Caveman Kids is a privately owned tour company striving to change


the lives of youth through educational, active caving adventures.
During our caving tours individuals will embark on a brief hike through
a forested trail followed by up to three hours of caving exploration.
Throughout the adventure the explorers will be introduced to new
ideas about caves and experience environments much different from
their own. Our hope is that these tours encourage participants to see
and engage in nature with new eyes. We ultimately endeavor towards
fuelling curiosity, continual learning, and adventure.

At Caveman Kids Tour Company we believe that every child should
have the opportunity to engage in healthy outdoor activities in a
thrilling and adventurous way.

2. Planning Strategies
Caveman Kids Caving Adventures will primarily use the following two
planning strategies: social marketing and social planning. Through
mixing and phasing, these two planning strategies will be combined
and will guide how we as an organization plan and implement our
program.

2.1 Planning Models

2.1.1 Social Marketing


This is a task-oriented strategy that focuses on satisfying the customer
and is concerned with the effective marketing of a specific idea. For
Caveman Kids Caving Adventures we believe that the best way to
market our company is by enhancing the general publics preexisting
idea of caving. Our organizers will use the promotional aspect of social
marketing to promote the service by emphasizing the excitement,
adventure and new experiences brought about through caving. We will
be using a number of promotional tools including brochures, business
cards and community engagement to encourage participation in our
program. Social Marketing also strives for customer satisfaction, the
most important factor in having participants return to a company
offering experiences. Therefore, meeting the needs and wants of
customers is essential in Caveman Kids Caving Adventures.

To meet our goal of satisfying the customer, their needs and wants
must be assessed. With the social planning approach we will use
research to analyze the needs and wants of the customer. After
researching the needs of our target participants, we can begin to
design a program to meet these needs and attempt to produce
complete customer satisfaction.

2.1.2 Social Planning


This is a task oriented strategy directed towards purposefully planning
programs through gathering data to determining the appropriate
program for the participants. For our company we will require the
knowledge of experts to plan for our clients because of the intricate
nature and skill set required to safely plan caving tours. Through this
top-down process, experts gather data and analyze it to determine the
most appropriate program or service for the client. Participants are
seen as consumers of services that the programmers create. It is a
process of using the knowledge and skill of professionals to plan,
organize and deliver services. As the organizers of Caveman Kids
Caving Adventures we will be using our planning and organizational
expertise to plan and implement this service. For the implementation
and running of this service to be acceptable it is necessary that the
program be highly organized, efficient and safe.

3. Needs Assessment

3.1 Needs assessment Techniques


Needs assessment is critical for identifying and prioritizing the needs of
the company and clients. The needs assessment techniques conducted
by Caveman Kids Caving Adventures were as follows:

3.1.1 Interviews
We will contact local middle and secondary schools from School
Districts 61, 62 and 63 to see if they would allow us to promote our
tours at their school during the months of March and April. By
promoting engagement in nature and a healthy, active lifestyle
through our program the schools would be more inclined to give us
some of their students time. Part of the company promotion at the

schools would include setting up a table where more information can


be given, and brochures and business cards will be distributed. At this
table a series of questions will be asked to interested students to
assess their felt and expressed needs.

The questions will be as follows:

2. What would you want to do if you were to go caving?

3.1.2 Focus Group


A trial run of our tours will be conducted with three focus groups of
eight individuals, one set for each tour. During the tour, guides will
observe and take notes on what participants clearly like and dislike.
After the trial run is over the following questions will be asked as part
of a group interview:

Overall, the following needs were identified by the planning


models and needs assessment techniques: adventure/fun/excitement,
games, physical activity, visually appealing caves, education, not
getting tired, wet or hungry, being engaged and feeling included.
3.3 Prioritizing Needs
The needs that are identified from the needs assessment techniques
will be used to compile a list, and then used to determine our hierarchy
of needs. We will then be able to determine what areas need the most
attention to create suitable tours for the population. To prioritize our
identified needs, the importance and feasibility of each identified need
will be gauged. The needs are considered feasible when they are safe,
financially possible and are possible to address. To be considered of
high importance, a need must be vital to customer satisfaction and the
mental and physical well-being of the participant. All needs must not
conflict with our principles or values to be prioritized.

4. Program Design

4.1 Program Area


Caveman Kids Caving Adventures offers a unique combination of
outdoor activity and education for kids aged 12-18. Needs assessment
and identification demonstrated that there was a need for thrilling
fitness related activities for adolescents.

4.2 Program Format


The Caveman Kids Caving Adventures offers caving tours as a service.
The caving involves a physical aspect of moving through the caves and
trails as well as an educational aspect of learning about the nature and
history of the caves. The tours will be split into three separate tours
based on time and skill ability, all of which will be taking place at the
Victoria Caves Park.

4.3 Program Content

During our caving adventures tours individuals will embark on a 15-


minute hike through a forested trail to reach the cave entrance. Along
the way they will be educated on the caves and their environment.

4.3.1 Goals and Objectives

Goal:
To provide youth with the opportunity to gain knowledge, increase
environmental appreciation and fuel their curiosity through caving
adventures.

Program Objectives:
The tours will run from May 1st to September 31st, seven days a week,
from 7 am to 7 pm at Victoria Caves Park.

Caveman Kids Caving Adventures will promote its service at 30 middle


and secondary schools in the community from March 16st to April 24th.

Behavioural Objective:
Three weeks after their caving tour each individual will have increased
their time spent doing physical activity by 15 minutes per day as
measured by emailed questionnaires and informal interviews.

Performance Objective:
By the end of their caving tour, each individual will have learned three
new facts about caving environments and have engaged in and
enjoyed the caving activity as measured by an informal post activity
interview administered by the guide.

4.4 Time/Scheduling

Planning for Caveman Kids Caving Adventures will begin on the first of
January 2015. Shortly after, marketing preparation will begin on
January 12, 2015 followed by staffing, designing tours, evaluation and
ultimately program implementation on May 1, 2015. The company is
planned to run from May 1st through September 31st, 2015 with the
operating hours of 7am to 7pm, Monday - Sunday. Further detail is
given in the following Gantt chart.

When operational, Caveman Kids Caving Adventures will offer three


daily tours:

Family Fun Tour (1hr): runs every hour and is targeted towards
younger/beginning cavers.
Into The Deep Tour (2hrs): runs three times a day and is targeted
towards novice/intermediate cavers.
Marianas Adventure Tour (3hrs): runs twice a day and is targeted
to those who desire a thrilling adventure in their caving
experience.

4.5 Setting/ Facilities


The Caveman Kids Caving Adventures is a private business using the
Victoria Caves Park, which is being leased out via the provincial
government. Our facilities will include a visitor center, management
office and the caves. Each participant will need to meet at the visitor
centre before each tour unless otherwise instructed. The visitor center
will include a set of washrooms for each gender, and a concession.

4.6 Registration
Registration for the Caveman Kids Caving Adventures will be available
in person at the visitor center, by phone (250-555-5555), or online
through our website. During registration participants will have the
option to sign up for one of our three different tours. For any
individuals under 18 a parent or guardian is required to sign a waiver
to enable their child to participate in the tour. For groups greater than
three a deposit of 20% of tour price is required to register. In case of
cancellation, a 24-hour notice is required for full deposit return. In the
case of extreme weather conditions, tours will not be conducted and
full refunds will be given.

4.7 Equipment/Supplies
Equipment and supplies for the Caveman Kids Caving Adventures will
be split between the tour requirements and office requirements.

4.7.1 Tours
Each client will be provided with a safety helmet that straps on to his
or her chin, and has a light attached to the front of it for each tour.
Employees will be provided with first aid kits, walkie-talkies, helmets
with headlights, and uniforms.
Sanitizing spray to disinfect helmets after each tour will be needed.

4.7.2 Office
The visitor centre will be located at the entrance of the Victoria Caves
Park. Inside, as part of the receptionist area, there will be two
computers, a multifunctional printer/fax, a cash register, and office
furniture. Merchandise such as t-shirts, hats, postcards, stickers and
travel mugs will be available for sale. Concession foods such as chips,
water, juices, trail mixes, fruits, and ice cream will be for sale. All
supplies will be up to the director of operations to replenish and supply.

4.8 Staffing
The Caveman Kids Tours will need a dependable team to enable daily
operations. Our team will include a director of operations, marketing
director, 3 receptionists, 6 tour guides, and 4 helper guides. Our staff
will be selected for their relevant skills/experience and for their ability
to provide each participant with an outstanding educational
experience. All of our professional guides and instructors will be
carefully screened with a criminal record check and will be fully trained
prior to instructing our programs. All employees must have their

standard first aid certification and must be at least 18 years old.


Advertising for the available positions will begin on March 24, 2015.

The staff of Caveman Kids believes in offering a safe, educational


experience. Through outdoor living and activities we encourage
personal challenge, fun and a healthy lifestyle. To meet our operational
goals a strong team of a director of operations, marketing director, 3
receptionists, 6 tour guides, and 4 helper guides will be required. All
job salaries will be determined upon interviewing of the individual.

The applicant will undergo 2 weeks of in-house training, which includes
standard operating procedures, emergency procedures, and
developing safety techniques to spot and manage risk. The tour
guides main job is to conduct the tours in a friendly and appropriate
manner. They are responsible for managing their group as they
maneuver along the pathway towards, through and away from the
caves.

4.9.3 Controlling Risk

To minimize the risk of injury clients will be required to wear proper


attire a helmet with a headlamp, long pants, and a long shirt. Tour
guides will instruct participants about how to properly maneuver
through the caves and spot people when needed. Guides will also carry
first aid kits and a walkie-talkie in case of an incident. In the case of
any emergencies there is an emergency action plan known by all
employees of the caving company. In the case of any dangerous animal
sightings on the property, the sighting will be reported and that area
will be circumvented during tours and warnings will be posted.

To minimize the risk of natural hazards a guide will canvas the pathway
daily to ensure there are no low hanging tree branches, rocks jutting
out, objects blocking the pathways, garbage or damaged railings.
Inside the cave they will look for any fallen, unstable or slippery rocks.
During all tours the guides will be mindful of these hazards. Signs will
be placed along the pathways to lead clients toward the caves, and
warn them of any risks.

To minimize client negligence, waivers are to be signed, and


appropriate age restrictions are set for tours. Clients will be completely
informed as to what the tour entails and given a safety demonstration
before embarking on the tour. To ensure that there is no instructor
negligence, all instructors will understand what they are liable for and
be properly trained in standard operating procedures, emergency
procedures, and using safety techniques to spot and manage risk.

To minimize the risk of property damage, clients will be instructed not


to touch cave structures, unless instructed, or take anything from the
caves. Participants will also be cautioned not to bring valuables on the
tour.

To minimize the risk of children getting lost on the tours, the guide will
make sure to state that everyone should follow closely behind them.
There will also be a helper guide that stays at the back of the group to
make sure everyone stays together.

To eliminate the risk of equipment malfunction, the guides will be


responsible for checking every helmet and light that will be used
before each tour to ensure that they are in working condition. Each
tour guide will carry an extra headlamp and an extra set of batteries in
case of lights going out.

4.9.4 Monitoring and Evaluation


Any and all incidents that happen on the grounds of the tour company
will be reported and logged. This includes any injuries, animal sightings
and hazards in the caves or on the pathways. Past incidences will
always be followed up with, and plans to reduce these risks will be
implemented.

5. Financial Management and Budget


The following financial management and budget procedures are for the
first month of operations, May, 2015.

5.1 Expenditure

The operating costs for this program include the cost of the property
rent and taxes, internet and telephone, printing costs, office supplies
and any concession supplies.

Capital costs for this program include the cost of building the visitor
center, building the pathways and railings that lead to the caves,
website development, and the purchasing of equipment for the office
and tours.

5.2 Revenue
Revenue will primarily be amassed from registration fees,
merchandise, and concession. Compulsory resources are another form
of revenue that the company will encounter. For example, the Healthy
Canada Grant will add $15 000 to our total revenue.

6. Implementation

Caveman Kids Caving Adventures will use a blended approach to


implement our program to make sure our tours meet the identified
needs of the target population. This requires our company to use a
mixture of top down and bottom up planning processes from the social

planning and social marketing approaches. To ensure a successful


implementation, the views of the implementer will be considered
throughout the planning process by the professional planner. To ensure
a smooth process, anticipation of potential implementation barriers
have been considered.

6.2 Marketing Mix

At the Caveman Kids Caving Adventures we believe in the educational


and behavioural approaches of social marketing to ensure success in
the program. Caveman Kids strives to ensure that the marketing mix is
congruent with the philosophical framework of our company. The
educational approach allows us to demonstrate our value of educating
clients on the caving environment while the behavioural approach
allows us to demonstrate our value of providing clients with a fun
physical activity.
6.2.1 Product
To determine our product, market research was conducted through the
formative, pre-test and evaluating steps. Primary market research was
conducted to determine the needs of the target population, which
primarily included interviews. From this, it was decided to have the
product of our program be the caving tours.

The tours at Caveman Kids Caving Adventures are not complex. The
tours are designed to be fun and enjoyable for youth by being
compatible with the needs of adolescents today: the need to engage in
physical exercise in a fun and thrilling way.

The product offered has comparative advantage because any other


company here does not offer the service in Victoria. It has simple,
engaging content for adolescents and is easy to experiment with
because of the varying length and difficulties of the offered tours.

6.2.2 Price
The price of our product involves both monetary and nonmonetary. The
entry costs associated with participating in our tour involves a
monetary fee, and a nonmonetary cost of time, effort and energy.

6.2.3 Place
Caveman Kids Caving Adventures is located at the Victoria Caves Park
in the heart of Victoria, allowing convenient access for those living on
lower Vancouver Island.

6.2.4 Promotion
The product used to promote the Caveman Kids Caving Adventures
includes a brochure, business card and an assortment of posters to
place at schools and community centers.

6.2.5 Public
The Caveman Kids Caving Adventures are targeted towards youth aged
12 years to 18 years.

7. Evaluation
Our evaluation will include the use of formative and summative
evaluation to determine the most effective ways of implementing,
monitoring and improving our company. All data retention will be kept
private and confidential.

7.1 Formative Evaluation


The formative evaluation will assess the program, as it is being
developed through needs assessment, composed primarily of
interviews and focus group testing. Our formative evaluation will look
at the implementation barriers, and which of the organizational,
community, and implementer barriers were overcome.

To assess the customer needs, during school promotions structured


interviews will be administered to allow us gauge the needs of our
target population of youth aged 12-18. To further assess the needs of
customers our organization will conduct a trial run of our tours with
three focus groups of eight individuals, one set for each tour. During
the tour, guides will observe and take notes on participants likes and
dislikes as well as ask a set of interview questions post trial tour. For
more information on needs assessment, see section 3. Needs
Assessment.

7.2 Summative Evaluation


To see whether changes have occurred and if our goals and objectives
have been met after the program, a summative evaluation, composed
of the impact and outcome evaluation, is to be undertaken. Results of
the evaluation will be recorded and used to assess whether changes
need to be made to either the objectives or the program.

7.2.1 Impact
To assess the immediate and intermediate changes of the program our
company used two forms of evaluation: observation and interviews. We
at Caveman Kids Caving Adventures wanted to know if, after the
activity, the participants were more knowledgeable about caving and if
they enjoyed the tour. To meet our performance objective, it must be
determined if participants are more knowledgeable after their tour. To
assess this, guides will informally interview a random selection of
participants. The questions asked will endeavour to see whether the
participant has learned three new facts about caving environments and
if they enjoyed their caving experience. Answers will be documented.

To assess if our behavioral objective has been met, and if long-term


lifestyle changes have occurred we will use a combination of informal
interviews and emailing questionnaires. Guides will administer and
document semi-structured** interviews given to returning participants.
The questions asked will seek to discover whether the participant has
increased their time spent doing physical activity by 15 minutes per
day. Questionnaires will also be emailed to all participants six weeks
after the completion of their tour. The questionnaires will seek to gain
the same knowledge that the semi-structured interviews did: whether
the participant has increased their daily physical activity.

participate in this tour. I am fully aware of the risks and hazards connected with the participation
in this event, including physical injury or even death, and hereby elect to voluntarily participate in
said event, knowing that the associated physical activity may be hazardous to me and to my
property. I VOLUNTARILY ASSUME FULL RESPONSIBILITY FOR ANY RISKS OR LOSS,
PROPERTY DAMAGE, OR PERSONAL INJURY, INCLUDING DEATH, that may be sustained
by me, or loss or damage to property owned by me, as a result of participation in this course.
I hereby RELEASE, WAIVE, DISCHARGE, AND COVENANT NOT TO SUE
Caveman Kids Caving Adventures or anyone affiliated with this organization from any and all
liability, claims, demands, action and causes of actions whatsoever arising of or related to any
loss, damage or injury, including death, that may be sustained by me, or to any property
belonging to me, while participating in physical activity, or while on or upon the premises where
the event is being conducted.
It is my expressed intent that this release and hold harmless agreement shall bind the
members of my family and spouse, if I am alive, and my heirs, assigns and personal
representative, if I am deceased, and shall be deemed as a RELEASE, WAIVE, DISCHARGE,
and CONVENTION TO SUE the above named RELEASES. I hereby further agree that this
Waiver of Liability and Hold Harmless Agreement shall be constructed in accordance with the
laws of the province of British Columbia.
In signing this release, I acknowledge and represent that I HAVE READ THE
FOREGOING Waiver of Liability and Hold Harmless Agreement, UNDERSTAND IT AND
SIGN IT VOLUNTARILY as my own free act and deed; no oral representations, statements or

We are currently looking for an experienced tour operator to join our small team of
outdoors enthusiasts. You must be highly energetic with a strong sense of adventure and
an interest and experience with outdoor work. A high level of communication, time
management and problem-solving skills are a must. If hired, applicant will undergo 2
weeks of paid in-house training, which includes standard operating procedures,
emergency procedures, and developing safety techniques to spot and manage risk.

Responsibilities:
Provide engaging and informative eco-focused guiding
Prepare tours (cleaning and assembly of equipment etc.)
Give safety demonstrations to participants
Use safety techniques to spot and manage risk
Park maintenance

Requirements:
Experience in a similar role
Excellent communication skills
Passion for the outdoors
High school diploma
Current Standard First Aid
Current CPR-C

Hours: 7:00-3:00, 11:00-7:00 - Salary: $11.50-12.50/hour
