THE GREENS AT SEVEN OAKS HOMEOWNERS ASSOCIATION

ANNUAL OWNERS MEETING


WHITE OAK CLUBHOUSE
SEPTEMBER 13, 2016 4:00 P.M.

CALL TO ORDER: The meeting was called to order by Board President, Tony Castro at 4:01 P.M.

INTRODUCTION: Directors in attendance included Lin Frasier, Tony Castro, Mike McCoy, Larry
Reider and Darrell Krause. Also present was Community Manager Debra Wolf, CEO Sarah Kelly
and Assistant Community Manager Tosha Ross

ESTABLISHMENT OF QUORUM: Debra Wolf announced that with the homeowners in


attendance, together with the ballots submitted by mail, a quorum was constituted and the
meeting would proceed as scheduled.

APPROVAL OF 2015 ANNUAL MEETING MINUTES: The minutes of the 2015 Annual Meeting
were previously distributed to the homeowners by posting on the Associations website and
Clubhouse bulletin boards.
MOTION: Darrell Krause
SECOND: Lin Frasier
RESOLVE: A motion was made to approve the 2015 Annual Meeting minutes as submitted.
ALL IN FAVOR, MOTION CARRIED

ELECTION OF DIRECTORS: There were two positions up for election on the Board of Directors.
Following California law, ballots (with the names of the nominated homeowners listed) were
mailed to each homeowner in the Association in advance of the meeting, together with
envelopes to return said ballots to Management by the voting deadline. Management brought
all of the ballot envelopes received by the deadline to the meeting, and the appointed
Inspectors of Election proceeded to open and count the ballots with the assistance of several
volunteers from the community. The results were to be announced later in the meeting, when
the ballot tabulating is completed.

COMMUNITY OVERVIEW: Board President Tony Castro thanked the current Board for all of
their hard work this past year and their commitment to the community as well as thanking all of
the committee members who work hard and volunteer their time to continue to make the
Greens a premier community to live in. They also thanked John Martinez for his willingness to
serve as the Nominating Chairman and Inspector of Elections for this years Board Election.
Tony also provided the following community overview:
1. 28 new owners in the past 12 months
2. Delinquencies are down by 45% - currently only 3 owners are with the attorney
3. Mailbox Replacement replacing all 32 mailboxes to new metal boxes with new master
lock. Reviewed why the mailboxes were having to be replaced. The Board thanked Kelly
Management for all of their hard work on this project. For those residents who did not
pick up their keys they can now pick them up at the Kelly Management offices.
Management will be reaching out to those residents who are not able to leave their home
and/or under 24 hour care and will make arrangements to get their keys delivered to
them.
4. Pool Misters were all replaced
5. Spas were resurfaced
6. New directories were developed by Bonnie Castro & Geri McCoy and over 378 have
been handed out.
7. Ridge Oak Remodel Project
8. Keyless Access Project
9. Pool lift project
10. Reported that a resident of the Greens had contracted the West Nile Virus and that the
Board took immediate action to make sure the community was safe and all potential
areas of concerns with standing water were resolved. Vector Control Mosquito
Abatement has treated all of the common areas of the community including the gutters
and storm drains. They have also tested the one area they located mosquito larva and
confirmed that none have tested positive for the West Nile virus. They will continue to
treat and monitor the Greens.

MANAGEMENT OVERVIEW: Community Manager Debra Wolf provided the following overview
to the community:
1. Management notified the residents that Kelly Management would be moving to its new
location on the 2nd floor of the same building they are currently in. They should be in
their new offices within the next 10-15 days.
2. Security just a reminder to set your alarms every time you are away from your home
and at night why you are sleeping.
3. Management reminded the residents that if they are victim of a crime or are aware of
one happening in the community that it is really important to notify the police, Trans
West and Management.
4. Management reminded the residents of the parking policies and also that on-sites are
completed a couple times month to note compliance issues.

OPEN FORUM:
1. Owner asked about the possibility of installing a pool lift. Board is currently researching
and working on this project.
2. Owner asked about whether they would be required to over-seed this year. The Board
is currently working with Management to review this matter to determine if the
mandates currently in place as a result of the drought still apply. The ownership will be
kept updated.
3. Owner asked if they could look into shortening the gate open time at the White Lane
gate. Management will resolve this.
4. Owner asked if the landscaping (color) could be enhanced at the White Lane entrances.

ANNOUNCEMENT OF ELECTION RESULTS: Owner John Martinez announced that the two
newly appointed Board members would be Tony Castro and Lin Frasier. Following this
current election, the new Board of Directors is now comprised of the following:

ADJOURNMENT: There being no further business to be conducted, upon motion from Tony
Castro the meeting was adjourned at 5:15 P.M.
