare for an out-of-area evacuation in case emergency officials tell you to evacuate the area.
5. Communicate with parents using the procedures in your emergency plan.
6. Monitor the facility at regular intervals.
7. Stay in communications with local emergency officials or monitor media.
8. When given the all clear, open windows to air out the facility or evacuate if directed to do so by
emergency officials.
9. Follow emergency procedures for reuniting children with parents or authorized emergency
contact.
