The Litigation Support Officer/Specialist is responsible for Providing technical Litigation Support and facilitating
eDisclosure best practice in accordance to the Electronic Discovery Reference Model and CPR to the global
litigation practice (Europe and ad hoc AsiaPac). As Litigation Support Officer/Specialist, the individual is
responsible for the on-going functional operation of A&Os global document review platform, Ringtail Caseroom
and work streams, whether: linear review; offshore review; advanced technology application such as clustering
and technology assisted review.

Role purpose

To act as a key point of contact for the Business and IT, working alongside the Litigation Support team(s)
including Litigation Paralegals in providing document management solutions in an efficient, user-friendly
environment, whereby A&Os Ringtail Caseroom offers collaborative case management and review functionality
to the Litigation department, Clients and other departmental A&O users. Facilitate and support document review
in alternative review platforms on request: Relativity, Clearwell, DocuMatrix, Xerox Omnix etc.

Role and responsibilities
Facilitate/implement high standard document management and eDisclosure practice respective of
EDRM lifecycle and A&Os overarching Suite of Options/Advanced Delivery on multiple concurrent
matters for the Litigation global network, handling ad hoc requests from Corporate, Competition, ICM et
al.;
Good working knowledge of the EDRM, CPR PD31B and appreciation of: data identification, preservation,
collection, scoping and investigation, review, production;
Responsible for meeting high level service expectations whilst fostering lawyer and client relationships
with respect to Litigation Support globally.
Highly proficient technical administrator of document review platforms/databases, with experience of
Ringtail (v8.2+) and Microsoft Access;
Responsible for taking receipt/QC of client processed data and loading to Ringtail;
Experience of small time basic in-house processing tools (eDiscovery Tools);
Instruct third party vendors regarding electronic processing (incl. hard copy scan>e-processing) of client
data to standard A&O Ringtail specifications. Ability to ably deviate from the standard, requesting mdb
extras for additional review functionality (reconcile audio file metadata/recreate client database logs).
Recommend preferred collection formats at source pursuant to streamlined workflow; adapt practices to
working with new data forms, agreeing timescales for delivery/receipt and workflow vs. production
deadlines.
Provide best practice and guidance to lawyers and paralegals on methods of collection/collation and data
manipulation impact (deletion/merge/re-processing);
Assist client/lawyers in expediting data transfer utilising media devices/SFTP including data logging;
Basic analysis and interrogation of client datasets, documenting bespoke directory structures/metadata;
draft detailed instructions on reconciliation of fragmented source datasets for third party vendors,
facilitating optimum processing standards aiding to contextual legal review.
Advise on production/disclosure criteria (plus timeframes) and exchange re: document lists and loadfile
exchange protocol of documents.
Liaise with third party vendors re: alternative platform loadfile specifications and conversion.
Provide for daily administrative system support including: internal and external user access; security
permissions; review template creation; level management; UI configuration; application of search logic;
binder collections for legal review; aid construction of native and/or tiff productions for disclosure; license
management.
Submit Cost Recovery to Finance of client-circulated hardware to department budget codes (RSA
tokens/HDD/USB);
Provide user training sessions to paralegals, trainees, NQ (A&Os University of Litigation and ad hoc),
lateral hires and Partners on electronic processing and document review. Run bespoke user sessions for
Counsel/Chambers, clients, LPOs in respect of document review and coding rules.
Continuously give consideration to electronic data processing options (deduplication, prioritised
custodians, pre-filtering, email threading, foreign lang. recognition et al.) with delivery timelines,
escalating concerns to Litigation Support Mgrs.
Provide LPOs guidance on document Review Workflow, issue coding template requests via matter
briefing and implement structured sampling of LPO work product using LSC (Belfast - Legal Services
Centre).

Act as a point of contact on system queries for lawyers/clients;


Ad hoc coordination of alternative legal/IT teams and technology resources (internal and external) with
respect to document review.
Escalate hardware/software issues/inefficiencies to Litigation Support Mgrs/IT Desks/FTI Consulting;
Escalate business critical issues to Litigation Support Mgrs/Web Support;
Monitor system usage, Agent data capacity and implement quarterly archives;
Regular system license house-keeping;
Basic usage of Collaborate datarooms, a HighQ product.

Revise/update/amend, A&O Electronic Data Processing Specifications and metadata delivery standards
with Litigation Support Mgr;
Review available Ringtail upgrades/point release notes;
Assist with the implementation of software/hardware, upgrades/point releases;
Participate in on-going collaborative projects producing best practice guidelines and documentation for
workflow, educational, Litigation Support process.
Keep abreast new data formats, liaise with client IT teams to determine best means of collection,
metadata supply and instruct vendors on innovative processing specifications aiding review, production
(examples incl. MS Express eml., Bloomberg IM, Bloomberg Chat, Bloomberg Email, Reuters IM, Audio
(direct handsets, client-specific internal comms systems, trader turrets (IQMX, Enterprise, NICE))
Attend external annual eDisclosure conferences on industry practices.
Key requirements
Strong organisational skills, with ability to prioritise and multi-task;
High attention to detail, working methodically and conducting high level QC;
High IT literacy skills notably Access, Excel;
Good level of numeracy;
Excellent team working skills and ably work efficiently/accurately under pressure.
Ability to take ownership of team/individual tasks and pursue through to completion with
initiative/enthusiasm;
Excellent communication skills, written and oral; ably communicate technical language in lay terms
effectively;
Excellent project management and IT project delivery skills;
Good time management;
Excellent presentation skills;
Flexibility on occasion to work beyond office hours.
Ability to deal with people from all levels;
Promote and portray Litigation Support/Ringtail Caseroom and associated practices in a positive manner;
Thorough knowledge/experience of eDisclosure working practices (IT, Litigation, Litigation Support law
firm or vendor);
Bachelors degree in Computer Science/Law advantageous, but not a necessity.
