Operations & Administrative Coordinator

Overview of the Organization


The American Civil Liberties Union of Delaware (ACLU-DE) is a nonprofit, membership organization devoted to
defending and preserving the individual rights and liberties guaranteed by the U.S. and Delaware Constitutions. We
accomplish our mission by:
Educating the people of Delaware about important civil liberty issues;
Protecting and advancing our rights and freedoms by participating in the legislative process; and
Providing legal assistance to secure the benefits of constitutional protections when necessary.

Responsibilities
The Operations & Administrative Coordinator is a part time position with a wide range of responsibilities.
The position reports directly to the executive director and supports the executive director and members of
the board of directors in a variety of tasks.
The primary responsibility of the Operations & Administrative Coordinator is to organize and oversee the
smooth functioning of the office environment. Secondary responsibilities include event organizing and
development support.

Specific job responsibilities include the following:


Answer phones; respond to general inquiries.
Assist the executive director with scheduling, travel, and information management.
Oversee computer, phone, and online systems. Collaborate with contracted IT support vendors on
troubleshooting and equipment maintenance.
Manage the purchase and maintenance of equipment and office supplies, monitor usage, and manage
vendor relationships. Act as a liaison with our landlord, the staff of the Community Services Building.
Maintain insurance policies, completing annual audits and renewals. Manage health insurance.
Manage all financial and other confidential records. Ensure timely payment of invoices. Prepare deposits and
invoices weekly for the bookkeeper. Complete quarterly income reconciliation between general ledger and
donor database.
Assist with coordinating mass mailings.
Take board meeting minutes and provide support to the board as needed.
Asist with organizing events, such as the annual meeting and the annual awards dinner fundraiser.
Orient new employees by providing employment policies and forms.
Oversee participation by volunteers. Evaluate volunteer applications and coordinate placements with staff
members as appropriate/needed.
Other tasks as assigned by the executive director.
Qualifications:
B.A. or equivalent and at least four years of relevant work experience.
Excellent organization and administrative skills: a strong, consistent attention to detail, an organized work
style, and the ability to follow through on work assignments with minimal direct supervision.
Strong computer skills and technical aptitude required. Must be proficient in MS Word, Excel, and
PowerPoint. Database experience desirable.
Ability to work both independently and as a member of a team in a fast-paced environment. The ability to
manage several projects at various stages of completion. Good problem solving skills.
Excellent interpersonal, oral and written communication skills; a demonstrated ability to write clearly and
precisely. Strength in proofreading and an ardent attention to detail.
A confident, business-like and professional presentation.
Being creative, result-oriented, self-starting and willing to learn. Flexibility, determination and good humor
are essential traits.
A commitment to the confidentiality of records.
The ability to interact effectively with volunteers from divergent geographical and socioeconomic
backgrounds.
A strong understanding of and personal commitment to the mission and principles of the ACLU.

Compensation:
This part-time position of 20 hours per week pays a generous hourly wage. A flexible schedule can be negotiated.
Benefits include a 401 (k) match and free parking.
