Face-to-Face
Face-to-face or personal communication is one of the richest channels of
communication that can be used within an organization. Physical presence, the tone of
the speaker's voice and facial expressions help recipients of a message interpret that
message as the speaker intends. This is the best channel to use for complex or
emotionally charged messages, because it allows for interaction between speaker and
recipients to clarify ambiguity. A speaker can evaluate whether an audience has
received his message as intended and ask or answer follow-up questions.

Mobile
A mobile communication channel should be used when a private or more complex
message needs to be relayed to an individual or small group. A mobile channel allows
for an interactive exchange and gives the recipient the added benefit of interpreting the
speaker's tone along with the message. Some within an organization may opt to use
this channel versus a face-to-face channel to save on the time and effort it would take to
coordinate a face-to-face meeting.

Electronic
Electronic communication channels encompass email, Internet, intranet and social
media platforms. This channel can be used for one-on-one, group or mass
communication. It is a less personal method of communication but more efficient. When
using this channel, care must be taken to craft messages with clarity and to avoid the
use of sarcasm and innuendo unless the message specifically calls for it.

Written
Written communication should be used when a message that does not require
interaction needs to be communicated to an employee or group. Policies, letters,
memos, manuals, notices and announcements are all messages that work well for this
channel. Recipients may follow up through an electronic or face-to-face channel if
questions arise about a written message.

Downward Communication:
Identified Live Elements of Downward Communication:

1. Specific task directives; Job instructions.

2. Information designed to produce understanding of the task and its relation to other
organizational tasks; job rationale.

3. Information about organizational procedures and practices.

4. Feedback to the subordinate about his performance.

5. Information of an ideological character to inculcate a sense of mission, indoctrination


of goals.

Communication from manager to subordinate can be face to face as well as through


written memos, orders, job descriptions etc.

Upward Communication:
Upward Communication is divided into four categories on the basis of what employee
says:

(i) about himself, his performance and problems,

(ii) about others and their problems,

(iii) about organizational policies and practices, and

(iv) about what needs to be done and how it can be done.


Here are a few of the most commonly-found barriers in
communication at our company:

Perceptual Barriers:
The most common problem faced these days is that of the difference in opinion
between two people. The varied perceptions of every individual give rise to a need for
effective communication.

Emotional Barriers:
Another main barrier is the fear and mistrust that form the roots of our emotional barrier
which stop us from communicating effectively with our co-workers.

Language Barriers:
Language that describes what we would want to express and communicate to others,
may at times, serve as a barrier to them. In todays global scenario, the greatest
compliment we can pay to another person is by speaking and effectively communicating
to them in their local language. We need to understand that the native language of
employees can be different from anyone elses.
To overcome the barriers

The only way one can improve effective organizational communication is by changing
ones thoughts and feelings with ones colleague. In this way, we dont just break down
communication barriers, but also build relationships that work successfully for long.

Therefore, overcoming communication barriers in organizations is very important.


Communication is much more than just trading words. It also encompasses the
emotions and intentions of the people involved. Overcoming communication barriers
can be achieved through proper training interventions. These include programs to
improve listening and written skills, build conversational skills, trainings on verbal and
non-verbal communications skills, giving and receiving feedback, negotiation skills, etc.

Diversity and inclusivity trainings help organizations groom their employees on


embracing their inherent differences and leveraging diversity to build efficiencies. These
training programs focus on building a culture of unity, promote inclusivity and help
employees see others point of view to agree to disagree that helps break down
perceptual differences.

It is also very important to train employees on developing effective interpersonal


relationships, this entails sensitizing them on the importance of interpersonal
relationships, the various styles of communication, educating them about emotional
intelligence, conflicts, trust, creating a healthy work environment, etc.

Overcome language barriers, learn at least the basics of your employees language and
communicate with them in the same. Translating communication aids (such as emails)
and training materials into the respective languages will also help. You can also train
employees on the English language and help them use it effectively.
