@ease

INTRODUCTION
@ease is a school information management solution that combines ease of use with the power of
productivity to give school owners and administrators a 360-degree view of their students, employees
and resources.

@ease has been developed in response to the demand from schools in Uganda that are looking for
integrated solutions to enable them get the best out of their operations and resources. Furthermore, it
satisfies the increasing demand for low cost information management solutions suited to the needs of
schools in Uganda.

The @ease school information management solution is flexible and can be easily customized to meet
the needs of most primary and secondary schools in Uganda. It has specialized modules for managing
admissions, academics, finances, payroll and employees, timetables, the school calendar and logistics.

KEY FEATURES AND BENEFITS

360-Degree View of Your Students, Employees and Resources. Manage your school proactively and
avoid surprises by knowing what matters to you regarding your students and employees.

Security. @ease is password protected and comes with four user levels. Passwords can be set as strong
only. Each module and each menu can be enabled or disabled per user level. All data entry and
modification operations are recorded by date of entry and by user so that an audit trail can be
established. Changes in configuration can only be done by the system administrator role.

Extensive Application Support. @ease is a web-based information management solution which features
an extensible architecture allowing additional application modules to be plugged in. It can be integrated
with a variety of backend database systems such as MySQL, Microsoft SQL Server and Oracle. The
default backend is MySQL.

Module Name Module Description

1 Admissions The Admissions module is for managing student admission and


enrollment.

2 Academics The Academics module is for managing various aspects of


academics at a typical primary or secondary school in Uganda.
This module handles registration of students, management of
test/exam marks and generation of students transcripts

3 Finance The Finance module is for managing the finances of the school. It
can be used to track school fees collections from students. It can
also be used to track revenue from other sources owned by the
school. The Finance module can manage petty cash and track
school expenses.

4 Library The library module is used to manage a schools library collection

8 Venues

9 Dormitories

4- 5 are optional modules

There are two possible deployment options:

Dedicated support teams with direct experience with the deployed environment to accelerate
response speed and issue resolution.

Full service 24x7x365 with issue resolution support via telephone, email and an online trouble
ticketing and issue resolution knowledge base.

Entitlement to all major, minor and maintenance version releases for the @ease school
information management solution

System health management

Cost of service
The estimates below do not include the following:

1. cost of hardware,
2. software licensing (e.g. Oracle or SQL Server)
3. Costs of travel, accommodation & upkeep (This is for work to be done outside Kampala. The
relevant charges for these will be agreed upon with the client and the client shall bear these
expenses)

The costs of the items (1)-(3) above shall be borne by the client.
