and various communication media for us to choose. Can you explain how you can achieve good
communication in the business?

Effective communication is considered to be one of the most important prerequisites of corporate
success. That is why a large number of organizations are engaged in building a network of
internal as well as external effective business communication.
Effective business communication enables an organization to market itself in a better
perspective. It helps create a favorable brand image and enhance its relationships with public and
the media. It helps an organization motivate and guide its employees and share the values of
corporate culture. With effective business communication, the employees can easily be told
about the corporate culture, visions, plans and strategies.
It also allows an organization to achieve better business negotiations and strengthen the bond
with its customers. Therefore, to achieve success an organization needs to have employees with
excellent business communication skill
People with good communication skills are very successful in motivating others and therefore
tend to lead people in a desired direction efficiently. Good business communication leads to
enhanced business leadership skills. To empower an organization with effective communication
skills some steps are required to be taken
Communication affects an organization internally as well as externally. Any negative news
floating within the organization should be cleared immediately through effective communication.
Otherwise, it will become a belief and affect the productivity of individuals along with that of the

1. Become an engaged listener
People often focus on what they should say, but effective communication is less about
talking and more about listening. Listening well means not just understanding the words
or the information being communicated, but also understanding the emotions the speaker
is trying to communicate.
2. Pay attention on nonverbal signals
When we communicate things that we care about, we do so mainly using nonverbal
signals. Nonverbal communication, or body language, includes facial expressions, body
movement and gestures, eye contact, posture, the tone of your voice, and even your
muscle tension and breathing. The way you look, listen, move, and react to another
person tells them more about how youre feeling than words alone ever can.
Developing the ability to understand and use nonverbal communication can help you
connect with others, express what you really mean, navigate challenging situations, and
build better relationships at home and work.
3. Keep stress in check
To communicate effectively, you need to be aware of and in control of your emotions.
And that means learning how to manage stress. When youre stressed, youre more likely
to misread other people, send confusing or off-putting nonverbal signals, and lapse into
unhealthy knee-jerk patterns of behavior.
4. Assert Yourself
Direct, assertive expression makes for clear communication and can help boost self-
esteem and decision-making. Being assertive means expressing your thoughts, feelings,
and needs in an open and honest way, while standing up for yourself and respecting
others. It does NOT mean being hostile, aggressive, or demanding. Effective

take action, such as make a decision based on the information you provide. If your topic requires
a comprehensive understanding of complex underlying concepts, state so early in your
discussion. Set clear expectations about what you hope your business communication can
achieve.

Keep track of the questions people ask you and learn how to respond to common inquiries. Use
active listening techniques, such as paraphrasing what you have heard or nodding in
acknowledgment. Ask clarifying questions yourself to ensure you truly understand what your
audience does not comprehend. Ask open-ended questions to start a conversation, get more
details or get input on issues. Ask closed questions that require a simple yes or no answer to

try and reassure him or her that you are not a threat. As you can guess, this doesnt always work,
so dont waste time trying to change someones mind.

Step 2: Speak Clearly and Concisely

Speaking clearly can sometimes be a problem since not everyone actually takes the time to
improve in diction or word usage. For the best results, try practicing speaking in front of a mirror
and recording yourself for playback. The last prerequisite is respect. Never disrespect someone

Humor should be fairly obvious and nothing too droll, or else one could easily take offense to a
flippant statement.

Step 4: Learn How to Use Tone and Body Language

Together In trying to improve your own communication, beware of a defensive posture or


negative voice inflection. Once a person goes on the defensive, the conversation tends to spiral
into oblivion. Make sure that you use a friendly and welcoming posture, with open arms and a

(perhaps provoked by the other person) then eliminate those telling signs. Dont let emotion

will come under suspicion. Remember that negative and positive body language comes across in

Step 5: Never Assume Anything

Assumptions are another common problem, whether they are self-fulfilled assumptions or merely
assuming that others see things in the exact same way that you do. Never assumethe fact of the
matter is that most people do not see things they way that you do, nor do they have the same
feelings as you do. The less you assume, the better. This falls under the category of making sure
that your communication is always clear.

Step 6: Recognize Communication Issues Caused by Technology

With the advent of new technologies also come new technology-related barriers in
communication. Sometimes messages can be misunderstood because of cell phone static.
Additionally, when communicating by phone it is common for people to use selective hearing
(hearing what they want to hear), which can add to the problem. Other technology based
communication problems might result from lost phone messages or ambiguous email messages.
Lastly, remember that this form of impersonal communication usually doesnt allow for non-
verbal clues, although virtual conferencing is an ever-increasing trend.

If you are trying to get someone to open up then try using open-ended questions rather than yes
or no interrogations. When reviewing your own tactful manner analyze how you approach
people. Do you bully them with close-ended questions or do you ask them in a positive manner
how the both of you can make necessary changes to get a project, for example, moving more
efficiently?

The more effective you can be with your communication the more successful you will be
personally and professionally. Communication can be extremely powerful in helping you or it
