Meeting Minutes

OFAD Meeting
Durham College, Whitby Campus, Room 2-7
Tuesday, February 28, 2017, 10:30 a.m.

Christine Shakespeare called this meeting to order at 10:30 a.m.

Approval of Minutes
The minutes were read from the February 14th meeting and approved.

Document Creation
Teresa introduced herself and spoke on this topic. She first reviewed file accessibility:
what it is and how to check that documents comply to these rules. She also emphasized
that files before finishing a document, that files should always be proof read for spelling
and grammar. Teresa shared that employees should ensure that each document is
properly formatted with attention paid to accuracy, completeness and professional
language. Her final note was a reminder to clarify which letter style each office prefers
whether it be block format or open punctuation.

Professional Attire in the Workplace


Claudia introduced herself and discussed the importance of dressing to conform to the
company dress code or policy. She emphasized that clothes should be clean and free
from spots, stains or tears. She also highlighted that safety items are part of this
category. This included, but were not limited to goggles, boots and safety jackets, as
required. One the whole, employees are expected to maintain a clean and well-kept
appearance. No one should wear bright makeup it should be light and clean. There
should also be no offensive clothing, with bold colours or patterns.

Creating an ePortfolio
For this topic Alix introduced herself and shared valuable information. She described
ePortfolios as a great reference for future employers. Its a tool that should update as
your experience and work grows, so that its never out of date. When creating an
ePortfolio, she emphasised that we should make sure the layout is clean and easy to
read, because it stands as a visual impression of your appearance. Its another way to
make an impression on your prospective employer so make sure its a good one.

Academic Integrity/Honesty
Christine introduced herself and spoke about how academic integrity and honesty is a
key part of education. She then gave a short review on what academic integrity/honesty
entails. It is ensuring that you reference your sources, cite correctly, and take time to do
your assignments. We were reminded not to let the pressure of achieving good grades
lead us to cutting corners. Being charged with academic dishonesty is a serious charge,
which can affect your academic record and even lead to expulsion. She also
emphasised that it can affect the reputation of the school.

Discussion and Approval


Teresa will give a demonstration on how to check documents for accessibility before
saving.
Claudia will prepare and bring to the next meeting a new policy on the dress code which
will detail changes.
Alix will bring in her own ePortfolio as an example to discuss the structure of a
successful ePortfolio.
Christine will review Microsoft Word, and how to reference correctly, using footnotes,
citations and captions.
